What this feature does and when to use it?
When you add a candidate through the Add Candidate form and Recruit CRM finds that the candidate already exists in your database, Recruit CRM automatically fills any empty fields with the incoming information and then shows a comparison page for fields where existing information can be updated. You can review the incoming details and choose exactly what gets updated.
Use this feature when you want to:
Review what is different between an existing candidate and a new submission before anything changes
Update only specific fields, or only fields that are currently empty
Correct or refine incoming details before they are saved, without leaving the Add Candidate flow
Step by step instructions when a duplicate is detected
When you submit the Add Candidate form and Recruit CRM finds a matching existing candidate, it automatically updates any empty fields with the incoming information before opening the comparison page. The comparison page shows fields where the existing and incoming values differ, allowing you to review and control which existing information should be updated. Both default and custom candidate fields are included.
You can then review and control the update before applying it:
Compare the existing and incoming values for each field. All eligible fields are selected by default.
Deselect any fields you do not want to update.
Edit incoming values directly in the page if they need to be corrected by using the pencil icon next to the field. You can get the pencil icon by hovering over the field that you wish to edit.
Apply the update.
📌 Please note: Empty fields are automatically populated with available incoming information before the comparison page is shown. The comparison page is therefore focused on fields where existing information can be reviewed and potentially overwritten.
How it works
Required fields: Required fields are marked in the comparison page. If you try to apply an update while a required field is left empty, the update is blocked, the field is highlighted, and a validation message appears. You can keep editing freely while the page is open; validation only runs when you apply the update.
Closing without applying: If you have made changes in the comparison page and try to close it, Recruit CRM asks you to confirm before discarding your edits, so partly reviewed changes are not lost by accident.
When there is nothing to update: If Recruit CRM detects a duplicate but finds no new or different values to bring in, it skips the comparison page entirely. You are taken straight to the existing candidate's profile, with a notification letting you know no update was needed.
