You can post all open jobs on your company website or Job Boards to get applicants directly into your database. Recruit CRM also lets you customize Job Application Forms with fields of your choice and you can control the information collected during the application process. It helps you create a consistent, branded application experience while ensuring applicants are captured directly in your Recruit CRM database.
You can use this feature when you want to:
Customize application form fields, labels, placeholders, field order, visibility, and mandatory requirements.
Configure general application page settings, including job description visibility, social sharing options, and candidate terms.
Configure language and proficiency fields, including default languages and proficiency levels.
Control which logo appears on job application forms, including the account logo, job company logo, or no logo.
Configure General Page Settings
The Job Application Form Settings page is the central location for managing your job application experience in Recruit CRM. From here, you can configure how application forms look and behave, including page settings, form fields, automated emails, candidate questions, branding, and job-specific application forms.
To access these settings, navigate to Admin Settings → Job Settings → Job Application Form Settings.
The first tab you will see is General Page Settings, which controls the overall appearance and behavior of your job application forms.
1. Job Description or Job Application:
From this section, you can control what candidates see first when they open your Job.
You can choose whether to:
• Display the Job Description first, allowing candidates to review the role details before applying
• Display the Job Application Form directly, allowing candidates to start their application immediately
You can also control whether the job description appears at all on the application page.
• Turn the toggle ON to display the job description on the job application form.
• Turn the toggle OFF to hide the job description from the job application form completely.
This allows you to tailor the application experience based on your hiring process and the amount of information you want candidates to review before applying.
2. Social Media Share Icons:
This setting allows you to control whether candidates can see social media sharing options on your job application form. When enabled, social media share icons will be displayed on the application page, allowing visitors to easily share the job opening across supported social platforms and help increase the visibility of your job postings.
To configure this setting:
• Turn the toggle ON to display social media share icons on the job application form.
• Turn the toggle OFF to hide the social media share icons from the job application form.
3. Automated "Thank You for Applying" Emails:
Recruit CRM allows you to automatically send a confirmation email to candidates when they submit an application through the job application form. This helps acknowledge their application instantly and provides a better candidate experience.
To configure automated application emails:
First, create an email template that will be used as the automated "Thank You for Applying" email. Here's how you can create Email Templates for automated workflows.
In the General Page Settings section, select the email template you want to use. If you do not have a suitable template yet, you can create one and then select it here.
Choose the email account that should send these automated emails. You can select from users who have connected their email accounts to Recruit CRM.
Once configured, candidates who apply through your job application forms will automatically receive the selected email from the chosen sender account.
This can be used to:
• Confirm that the application was successfully received.
• Share next steps in your hiring process.
• Provide additional information about the role or company.
• Deliver a more professional and responsive candidate experience.
4. Candidate Terms and Policies:
This section allows you to configure the terms and policies that candidates must review and agree to before submitting their job application.
You can customize:
• Candidate Terms – Terms and conditions related to candidate consent, data collection, data processing, and GDPR compliance.
• Equal Employment Opportunity (EEO) Policy – The policy text displayed to candidates regarding equal opportunity and non-discriminatory hiring practices.
The content entered here is shown directly on the job application form, allowing candidates to review the information before completing their application.
📌 Please Note:
• For the Candidate Terms section to be visible on the job application form, the GDPR Compliance toggle must be enabled in Account Settings.
• For the Equal Employment Opportunity (EEO) Policy to appear on the job application form, the EEO toggle must be enabled in Account Settings.
If either setting is disabled, the corresponding section will not be displayed to candidates on the application form.
To configure these settings:
Enter your GDPR-related terms, general Candidate terms, and consent language in the Candidate Terms box.
Add or update your Equal Employment Opportunity (EEO) Policy text as required.
Save your changes.
5.Customize Button, Link Labels, and Additional Form Settings:
The Customize Button & Link Labels section allows you to customize the text displayed throughout the job application form, helping you tailor the candidate experience to match your preferred terminology, language, or branding.
You can customize:
• Button labels
• Link text
• Field labels
• Other application form text displayed to candidates
To update any label or text:
Locate the item you want to customize.
Click the Edit button next to it.
Enter the text you want to display.

Simply turn the corresponding toggle ON or OFF to show or hide:
• Note for Candidate – Displays additional instructions or information to candidates on the application form.
• SMS Terms and Conditions – Displays SMS consent terms when applicable.
These settings allow you to further customize the application experience while ensuring candidates see the information that is most relevant to your hiring process.
Configure Job Application Form Fields Settings
The Job Application Form Field Settings tab allows you to control which fields appear on your application forms and how candidates interact with them.
To access these settings, navigate to Admin Settings → Job Settings → Job Application Form Settings and then switch to the Job Application Form Field Settings.
1. Manage Field Visibility and Order:
Open the Job Application Form Field Settings tab to view all available application fields.
You can choose which fields should be displayed on the application form and hide any fields that are not required. To change the order in which fields appear, simply drag and drop them into the desired sequence.
You can also mark fields as mandatory to ensure candidates provide the required information before submitting their application.
2.Customize Labels and Text:
To customize a field, click the Edit button next to the field name.
From here, you can:
• Rename field labels to match your preferred terminology or language.
• Add placeholder text to guide candidates while filling out the form.
These customizations help align the application experience with your organization's branding and communication style.
3. Add Job-Associated Files to the Application Form:
Job-associated files allow you to collect additional documents from candidates that are specific to a particular job opening. These files are configured at the job level and can be used to request information that may not be relevant for every role, such as certifications, portfolios, work samples, licenses, or other supporting documents.
When a candidate applies for the job, they will be prompted to upload the required files as part of their application.
This is especially useful when different jobs require different supporting documents, allowing you to tailor the application process to the requirements of each position.

4.Add Language and Proficiency Fields to the Application Form:
You can collect language skills and proficiency levels directly through the application form, allowing candidates to provide information about the languages they speak and their level of expertise. This helps recruiters quickly assess whether applicants meet the language requirements for a role.
To streamline the application process, you can predefine one or more languages by updating the field values for the Language field. You can select these languages from the dropdown list in the Fields Values tab, these default languages will automatically appear on the application form for all candidates.
When default languages are configured, candidates will be required to select a proficiency level for each predefined language as part of their application. This helps ensure that language information is collected in a consistent format across all applicants.
If no default languages are added, candidates will have the flexibility to enter their own languages while completing the application form. They can add multiple languages and specify their proficiency level for each one, providing a more personalized overview of their language capabilities.
All language and proficiency information submitted through the application form is stored as part of the candidate's profile, making it readily available during screening and evaluation.
📌 Note: These settings apply globally across all job application forms unless overridden by a job-specific application form.
5. Set Up Candidate Questions:
Candidate Questions allow you to collect additional information from applicants beyond the standard application form fields. These questions can be used to gather role-specific details, assess eligibility, collect screening information, or obtain any other information required during the application process.
Once created, candidate questions can be reused across multiple jobs, making it easy to maintain a consistent screening process.
Step 1: Create a Candidate Question Library
Navigate to the Job Application Form Field Settings tab and scroll to the bottom of the page. Click Add Question, enter the question you want candidates to answer, and save it. Repeat the process to build a reusable library of screening questions that can be used across multiple jobs.
Step 2: Assign Questions to a Job
Once your candidate questions have been created, they become available for selection while creating a new job or editing an existing one.
When configuring a job, select the relevant questions from your question library. These questions will then be displayed to candidates as part of the application process for that specific job.
This allows you to tailor the application experience by asking different questions for different roles while still managing all questions from a central location.
Step 3: Review Candidate Responses
When candidates submit their applications, their responses to the candidate questions are automatically saved within their profile.
To view the answers, open the candidate record and navigate to the Questions tab.
From here, you can review all responses submitted by the candidate, helping them evaluate qualifications, screen applicants more efficiently, and make better-informed hiring decisions.
Configure Job Application Form Logos
Recruit CRM allows you to choose which logo appears on the application form:
• Account Logo
• Job Company's Logo
• No Logo
Choose a Logo for an Existing Job
If you want to change the logo for a specific job:
Open the job and click the pencil icon to access the Edit Job form.
Under Default Job Application Form Visibility, choose one of the following options:
• Account Logo
• Company Logo
• No Logo
Click Save.
The selected logo option will be used only for that job's application form.
Set a Default Logo for All Newly Created Jobs
If you want all newly created jobs to use a specific logo option by default:
Navigate to Admin Settings → Job Fields.
Locate the Default Job Application Form Visibility setting.
Select the logo option you want applied by default:
• Account Logo
• Company Logo
• No Logo
If you want recruiters to choose a different logo while creating jobs, enable the corresponding toggle.
Save your changes.
Once configured, the selected logo option will automatically apply to all newly created jobs unless a different logo is selected at the job level.
Important Notes
Job Application Form Field Settings apply globally unless overridden by a job-specific application form.
Currently the job application forms are not disabled if the account is inactive (users are active but don’t log in to the system). We only disable the forms and delete the setting on account deactivation.In this case, users have to log in and disable the job application URLs to disable the application forms.
To ensure that the 'Note for candidate' is visible on the job application form, you need to turn on the 'Note for candidates' field from the Job application form settings under the 'Job Application Form Field Settings'.
Troubleshooting

What to check: Go to Account Settings and confirm that the GDPR Compliance toggle is enabled.
