The bulk export candidate files feature allows you to export/download files for multiple candidates at once from the Candidate List page. You can export all files, only resumes, job-associated documents, or specific custom file fields. The export runs in the background, and you’ll be notified in-app and via email once it’s ready.
Use this when you need to download resumes in bulk, export job-related documents, create a backup of candidate files, or extract file data for reporting or sharing.
Step-by-step instructions
1. To begin the export process, navigate to the candidate list page. Use the checkboxes to the left to bulk-select the records you wish to export.
2. Once you've made your selections, click on Export button from the top bar.
3. Scroll to the bottom of the export pop-up to locate the file fields section, where you can choose the specific files you want to export.
Export All Files: Select All Files to export every file stored in the candidate's profile, including resumes, job-associated documents, custom file fields, and profile pictures.
Export Only Resume Files: Selecting Resume will export all files currently under the default resume field for the candidate.
Export Job-Associated Files: Select this option to export files submitted through the job application form, such as cover letters and other job-specific file fields.
Export Individual Custom File Fields: Besides the fields already mentioned, you can access all the file-type custom fields here so you can export them selectively.
4. When ready, click the Export button. A confirmation message will pop up.
5. After initiating the export, you will receive an in-app notification once the files are ready for download.
6. Additionally, an email will be sent to you from support@recruitcrm.io when your data files are prepared. The process may take a few minutes, depending on the file size.
Note:
Please note that the download link for the exported file expires in three days. Ensure you download your files before they expire.
You can export files for up to 1,000 candidates at a time. If you attempt to export files for more than a thousand records, only the first thousand candidates' files will be processed.
Troubleshooting
Problem: The export email has not arrived.
