WhatsApp Integration: Message Candidates & Contacts Right Inside Recruit CRM

What this feature does and when to use it?

The WhatsApp Integration helps recruiters manage candidate and contact communication without switching between Recruit CRM and WhatsApp.

This feature is useful when you want to:

  • Communicate with Candidates and Contacts directly from Recruit CRM.

  • Manage WhatsApp and LinkedIn conversations from one place.

  • Send attachments and voice messages during conversations.

  • Keep conversations accessible while working on other Recruit CRM pages.

  • Control who can view your WhatsApp conversations.

Please note: This feature is currently in Beta and will be gradually rolled out to all users.


How to connect WhatsApp with Recruit CRM


You can connect your WhatsApp account from Profile Settings → WhatsApp Integration.

  • Go to Profile Settings → WhatsApp Integration and click Connect.

  • A QR code will be displayed. Open WhatsApp, go to Linked Devices, and scan the QR code to connect your account. You can also use the pairing code method.


Send and receive WhatsApp messages


Once WhatsApp is connected, you can communicate with Candidates and Contacts directly from their Recruit CRM profiles.

To start a WhatsApp conversation, the Candidate or Contact must have a WhatsApp-linked phone number saved in the default phone number field.

If no phone number is available, Recruit CRM prompts you to add one. If the saved number is not associated with a WhatsApp account, Recruit CRM informs you that a WhatsApp conversation cannot be started with that number.

You can also:

  • View conversations from other team members, depending on message privacy settings.

  • Use AI Assist to draft WhatsApp and LinkedIn messages.


Unified Messaging interface


WhatsApp, LinkedIn Classic, and LinkedIn InMail conversations are available through a common Messaging interface.

You can search conversations and filter them by messaging channel. All Chats is selected by default. From the conversation screen, you can also switch between available messaging channels without leaving the Candidate or Contact profile.

If both LinkedIn and WhatsApp are connected, LinkedIn is shown as the default channel. Recruit CRM remembers your selected messaging channel, so your preference is retained when you return to the Messaging widget.

Send attachments:

You can send attachments directly from WhatsApp conversations in Recruit CRM.

Files received from Candidates or Contacts can also be opened or downloaded from the conversation.

Send audio messages:

You can record and send WhatsApp audio messages directly from Recruit CRM. This provides a similar experience to sending voice messages directly from WhatsApp.

After recording, you can:

  • Play or pause the recording.

  • Delete the recording.

  • Send the recording.

WhatsApp message status:

Delivery status is displayed directly on sent WhatsApp messages:

  • Single tick: Message sent but not delivered.

  • Double tick: Message delivered but not seen.

  • Blue double tick: Message delivered and seen.

Please note: Read status updates may take slightly longer to appear in Recruit CRM than in WhatsApp.

Deleted messages:

If a user selects Delete for Me/Delete for Everyone in WhatsApp, the message will remain visible in the corresponding conversation in Recruit CRM, as the deletion is not synced to Recruit CRM.

Note: We are working on syncing deleted WhatsApp messages. Once it is implemented, if a user selects Delete for Me/Delete for Everyone in WhatsApp, the message will not remain visible in the corresponding conversation in Recruit CRM.

Recruiters also receive an in-app notification when a new WhatsApp reply is received.


Dock conversations while working


WhatsApp conversations can be docked at the bottom of Recruit CRM, allowing you to continue chatting while working on other pages.

You can keep up to two conversations docked at the same time. Docked conversations can be minimized, maximized, closed, or dragged horizontally to change their position. If a third conversation is opened, it replaces the oldest docked conversation.


Control who can see your WhatsApp messages


The Hide my messages setting is available for connected WhatsApp accounts under Messaging Integration.

When enabled:

  • You can continue viewing your own conversations.

  • You can continue viewing teammates' conversations where permitted.

  • Other teammates cannot view your WhatsApp conversations.

When disabled, teammates can view the conversations through Team Chats under the specific profile.


WhatsApp credits


WhatsApp Integration uses a credit-based model. The cost is 100 Recruit CRM Credits per connected user for 30 days.

Once enabled:

  • 100 credits are deducted for the user.

  • WhatsApp access remains active for 30 days.

  • Access automatically renews after 30 days if the option remains enabled.

  • If disabled before renewal, no additional credits are deducted, and access ends at the end of the current period.

You can track deductions through WhatsApp Credit History in RCRM Credits. If Recruit CRM cannot process the required credits, the connected user receives an in-app notification with an option to add more credits.


Troubleshooting


WhatsApp conversation cannot be started

Likely cause: The Candidate or Contact does not have a WhatsApp-linked number saved in the default phone number field, or the saved number is not associated with WhatsApp.

What to check: Confirm that the correct phone number is saved in the default phone number field and that the number is linked to WhatsApp.

Resolution: Update the phone number if needed and try starting the conversation again. Recruit CRM will indicate when the saved number is not available on WhatsApp.

Teammates cannot see WhatsApp conversations

Likely Cause: The Hide my messages setting is enabled under Messaging Integration, which restricts other teammates from viewing the user's WhatsApp conversations.

What to check: Review the Hide my messages setting under Messaging Integration.

Resolution: If the setting is enabled, disable it to allow the conversations to be visible to permitted teammates through Team Chats.
