The Placements feature in Recruit CRM helps you track candidates who have been successfully placed into specific jobs at specific companies. Each placement record brings together candidate, company, contact, job, and deal information in one place, making it easier to manage placements throughout the recruitment process.
Use this feature when:
You want to track candidates who have been successfully placed into jobs for specific companies.
You need to create placements from candidate profiles, job pipelines, list views, or Kanban views with key details automatically pre-filled.
You want to prevent duplicate placement records for the same candidate and job.
You need to filter, group, search, or bulk manage placement records for reporting, invoicing, or day-to-day operations.

✨ How to create Placements
A placement is created when you update a candidate's hiring stage and select the Create Placement option.
Option 1: From the candidate profile
Open the relevant Candidate profile.
Go to the Assigned Jobs tab to view all jobs assigned to the candidate.
Click the candidate's current Hiring Stage for the relevant job.
Select the appropriate hiring stage from the dropdown.
Select the Create Placement checkbox.
Submit the stage update to create the placement.
Option 2: From the Job Details page
Open the relevant Job.
Navigate to the Job Details page.
Scroll down to the Candidate Pipeline.
Click the candidate's current Hiring Stage.
Select the appropriate hiring stage from the dropdown.
Select the Create Placement checkbox.
Save the stage update to create the placement.
When marking a candidate as Placed, you will have an option to update the candidate's current organization and Job Title using the "Update Candidate's Current Organization and Job Title" checkbox.
Checking it lets you edit the pre-filled job title (in case it needs to differ from the job's own title) before submitting, so both the candidate's organization and title update together in one step.
Option 3: From the candidate List or Kanban view
You can also create placements while updating hiring stages from the candidate List View or Kanban View within a job.
From the List View
Open the relevant job and click View All Candidates.
Switch to List View, if required.
Click the candidate's current Hiring Stage.
Select the new hiring stage.
Select the Create Placement checkbox.
Save the update.
From the Kanban View
Open the relevant job and click on View All Candidates and switch to Kanban View.
Drag and drop the candidate card to the appropriate hiring stage.
In the confirmation dialog, ensure the Create Placement checkbox is selected.
Confirm the stage change to create the placement.
Pre-filled placement fields
When a placement is created from a candidate profile or a job, Recruit CRM automatically populates the following fields in the placement form:

🛠️ How to create custom fields for placements?
If your recruitment process requires additional placement information, you can create custom placement fields to capture it.
Open Admin Settings.
Under Data Customization, select Placement Fields.
Add custom fields as needed to store additional placement details, such as placement terms, commission details, or internal notes.
Turn on the Visible toggle for each custom field you want to display on the placement form.
Once enabled, the selected custom fields will appear on the placement form whenever a new placement is created.

You can tag different types of entities (like Users, Companies, or Jobs) using the Entity Type custom fields.

The Group By option helps organize placement records based on related information.
On the Placements page, click Group By.
Select how you want to group the records:
The placement list is automatically organized based on your selection, making it easier to review related placement records.
✅ How to identify if a placement already exists
Recruit CRM helps prevent duplicate placement records by displaying a placement indicator.
In the job pipeline, look for the Placement indicator.
If a placement already exists for the candidate and job, the indicator appears as an active icon.
If no placement exists, the indicator appears in gray.
No duplicate entries are allowed for a placement.
If you need to make changes, you can update the existing placement record instead of creating a new one.

1. By default, only the account owner and admins have access to view and create placements.
2. On the business plan, you can grant access to view, create, edit and delete placements to users on custom roles as well.
