Adding records in Recruit CRM.

What this feature does & when to use it?

Recruit CRM allows you to manually add Candidates, Contacts, Companies, and Jobs using the Global Add menu or directly from the respective List View.

You can also add Candidates, Contacts, and Companies using the Recruit CRM Chrome Extension.

When adding a Candidate, Recruit CRM also checks for potential duplicates. If a duplicate Candidate is detected and new or changed information is available, you can compare the existing and incoming information before deciding which fields to update.

This feature is useful when you want to:

  • Manually add Candidates, Contacts, Companies, or Jobs to Recruit CRM.

  • Review and manage new information when a duplicate Candidate is detected.

  • Update selected fields or only populate empty fields on an existing Candidate.

  • Add standardized location information using address suggestions and auto-fill.

Please Note:

  • When adding a job, you must associate it with a company using the Company Name field.

  • Your ability to add or edit records may depend on your role and permissions set by your Recruit CRM admin.

  • The Chrome extension is an additional option and requires separate installation and setup.


How to add records in Recruit CRM


Method 1 – Using the Global Add icon

  1. Click the Plus (+) / Global Add button at the top-right corner of your Recruit CRM window.

  2. From the menu, select Candidate.

  3. Enter the Candidate's details in the Add Candidate form.

  4. Once you have entered the required information, click Submit to add the Candidate.

What happens if a duplicate Candidate is detected?


When you submit the Add Candidate form, Recruit CRM checks whether the candidate already exists. If new or changed information is available, a comparison window appears, displaying the existing and incoming values side by side.

From here, you can:

  • Compare existing and incoming values side by side for all changed or newly available fields.

  • Incoming values can be edited directly within the comparison modal before updating the candidate.

  • You can choose exactly which fields to overwrite or use Update Empty Fields Only to populate only blank fields.

  • Required fields are validated before applying updates to prevent incomplete candidate records.

Note: If no new information is available to update, the comparison modal is skipped, and you are taken directly to the existing candidate profile with a notification that no update was needed.

Method 2 – Using the List View

  1. Click the Candidates tab from the left-side menu to open the Candidate List View.

  2. Click Add Candidate.

  3. Enter the Candidate's details in the Add Candidate form.

  4. Click Submit to add the Candidate.

Method 3 – Using the Chrome Extension

You can also add Candidates, Contacts, and Companies to Recruit CRM using the Recruit CRM Chrome Extension.

  1. Install and open the Recruit CRM Chrome Extension.

  2. Navigate to the profile or page from which you want to add the record.

  3. Follow the prompts in the extension to capture the information and add the record to Recruit CRM.

Link Companies When Adding Jobs


When adding a Job, the Company Name field is mandatory because every Job must be associated with a Company.

Start typing the name of the Company in the Company Name field. Recruit CRM will display matching Companies as you type.

You can select an existing Company or create a new Company if it does not already exist.


Standardized Location Fields


Recruit CRM provides standardized location fields when adding Candidates, Contacts, Companies, and Jobs.

Postal Code field

The Postal Code field is available alongside the Full Address, Locality, City, State, and Country fields.

Address suggestions

You can search using a Street Address, City, State, or Postal Code to view address suggestions while adding a Candidate, Contact, Company, or Job.

Auto-fill using Postal Code

When you enter a Postal Code, Recruit CRM uses geocoding services to automatically populate the corresponding City, State, and Country.

You can manually edit any of the populated location fields if required.

Note: The address suggestion feature is available on external pages and on the Chrome Extension.


Troubleshooting


Problem: The company you expect does not appear in the dropdown when adding a job

Likely cause: The company has not been created yet, or the name is being typed differently.

What to check: Check the spelling and try typing more characters of the company name.

Resolution path: If no match appears, use the option offered in the dropdown to create a new company record, then associate it with the job.

Conclusion:

By using the global add menu, the List view, or the Chrome extension, you can quickly add records manually in Recruit CRM.
