What this features does and when to use it?
Through this feature, you can generate branded, client-ready resumes directly from candidate profiles.
You can apply branding elements such as headers, footers, cover letters, and watermarks to create consistent resume submissions across clients and roles.
You can also redact sensitive information such as names, phone numbers, email addresses, physical addresses, and LinkedIn profiles before sharing candidate profiles externally.
Once saved, the formatted resume is stored on the candidate record either in a selected file-type custom field or in the Files section.
This helps you maintain a consistent, professional format across all submissions.
Please note - The Resume/CV Formatting feature, including Text Redaction and the ability to add custom headers, footers, and watermarks is available on the Business Plan and above.
You can use this feature when:
You want to add your logo, agency details, or standardised branding to every CV sent to clients.
You need to hide sensitive candidate information (like contact details or LinkedIn) before sharing resumes.
Your client requires resumes in a specific, uniform layout or format.
You want to store multiple versions of a candidate’s resume (raw vs. formatted) in structured fields.
Before you begin
• If you want to save formatted resumes into specific fields, you will need file-type custom fields created under Candidate Fields.
• When converting DOC files to PDF, minor formatting limitations may occur. While the system handles most conversions accurately, complete accuracy cannot be guaranteed in all cases.
Step-by-step instructions
1. Use any of the following methods to access the Generate Formatted Resume tab -
From within the Candidate Profile page
To format a resume, go to the candidate profile and click on the three dots at the top of the profile.
Once you click this,in the menu that appears, select Generate Formatted Resume.
From within the Resume
You can also open the candidate’s resume in Recruit CRM and scroll to the bottom of the page. From there, click on Generate Formatted Resume to proceed.
2 . Configure Header, Footer, Cover Letter, and Watermark
Once you open the Generate Formatted Resume tab, use the Templates section to apply headers, footers, cover letters, and watermarks.
These templates allow you to standardise resume branding across clients, teams, or submission workflows. You can select an existing template or create a new one based on your requirements.
3. Use Text Redaction to Remove Sensitive Information
Text redaction allows you to hide sensitive candidate information from a resume before sharing it with clients. This can include details such as name, email, phone number, address, LinkedIn profile, or any other information you do not want to disclose.
Text Redaction only affects the formatted resume that is generated. The original resume file and candidate profile remain unchanged.
This is commonly used when sharing resumes with clients while withholding personal contact information during early recruitment stages.
You can apply redaction in two ways:
Keyword-based redaction
Search for a specific keyword, and the system will automatically identify and select all instances of that term in the resume.
For example, entering “LinkedIn” will highlight all occurrences of the word, allowing you to remove them in one go.
Manual redaction using highlighter
Use the highlighter tool to manually select specific sections of the resume. Simply click and drag over the text or area you want to hide.
Once you’ve selected all the required sections, click Apply Redaction to remove or hide the highlighted content from the formatted resume.
4. Save the Formatted Resume and Choose Storage Location
Saving creates a new formatted version of the resume. The original resume remains unchanged on the candidate record. You can choose where the formatted version is stored so it can be accessed later without regenerating it.
Once you’ve made all the changes to the Resume/CV, click Save. A popup will appear where you can rename the file and choose where to store the formatted resume.
Enter a file name and select a file-type custom field as the storage location. If you don’t have one set up, you can create a new file-type custom field directly from this popup.
If no custom field is selected, the resume will automatically be saved in the Files section of the candidate profile.
Note: Only file-type custom fields created under Candidate Fields will appear in the dropdown.
Troubleshooting
1. Problem: I cannot see the option Generate Formatted Resume on the candidate profile.
Likely cause: Plan or permission limitations.

Confirm that your account is on the Business plan or above and that your user role has permission to view and edit candidate files.
Resolution path:
Ask your account admin to confirm your plan and adjust your role permissions if needed.
2. Problem: My file-type custom field does not appear in the save dropdown.
