How to link a candidate to their current organization (New UI)

You can associate a company in your database with a candidate using the current organization field.

What does this feature do & when to use it?

The Current Organization field lets you associate a candidate with a company in your database as their current employer. This is how you can manage the relationship between candidates and their current organizations and easily update a candidate's profile after being placed in a company. You can use this when:

  • You want to associate candidates with companies stored in your Recruit CRM database.

  • You need to update existing candidates with their current organization.

Before you begin:

Please Note:

  1. The Current Organization field will not be filled automatically for old candidates already in your database. You will need to manually update the field for those records.

  2. There are multiple ways to update the Current Organization field, including from the candidate form, candidate profile, bulk actions, placement workflow, and the Chrome extension.

  3. Only the account owner can manage whether current organizations sourced from LinkedIn are added as companies via Account Settings.

  4. The Current Organization field can be added or made visible in layouts if you do not see it by default.

Step-by-step instructions


Method 1 - Through the add/edit form

You'll find the Current Organization field under Employment Information while adding/editing a candidate. You can search for an existing company or add a new one directly from the search:

If you do not see the Current Organization field, you may need to make it visible first.

Method 2 - Add Current Organization from Candidate Profile View

1. Open the candidate’s profile.

2. Hover over an existing field you want to replace, then click the pencil icon to edit the layout. Next, click Replace Field.

3. From the list of available fields, select Current Organization to add it to the candidate’s profile layout.

4. Once added, you can set or update the candidate’s current organization directly in their profile.

For a candidate's Current Organization field, you can save it as plain text, even if a matching company record already exists - instead of it always linking to a company, by clicking on the 'Add as Text' button after entering the current organization:


When you search for a company name, you'll see an 'Add as Text' option alongside 'Add as Company' if no company match is found for the entered text. You can click on the 'Add as Company' to create a new company record:

Method 3 - Update Current Organization in Bulk

1. From the candidate list page, select all candidates whose current organization you want to update.

2. Click the Update Field option from the options at the top.

3. In the field selection dropdown, choose Current Organization.

4. Then select the appropriate company from the dropdown list.

Pro tip: Use Advanced Search to filter candidates where Current Organization is set to “Not Available,” then bulk update this field if you know their current employer.

Method 4 - Update Current Organization When Placing a Candidate

When you move a candidate to the Placed hiring stage, you will see an option to update their Current Organization based on the company linked to the job.

Confirm this update so the candidate is automatically associated with the hiring company as their current employer.

Method 5 - Use the Chrome Extension to Maintain Current Organization

When sourcing candidates via the Chrome extension, the candidate’s current organization will automatically be added as a new company in Recruit CRM if it does not already exist.

Note: A candidate’s current organization will now always be updated with the latest data when sourcing via the Chrome Extension, even if the Override Data toggle is turned off. This ensures users never miss the most up-to-date employer information.

If you don't want the candidate's current organization to be added to your database while sourcing candidates through LinkedIn, you can disable the feature in the Account Settings:

Only the account owner will be able to manage the settings.

When a new candidate is added to the database, if the current organization is available and the same organization is present in the database, the candidate will be automatically associated with the current organization based on the company’s.

If we are unable to match the candidate to a company it will simply be stored as plain text.

View All Candidates Employed at a Company


1. Inside a candidate’s profile, click the Current Organization field value to open that company’s profile page.

2. On the company profile, scroll down and click the Candidates Employed tab.

3. Here, you will see a list of all candidates currently working for that company.

From this tab, you can perform bulk actions such as assigning them to a job, updating fields, composing an email, adding a note, and more.

You can also hide specific fields and run an Advanced Search within this list to refine the view.

When saving a company via the Chrome extension, you will have the option to also save the associated contact as a candidate. If selected, that person will be added as a candidate in the system and automatically appear under the Candidates Employed tab for that company.


Troubleshooting


Problem: The Current Organization field is not visible when adding or editing a candidate.

Likely cause: The field is hidden in your layout.

What to check: Look for the help button in the Employment Information section and confirm field visibility settings.

Resolution path: Make the Current Organization field visible in the layout, then return to the candidate form and fill it in.


FAQs


Can I stop new companies being created from LinkedIn sourcing?

Yes. If you don't want the candidate's current organization to be added to your database while sourcing candidates through LinkedIn, you can disable the feature in the account settings. Only the account owner will be able to manage the settings.
