Tracking Placed Candidates in Recruit CRM (New UI)

This article will guide you on how to track placed candidates in Recruit CRM.

Placements help you keep track of candidates placed in specific jobs under specific companies. Recruit CRM makes this easier by giving you simple ways to filter, update, and avoid duplicate placements.


📋 Where to view placements


You can see all your placements on the Placements list page:



⚙️ Customize your Placement list view


You can customize the Placement list view by selecting which fields are displayed and arranging them in your preferred order. This helps you focus on the information that matters most to you.

Steps to customize the view:

  1. Click on the 'Show/Hide Columns' button at the top right corner of the page.

  2. Select the fields you want to display and deselect the ones you don’t need.

  3. Arrange the fields in your preferred order by dragging and arranging the list.

  4. Click 'Apply' to save your changes.


✨ How to create Placements


Whenever you update a candidate’s hiring stage, you’ll get the option to create a Placement.

Option 1: From within the candidate's profile:

Go to the candidate's profile and click on the Assigned Jobs tab. This will have a list of jobs that the candidate has been assigned to:

Click on the hiring stage of the candidate and you will get a drop-down menu of the stages you created like Shortlisted, Assigned, Rejected, and many more.

After selecting the appropriate stage, ensure to select the 'Create Placement' checkbox for creating a placement:

Option 2: From within Jobs

​Go to the Job details page and open the Candidate Pipeline tab. This will have a list of candidates assigned to the job:

Click on the Hiring stage for the candidate - you will get a drop-down menu of the different stages like Shortlisted, Assigned, Rejected, and many more.

You can select the appropriate stage, make sure to tick the 'Create Placement' checkbox for creating a placement:

When marking a candidate as Placed, you will have an option to update the candidate's current organization and Job Title using the "Update Candidate's Current Organization and Job Title" checkbox.
Checking it lets you edit the pre-filled job title (in case it needs to differ from the job's own title) before submitting, so both the candidate's organization and title update together in one step.

You can also change the hiring stages on the “List view” and “Kanban view” of candidates within a job. To do that click on the blue "View All" button:

Now on the List View, you can click on individual hiring stages and update it, and make sure to select the 'Create Placement' checkbox for creating a placement:

On the Kanban board view, you can simply drag and drop the candidate across the hiring stages and select the 'Create Placement' checkbox for creating a placement.

Note: The 'Create Placement' checkbox will remain disabled when you are updating the hiring stage of candidates in bulk.

That's about it!


✍️ Pre-filling placement form fields


When you create a new placement from a job or candidate profile, the system will automatically pre-fill the Candidate, Company Contact, and Job fields.

This saves time and reduces manual work.


🛠️ How to create custom fields for placements?


If you have specific requirements, you can include custom 'Placement' fields to store additional details as needed. This can be done from the Placement Fields page.

To make custom fields show on the Placement form, ensure to toggle them 'ON' as visible on the placement fields page.


🏷️ How to tag entities on placements


You can tag different types of entities (like Users, Companies, or Jobs) using the Entity Type custom fields.


🔍 How to filter placements


You can filter placements by Candidate, Company Contact, Job, Deal, Placement ID, Currency, Created On, or Created By.
All of these show up in separate columns, making it easier to scan, sort, and filter.

Just click on the Add Filters button:

Then choose the field you want to filter by (for example, Candidate or Job):

Hit apply, and you're done!

Boolean Search

You can use Boolean search to quickly find specific placements by applying keywords and conditions to narrow down your results.


Grouping Placements

To make placement tracking more organized, you can use the Group By option to view placements based on related records.

Steps to group placements:

  1. Click on Group By at the top right of the Placement list page.

  2. Select how you want to group placements (Jobs, Deals, Companies, or Contacts).

  3. The list will automatically organize placements into groups based on your selection, making it easier to review related records.


✅ How to identify if a placement already exists


A Green button is displayed when a placement has already been created, helping you avoid creating duplicates.


If no placement exists for a candidate, the icon will appear in grey.

No duplicate entries are allowed for a placement.

If you need to make changes, you can update the existing placement record instead of creating a new one.


📦 Bulk actions on placements


Archiving placements

Select the placements you want to archive, then use the Archive option from the bulk actions at the top. If the Archive option is not immediately visible, click on More to find and select it.

To view archived placements, click on the Quick View button → Archived:

Exporting placements

You can select the placements you want to export, then use the Export option from the bulk actions at the top. If the Export option is not immediately visible, click on More to find and select it.

After that, you can select the fields you want to export and click on the Export button to download them as a CSV file.

Deleting placements

After selecting the placements you want to delete, then use the Delete button from the bulk actions at the top. If the Delete option is not immediately visible, click on More to find and select it.

Confirm the deletion by clicking on the Delete button.

Please note that this is an irreversible action.


🔑 Role access for placements


1. By default, only the account owner and admins have access to view and create placements.

2. On the business plan and above, you can grant access to view, create, edit and delete placements to users on custom roles as well.

❓FAQs


What is the new Entity Type field for?

It lets you tag different entities (like users, companies, or jobs) on a placement.

For example, you can create an Entity field of User type, to tag the recruiter who has placed a specific candidate.

Can I still customize the placement form?

Yes! You can configure fields as per your workflow in the admin settings.
