Resume parsing on Recruit CRM (New UI)

What this feature does and when to use it?


Adding candidates one at a time is painful. The Resume Parser in Recruit CRM automatically creates candidate profiles from uploaded resumes, making the process both efficient and accurate. The Resume Parser is designed with a user-friendly interface, making it seamless to add and manage candidate profiles.

You can use this feature when:

  • You need to upload and parse multiple resumes at once.

  • You want to quickly create accurate candidate profiles from resumes.

Before you begin


Please note:

  • You can parse up to 100 files at a time.

  • If you upload the resume in the Files section, then it will not be parsed.


Step-by-step instructions


  1. Go to the Candidates section in Recruit CRM.

  2. Click on the Add Candidate button, then select the Resume Parser option from the dropdown to open the Resume Parsing window.

  3. In the Resume Parser window, either drag and drop resumes into the upload box or click to select files from your computer.

You will receive a notification once all resumes have been parsed. This may take a few minutes if you uploaded a large number of files.

When duplicate candidates are detected during Global Resume Parsing, they are clearly marked with a “Duplicate” tag so you can easily identify them before proceeding.

Each duplicate candidate also includes an “Update Values” option, allowing you to review the existing candidate profile alongside the newly parsed resume information before applying any changes.

Please Note:

  • In the comparison screen, fields where changes are detected are automatically selected by default. You can review these selections and choose which fields should or should not be updated before saving the changes.

  • Empty fields, Work History, and Education History are not shown as separate highlighted changes during duplicate review, as they are updated automatically before the comparison screen opens.

If multiple duplicate candidates are found, you can navigate through them one by one using the duplicate counter. You can choose to skip a duplicate or update selected field values and move to the next duplicate. For the final duplicate candidate, the option changes to Override Selected Field Values.

Perform Bulk Actions on Parsed Candidates: Once parsing is complete, review the list of newly added candidates. From this page, you can perform bulk actions such as: Compose an email, add a note, assign to owner, update the field assign to a job, and add the candidates to a hot list and more.

You can also edit the candidate profile and assign them to a job directly from the page.

Use the Default Resume Field to Trigger Parsing:

When creating or editing a candidate profile, you can upload a resume directly into the Default Resume field to trigger parsing for that specific candidate. You can also upload the resume in the default resume field to parse the resume.


Re-parse Resumes & Choose Which Fields to Update


You can replace a candidate's resume from the Candidate Details page using the default Resume field. When uploading a new resume, you can choose between:

1. Replace Resume: Replaces only the resume file without parsing it or updating the candidate's existing profile information.

2. Replace and Re-parse Resume: Replaces the existing resume, parses the newly uploaded file, and displays a comparison screen with the Field Name, New Value, and Current Value side-by-side, allowing you to compare the extracted information with the candidate's existing profile and choose which fields to update.

Note: Recruit CRM remembers your last selected option and automatically pre-selects it the next time you replace a resume for any candidate.

Users can choose to re-parse a candidate's resume from either of the following locations:

  • From the default Resume field on the candidate profile

  • From the three-dot action menu

  • Once selected, the resume is parsed again, and the newly extracted information is compared with the candidate’s current profile details before any updates are applied.

You can choose how the candidate information should be updated by selecting either the 'Update Empty Field Values' option or the 'Override Selected Field Values' option:

  • When the 'Update Empty Field Values' option is selected, the system will only fill fields that are currently empty in the candidate profile, while keeping the existing information unchanged.

  • When the 'Override Selected Field Values' option is selected, the system will replace the existing candidate information with the newly parsed values for the fields you select. This gives you more control over which existing details should be updated from the latest resume.

Note: If a re-parsed resume contains no new information to update, the comparison screen displays a Save option along with the message: "No changes detected. Click Save to update the resume." so you can complete the process without updating any fields. Clicking Save replaces only the resume file; no candidate fields are updated.

Bulk resume re-parsing and bulk candidate updates are currently not supported.

The comparison view currently supports only the default candidate fields available in the resume parser.


Troubleshooting


Problem: Resumes are not being parsed after upload.

Likely cause: The resumes were uploaded to the Files section instead of the Resume Parser or Default Resume field.

What to check: Confirm whether the files were added through the Resume Parser button in the Add Candidate button in Candidates, or through the Default Resume field.

Resolution path: To upload and parse resumes into Recruit CRM, click on the Resume Parser button inside the Add Candidate button in Candidates. You can also upload the resume in the default resume field to parse the resume. If you upload the resume in the Files section, then it will not be parsed.

Problem: Parsing is taking longer than expected.

Likely cause: A large number of files were uploaded at once.

What to check: Check how many resumes you uploaded in a single batch.

Resolution path: This might take a few minutes if you have uploaded a large number of files. Wait for the notification once your resume has been parsed. You will receive a notification once your resume has been parsed.
