How to Run a Search in Recruit CRM (New UI)

What this feature does & when to use it?

Recruit CRM’s Advanced Search feature helps recruiters quickly find candidates and contacts using Boolean search, filters, and activity-based search options. You can search through candidate profiles, resumes, candidate attachments, notes, call logs, meetings, and tasks, then save your search criteria for future use to locate the exact records you need faster and more accurately.

Use this feature to:

  • Quickly locate specific records.

  • Reuse frequently used filter setups.


Step-by-step instructions


1. Boolean Search

  • Click on the Boolean Search section to start building your keyword query.

  • You can use Boolean Search to find specific keywords across candidate profiles, the resume uploaded in the default Resume field, and supported candidate attachments.

  • In the Boolean search, you can combine AND, OR, and NOT operators to narrow down your search results.

  • Use the Contains search option to find records that include a specific keyword, even if the exact phrase does not match. For example, searching for ‘sales’ may return results such as ‘sales manager,’ ‘international sales,’ or ‘business sales.

  • Select the sources you want to search, including:

    • Candidates (candidate fields and the resume uploaded in the default Resume field)

    • Files (candidate attachments in PDF, DOC, and DOCX formats, excluding the default resume)

    • Notes

    • Call Logs

    • Tasks

    • Meetings

    The Candidates and Files options work independently, allowing you to search either source individually or both together. When searching attachments, Recruit CRM searches the 10 most recent supported files for each candidate.

2. Save Search

  • Click Save Search to store your search criteria for future use.

  • Once saved, the search will appear under the Quick View section in the Saved Searches tab.

  • To clear your current Boolean search, click the Reset button.

3. Add filters

  • Click Add Filters to apply filters to default and custom fields. You can combine multiple filters to narrow down your results and improve search accuracy.

To further narrow down candidates based on location, you can also use Radius Search in Recruit CRM.

4. Search on Activity Fields

  • Recruit CRM also lets you search across notes, call logs, tasks, meetings, and candidate attachments, making it easier to find previous interactions or information stored outside the default resume.

Q: Can I search within candidate attachments other than the default resume?

Yes. Select the Files option in Boolean Search to search supported candidate attachments in PDF, DOC, and DOCX formats. This searches up to the 10 most recent supported attachments for each candidate. The default resume is searched through the Candidates option.

Q: What's the difference between the Candidates and Files options?

Candidates searches candidate fields and the resume uploaded in the default Resume field. Files searches other supported candidate attachments. You can select either option individually or both together depending on where you want Boolean Search to look.

Q: Can I combine Boolean search and filters in the same search?

Yes. You can use both together to refine your results.

Q: Can I search within notes and tasks?

Yes. You can search within notes, call logs, tasks, and meetings.
