How to view the candidate hiring pipelines for jobs in Recruit CRM?

What does this feature do & when to use it?

The candidate pipeline feature shows all candidates assigned to a specific job in one place. Let's you see candidates by hiring stage, including an Applied stage for applicants.

It allows sorting by hiring stage, visibility, candidate name, and last updated date.Provides a View All option for the full assigned candidates list, where you can:

  • Run searches on assigned candidates.

  • Perform bulk actions on multiple candidates.

  • Switch to a Kanban view of the pipeline.

Use this feature when you want to:

  • Review all candidates assigned to a specific job and their current stages.

  • See which candidates have applied for a job using the Applied stage.

  • View and manage assigned candidates for all jobs under a company.

  • Check candidate pipelines related to the companies associated with a specific contact.

  • Perform bulk actions, searches, and Kanban view analysis on a job’s assigned candidates.

Before you begin

Please note:

  • Only users with permission to view a job can see that job’s candidate pipeline.

  • Only users with access to a company profile can use View Candidate Pipeline and View Assigned Candidates for that company.

  • Only users with access to a contact profile can view the jobs related to that contact’s companies and their pipelines.

Step-by-step instructions


1. View the candidate pipeline inside a job:

  1. Open the Job you want to review in Recruit CRM.

  2. On the job profile page, scroll down until you see the candidate pipeline section.

  3. Review the list of candidates assigned to the job in this pipeline.

To focus on applicants, use the Applied stage to view all candidates who have applied for that position.

Use the available sorting options to sort the pipeline by:

  • Hiring stage

  • Visibility

  • Candidate name

  • Updated on (last updated date)

To work with the complete assigned candidates list, select the View All button in the candidate pipeline section. In the View All list, you can:

  • Perform bulk actions on multiple candidates assigned to the job.

  • Run searches to filter or locate specific candidates within the job pipeline.

  • Switch to the Kanban view to see candidates organized by hiring stages.

From within the pipeline, you can also:

  • Assign candidates to the job.

  • Submit candidates to clients, using the available submission options in the job’s candidate pipeline area.

Customize the assigned candidates list

  1. While viewing the assigned candidates list (for example, after selecting View All from the job’s candidate pipeline), click on the 'Pencil ico' at the top right corner of the page.

  2. Use the field selection interface to pick the fields you want to display as columns on the page.

  3. Use the search bar within the field selection to quickly find specific fields by name.

  4. Add or remove fields (columns) from the assigned candidates list as needed, including fields like stage date.

  5. Rearrange the order of the columns by dragging them up or down in the configuration panel.

  6. Save or apply your changes so that the assigned candidates list reflects your chosen columns and column order.

2. View candidate pipelines inside a company

  1. Open the Company profile you want to review.

  2. On the company profile page, locate the section that lists all jobs associated with the company.

  3. Use the available job status filters to filter the list of jobs based on their job statuses.

  4. For any listed job, select the View Candidate Pipeline option to see the candidate pipeline for that specific job.

  5. To see all candidates assigned to all jobs for this company in one place, select View Assigned Candidates on the company profile.

3. View candidate pipelines inside a contact

  1. Open the Contact profile you want to review.

  2. On the contact profile page, locate the section showing jobs related to the companies that the contact is associated with.

  3. For each job listed, you will see the respective candidate pipeline linked to that job.

  4. From this contact profile view, you can perform the same actions available inside the company profile.

Use these pipelines to understand which candidates are in process for the jobs connected to the contact’s associated companies.

Troubleshooting


Problem: The Applied stage shows no candidates, but you know candidates applied

Likely cause: Candidates may not be in the Applied stage or have been moved to other stages.

What to check:

Open the job’s candidate pipeline and review all stages, not just Applied.

Resolution:

Look through other stages to locate those candidates.
