What this feature does and when to use it?
The Job Status feature in Recruit CRM helps you efficiently track and manage the lifecycle of jobs using predefined statuses such as Open, Closed, Hold, and Canceled, while also allowing custom statuses to match specific hiring workflows.
Users can update job statuses individually or in bulk, filter jobs based on status in list or Kanban view.
How to Customize the Job Status
Go to Admin Settings and open the Job Status section.
Review the predefined job statuses available by default, such as Open, Closed, Hold, and Cancelled.
To create a custom job status, click Customize. Add the new status as required and save your changes.
The newly created status will then be available across job records and status dropdowns.
Open indicates the jobs that are currently active. |
Closed indicates the jobs that are finished. |
Hold indicates a job that's been paused for a period of time. |
Cancelled indicates a job that was called off/withdrawn. |
Please note: These statuses can't be deleted or edited as they are used to power events in the app.
How to Change the Status of Jobs in Recruit CRM
1. From the Job Details Page
Open the job you want to update from the Jobs List. Click the Job Status button beside the job name.
Select the required status from the dropdown menu. Additionally, you can add a remark for the update.
Finally, click Submit to save the changes.
All the jobs where the status is NOT "Closed" are considered Active jobs, provided you have the Job Application Form Link enabled. Those jobs will be automatically posted on free job boards like ZipRecruiter, Neuvoo, CareerJet, JobRapido, etc.
To ensure the jobs aren't available on the jobs page, we have two criteria:
The job should be "Closed"
Job Application Form should be disabled
You can choose one of them.
2. From the Jobs List Page (Bulk Update)
Go to the Jobs List and select the jobs you want to update. And click Update Field at the top of the page.
Search for and select Status.
Select the new status you want to apply, add a remark for the update, and click Submit to save the changes.
All the selected jobs will now be seamlessly updated to the new status you’ve chosen.
While changing the status of a job, you can also choose to close this job on external job boards and disable its Job Application Form.
For jobs marked as 'Closed', both checkboxes are force-checked and cannot be modified.
For jobs marked as 'On Hold' or 'Canceled', both checkboxes are checked by default but can be manually edited.
For jobs marked as 'Open' or any other custom statuses, both checkboxes remain unchecked by default and are editable.
You can use the Quick View button on the List View to see all jobs with the default status (open, on hold, closed, and cancelled).
In the Kanban View, you can choose which job statuses are visible and easily drag and drop jobs between stages as their status changes.

Keeping job statuses up to date helps ensure your job records accurately reflect their current stage and availability.
