What this feature does & when to use it?
Assigning candidates to jobs lets you assign people to specific open roles directly from the candidate list page, candidate profile page, job profile page, or while creating a new candidate. You can use this when:
You want to assign one or more candidates to open jobs.
You need to email primary job contacts at the same time as assigning candidates.
You’re viewing a job profile and need to assign existing or new candidates.
You’re parsing resumes or using the Chrome extension and want to assign candidates immediately.
Before you begin:
Please note:
Ensure job records have primary contacts with valid email addresses if you plan to email them.
Have your candidate resumes and attachments ready if you plan to share files.
1. Assign a candidate from the candidate list page:
From the candidate list page, select the candidate(s) you want to assign by clicking the checkbox beside each candidate’s name. At the top of the list, you will see new action options appear, including the option to assign the selected candidates to a job.
Use the assignment options to either create a new job or select one of the existing jobs in your database.
During this process, you can also choose to immediately update the hiring stage of the candidate for the selected job. If the candidate is already assigned to that specific job, the system will alert you with a pop‑up so you do not create duplicate assignments.

While assigning candidates to jobs from the candidate list, you can choose to directly email the primary contacts of the selected jobs.
This allows you to assign candidates and share their details with job contacts in a single workflow.
In the job assignment window, click the Email Contacts button at the bottom. Then complete the assignment by clicking Assign or Assign and Update Stage, as required. If you have selected candidates who are already assigned to the job, the system will skip reassigning them, but they will still be included in the email that is sent to job contacts.
A pop‑up will appear where you can select which candidate fields and files to share (for example, resume, summary, or other attachments).
Once you have made your selections, click Generate Email.
If any of the selected job contacts are missing an email address, a validation box will appear listing those records.
You can review the highlighted records in the validation box and then click Continue to proceed with the valid contacts only.
After continuing, you will be redirected to the Compose Email screen. Here, the email will be pre‑filled with:
Recipients (only primary contacts linked to the selected jobs)
A subject line
The default Pitch candidate template
The candidate details and files you selected
Review the email content and simply click Send to share the candidates with the selected job contacts.
Note
Only the first 20 candidates (based on the last updated date) will be included in the email.
Only primary contacts linked to the selected jobs will receive the email.
2. Assign a candidate from the candidate profile
To assign a candidate from the candidate profile/details page, scroll down to the candidate’s job section and click the Assigned Jobs tab.
There, you will be able to see all the jobs the candidate is currently assigned to and assign them to a new job by clicking on Assign to Jobs.
Jobs that the candidate is already assigned to will be pre-selected and will not be selectable again, and you will have the option to view unassigned jobs for easier selection.
3. Assign candidates from Job Entity
Job details page:
From inside a job profile, use the Assign Candidates option to add existing candidates to that job. If a candidate does not yet exist in your database, you can parse their resume and assign them to the job as part of the same flow.
Job Kanban View:
You can also assign candidates directly from the Job Kanban view. On the job card, click the three-dot menu and select Assign Candidates to add candidates to that specific job.
4. Using the Chrome Extension
The assignment can also be performed via the Chrome extension.
After saving a new candidate, click on the 'Assign to Job' option on the Chrome Extension, and you will have the option to assign the candidate to the job:

5. Using the Resume Parser
You can also assign the candidate to a job using our Resume Parser Feature. Click on the 'Assign to Job' option as shown below:

Only the first twenty candidates, sorted by last updated date, will be included in the email sent to job contacts, even if you assign more than twenty in the same action.

Only primary contacts linked to the selected jobs will receive the email. Other contacts on the job who are not marked as primary will not be included.
