How to use the Global Search Bar in Recruit CRM

The Global Search Bar in Recruit CRM helps you quickly find records across your entire database without navigating between different entities.

The Global Search Bar is accessible from every page in the platform, making it the fastest way to locate candidates, contacts, jobs, companies, or deals when you already know a key detail.


Where to find the Global Search Bar


The Global Search Bar is located at the top of your screen and is available across all the entities.


What can you search for with the Global Search?


Using the Global Search, you can search for any of the following entities:

  • Candidates

  • Companies

  • Contacts

  • Jobs

  • Deals

This grouped view makes it easy to identify the correct record type and navigate directly to it.


You can use the Global Search Bar to look up records using key identifiers such as:

  • Name / ID (Candidate, Contact, Company, etc.)

  • Job title / Job ID

  • Email address

  • LinkedIn URL

Simply type any of the above details into the search bar, and Recruit CRM will fetch all matching records across entities.


How Global Search works


Global Search looks for records using a specific set of fields for each entity to return the most relevant matches.

The searchable fields include:

Entity

Searchable Fields

Candidates

Candidate ID, Name, Phone Number, Email Address, LinkedIn Profile

Companies

Company ID, Company Name, Website, LinkedIn Profile

Contacts

Contact ID, Name, Phone Number, Email Address, LinkedIn Profile

Jobs

Job ID, Job Title, Company Name

Deals

Deal ID, Deal Name, Company Name

Global Search also interprets your search input.

For example:

  • Alphanumeric searches (such as names, email addresses, job titles, or LinkedIn URLs) are matched against relevant text-based fields.

  • Numeric searches (such as phone numbers or record IDs) are matched against supported numeric fields.

This helps return more relevant results based on the type of information you're searching for.


How does the View More Records option work in the Global Search


If your search returns more results than can be displayed in the preview of the Global Search results, click View More Records to open the complete search result list for that entity.

The expanded results use the same search logic as the initial Global Search, helping ensure the records shown remain relevant and consistent.

When you open the full results:

  • The selected Global Search filter is automatically applied to the list page.

  • You can apply additional filters or perform a Boolean Search to further narrow down the results.

  • The Global Search filter remains applied as you navigate between list pages until you remove it using the × icon.

  • While the Global Search filter is active, Saved Search is unavailable. You will have to remove the Global Search filter to enable the Saved Search again in this view.

Q. Which fields does Global Search search?

Global Search searches a predefined set of fields for each entity, such as names, IDs, email addresses, phone numbers, LinkedIn profiles, company names, and job titles.

Q. Can I apply additional filters after clicking View More Records in the Global Search results?

Yes. After opening the full Global Search results, you can apply additional filters or use Boolean Search to further refine the results.

Q. Why is the Saved Search option unavailable after clicking View More Records?

When you open the expanded search results, a Global Search filter is automatically applied. While the Global Search filter is active, Saved Search is unavailable. You will have to remove the Global Search filter to enable the Saved Search again in this view.
