Creating and Managing Invoices in Recruit CRM

This article will guide you on creating and managing invoices in Recruit CRM.

What this feature does and when to use it?

The Invoices feature in Recruit CRM lets you create, customize, and manage invoices directly within the platform. You can generate invoices from supported records such as candidates, contacts, companies, jobs, deals, and placements, use customizable invoice templates and fields, track invoice statuses from a centralized dashboard, work with multiple currencies using automatic exchange rate updates for reporting, and perform bulk actions such as exporting, downloading, archiving, deleting, and updating internal fields.

Use this feature when:

  • You need to generate invoices directly from candidate, contact, company, job, deal, or placement records.

  • You want to monitor invoice statuses such as Paid, Due, and Overdue from a single dashboard.

  • You work with multiple currencies and need consistent reporting in your account's base currency.

  • You want to create customized invoice templates and add client-facing or internal custom fields.

  • You need to bulk manage, export, archive, or report on invoice data from the Invoice List page.


Locating the Invoices Section


The Invoice List page serves as the central dashboard for managing all invoices created in Recruit CRM. From here, invoices can be tracked, organized, and managed from a single location.

  1. From the left-hand sidebar, click Placements & Invoices.

  2. On the Placements & Invoices page, select the Invoices tab to view all invoices created.

This section gives you a centralized view of all invoices, making it easier to monitor billing activity and manage invoice records efficiently.

Understanding the Invoice List Page


The Invoice List Page acts as the central dashboard for managing invoices. From here, you can track invoice statuses, organize records, and perform actions such as editing, downloading, archiving, or exporting invoices.
​

Invoice Overview Metrics:

At the top of the invoice list page, you will see a quick overview of key invoice statistics, including:

  • Total Invoices

  • Paid Invoices

  • Due Invoices

  • Overdue Invoices

These metrics give you a quick snapshot of your billing performance. You can also click on any of these metrics to instantly filter the list and view invoices belonging to that category.

For example:

  • Selecting Paid Invoices will show all invoices marked as paid.

  • Selecting Overdue Invoices will display invoices whose due date has passed.

Multi-Currency Support

Recruit CRM supports invoices in multiple currencies to accommodate different billing requirements. Exchange rates are automatically fetched once per day, and invoice values are converted into the account's base currency for reporting. This ensures that reports display consistent values in the configured account currency.

  1. While creating or editing an invoice, open the invoice form.

  2. On the left side of the invoice form, select the required Currency from the currency dropdown.

  3. Save the invoice.

  4. On the Invoice List page, review the following information:

    • Invoice currency

    • Total amount

    • Converted amount based on the account's base currency

Note: Daily exchange rate updates may cause small fluctuations in report totals.


​Grouping Invoices

To make invoice tracking easier, you can organize invoices using the 'Group By' feature.
​

Steps to group invoices:

  1. Click on the "Group By" button on the top right of the invoice list page.

  2. Select the entity you want to group invoices by (Jobs, Deals, Companies, or Contacts).

The system will automatically organize invoices into groups based on the selected entity, allowing you to quickly review invoices associated with the specific records.

Filtering & Searching Invoices

The invoice list page also supports Filter search and Boolean search.
​

You can:

  • Filter invoices by status, company, currency, or other attributes.

  • Sort invoices based on fields such as creation date or invoice amount.

  • Use the search bar to locate specific invoice records.


​Bulk Actions on Invoices

You can select multiple invoices and perform actions such as:

Download Invoices

You can select the invoice you want to download as a PDF, then click on the 'Download PDF' button.

Exporting Invoices

You can select the invoice you want to export, then click on the 'Export' button.

Archiving Invoices

Select the invoice you want to archive. Then click on the 'Archive' button:

To view Archived Invoices, click on the Quick View button and click on 'Archived':

Deleting Invoices


After selecting the invoice you want to delete, click on the 'Delete' button.

Creating an Invoice


Option 1: From within the record

1. Choose the entity for which you want to create the invoice. (Candidate, Contact, Company, Jobs & Deals). Here we have selected a company record as an example.

2. You can create an invoice directly from a Company record by clicking on the three-dot menu (⋮) at the top right and selecting "Create Invoice".
​
Alternatively, you can also create it within the Invoices tab. The option to Create Invoice will appear if there are any other existing linked invoices.
​

3. The invoice will automatically link to that company.
​

Option 2: From the Placements & Invoices tab

1. Go to Placements & Invoices → Invoices. Click "+ New Invoice".
​

2. Select a template (Recruit CRM provides default templates that you can edit or clone. You can also create a new template).
​

3. Choose the template and record from the options below (candidate, contact, company, jobs or deal you’d like to associate this Invoice with).
​

4. Once the form opens, you’ll see a live preview on the right showing your template and real-time calculations.
​

Entering Invoice Details (Left-hand Side):

While creating the invoice, you can enter values like salary, placement fee, a start and due date. You’ll see the total amount update automatically based on your formulas and fields.

​Customizing the Invoice Layout (Right-hand Side):

On the right-hand side of the invoice creation screen, you will see a live preview of the invoice template. This preview is fully customizable and allows you to edit the layout and formatting of the invoice directly from the editor.
​

At the top of the editor, you will find several formatting and editing tools that allow you to structure and customize the invoice document.
​

Using the tools, you can:

  • Create a new file within the editor

  • Use Undo and Redo options to revert or reapply changes

  • Upload or insert images (for example, a company logo) directly from your computer

  • Insert tables by specifying the number of rows and columns

  • Add hyperlinks within the invoice content

  • Insert a Table of Contents for structured documents

  • Add headers and footers to organize the layout

  • Insert page numbers to structure multi-page invoices

  • Add page breaks to control how content flows across pages

  • Configure Page Setup and layout settings to adjust how the invoice appears in the final document

  • Use Find to quickly locate text within the document

  • Paste content from your local clipboard

  • Modify text formatting, including font type, font size, and other styling options​

The options allow you to format and structure the invoice document directly within the preview editor, similar to working in a standard document editor.

Once done, click on "Save" to keep it as a draft or "Save & Send" to email it to your client.

Note: The invoice number is auto-generated but can be customized anytime from your billing settings.

Option 3: Creating Invoices from the Hiring Pipeline

You can also create an invoice automatically when updating candidate stages in the hiring pipeline.
​
Go to a specific Job and click View All to see all the candidates assigned to that job.
​


Select the candidate(s) whose hiring stage you want to update and create an invoice for. You can do this from either the List View or the Kanban View, and click Update Hiring Stage from the top.
​


Change the Hiring Stage as required. Below the Remark box, enable the Create Invoice option and click Submit.
​


Choose an invoice template and click Create Invoice. The system will automatically generate invoices and associate them with the relevant records.
​

You can also generate invoice directly by changing the candidate's hiring stage, simply update the Hiring Stage and make sure to check the Create Invoice option at the bottom.

Creating custom fields for Invoices


You can add your own fields to capture extra billing details like “Project Code,” “Tax Category,” or “Payment Type.”

2. Click "+ Add Custom Field" button.

3. Choose the type of field (Text, Long Text, Date, Number, Dropdown, or Multi-select). Name the field and set visibility. Click "Save".
​


These fields appear on your invoice creation form and can also be used inside templates.


Internal Custom Fields for Invoices


You can use Internal Custom Fields to track invoice information that is only visible to you and your team.

Creating an Internal Custom Field for Invoices

1. Go to Admin Settings >> Navigate to Invoice Fields & Settings. >> Open the Invoice Fields tab.

2. Click the "Add Custom Field" button.

3. Select Internal Field as the field type. Enter the required Field Name and choose the appropriate Field Type.

4. Click Save to create the field.

When creating a new invoice custom field, you can choose whether it should be a Template Field or an Internal Field. Template Fields are available on invoice templates and can be displayed on client-facing invoice PDFs, while Internal Fields are intended for internal tracking purposes and are never visible to clients or included in invoice PDFs.


Managing Internal Custom Fields on the Invoice List Page


Internal Custom Fields can be displayed as columns on the Invoice List page, allowing you to view and manage internal invoice information alongside other invoice details. These fields support standard list page actions such as sorting, filtering, resizing, reordering, pinning, and hiding.

You can also update Internal Custom Fields in bulk directly from the Invoice List page by using the "Update Field" option, making it easier to maintain invoice data across multiple records at once.

When exporting invoices, you can choose to include Internal Custom Fields in the export file, giving you greater flexibility when reporting on or sharing invoice data internally.

When creating or editing an invoice, fields are organized into two sections: Invoice Details for client-facing information shown on the invoice PDF, and Internal Custom Fields for information used only for internal tracking.

You can also access Internal Custom Fields from the Invoice Preview page through a dedicated 'Invoice Fields' tab, where internal field values can be viewed and edited as long as the invoice has not been marked as paid.

Please Note

  • Once an invoice is marked as Paid, Internal Custom Fields can no longer be edited. The invoice editor is also locked to help maintain invoice data integrity.

  • Field dependencies can be configured between Internal Custom Fields. However, field dependencies are not supported for Template Custom Fields.

  • The maximum number of invoice custom fields allowed under your plan is shared across both Template Custom Fields and Internal Custom Fields. You can add up to 15 custom fields on the Pro Plan and up to 100 custom fields on the Business Plan.


How to create new Invoice Templates


Recruit CRM provides default invoice templates that you can edit or clone. You can also create new Invoice templates.

2. Click on the “+ Add Invoice Template” button in the top-right corner under the Invoice Template section to create a new invoice template.

3. Start by adding the name of the template. Then, choose who you want to share the template with, it can be specific teammates or the entire team.
​
Next, set the due date (for example, selecting 30 days will automatically calculate the due date as 30 days from the issue date).
​

By default, the Amount field is already added. You can now add more default and custom fields such as (Description, Salary, or Placement Fee) as per your needs.
​
Once the fields are added, define formulas.
​

You can mark Template Custom Fields as required while creating or editing an invoice template. When a field is marked as required, users must provide a value before the invoice can be saved, helping ensure that important billing information is captured consistently.

4. Once all fields and formulas are added, click on "Customize Theme". You will see a preview of your template.

From the top-right side, you can add placeholders and customise the layout and view of the template as desired. Finally, once everything looks good, click on "Save".

Customizing Billing Details


1. From the left-hand sidebar, click on Placements & Invoices. You’ll see two tabs: Placements and Invoices.

Select the Invoices tab to view all invoices created by your team. Open any saved invoice.
​

2. Click the ⚙️ (cog icon) beside the 'Create Invoice' button.
​

3. This opens Billing Information, where you can:

  • Edit company name and address

  • Add default users

  • Change invoice number prefix (e.g., INV-001 → E-INV-001)

  • Set a custom starting number for new invoices

  • Change currency format

This helps you align invoice numbering with your organization’s preferred format, and click Save.

Tracking and Updating Invoice Status


After saving an invoice, you can view and manage its status to track the progress of the billing process.
​

You can update the status of an invoice directly from the invoice record.

  1. Locate the status column on the invoice list page.

  2. Select the appropriate status based on the current stage of the billing process.

  3. Add remarks if needed to record notes related to the status update.

Each invoice also maintains a status history, allowing you to view previous status changes along with any remarks that were added.

Invoice Stage Change Rules

Overdue

Invoices in the Overdue stage can be updated to:

  • Sent to Client

  • Paid

Sent to Client

Invoices in the Sent to Client stage can be updated to:

  • Unpaid

  • Overdue

  • Paid

Unpaid

Invoices in the Unpaid stage can be updated to:

  • Sent to Client

  • Paid

Notes:


  • Once an invoice is marked as Paid, its status cannot be changed. However, you can view the invoice status history along with any remarks added.

  • Draft invoices cannot be moved to another stage directly. Click the pencil icon next to the Invoice ID on the left side of the invoice to open the Edit Invoice page.
    After editing, save the invoice, and you will then be able to move it to the required stage.

Troubleshooting


Problem: Cannot edit internal custom fields on an invoice

Likely cause: The invoice has been marked as paid, which locks internal custom fields and the editor.

What to check:

  • Open the invoice preview page and verify the invoice status.

  • Confirm whether the invoice is marked as paid.

Resolution:

  • If the invoice is paid, understand that editing internal fields is intentionally disabled to maintain data integrity.

  • If changes are essential, consider internal notes or additional records outside the locked invoice, according to your internal policy.

Problem: A custom field does not appear on invoice templates

Likely cause: The field was created as an internal field rather than a template field.

What to check:

  • In admin settings, open Invoice Fields and Templates.

  • Check the field type (template vs internal).

Resolution:

  • If you need the field on client-facing templates, create or configure it as a template field.

  • Use internal fields only for data that should stay internal and not appear on PDFs.

Problem: Field dependencies are not working on certain invoice fields

Likely cause: Field dependencies are only supported for internal custom fields, not template custom fields.

What to check:

Identify whether the affected fields are internal or template custom fields.

Resolution:

  • If you need dependencies, re-design the setup using internal custom fields where dependencies are allowed.

  • Keep in mind that template fields cannot have dependencies.


FAQs


Can I change a field from Template Field to Internal Field later?

No. Once an invoice custom field is created, its “Use field as” selection cannot be changed. This prevents accidental movement of client-facing data into internal-only areas or vice versa.

Are Internal Custom Fields included in Boolean Search?

Yes. Boolean Search will search across visible Internal Custom Fields on the Invoice list page.

What happens to Internal Custom Fields when an invoice is marked as Paid?

Once an invoice is marked as Paid, Internal Custom Fields become read-only and cannot be edited.

Is the invoice custom field limit separate for Template and Internal fields?

No. The limit is shared across both sections. For example, if your plan allows 100 invoice custom fields, that total includes both Template Custom Fields and Internal Custom Fields.
