Job Change Alert Report

What this feature does and when to use it?

Recruit CRM automatically checks your existing candidates' and contacts' records publicly available data and lets you know when it detects a job change. This could mean the candidate/contact has moved to a completely new company or simply gotten a new title while staying at the same company, either way, you'll see it reflected as an alert under the 'Job Change Alert' Report.

When Recruit CRM detects a change, a badge appears on the record's details page, showing the previous organization/title alongside the newly detected organization/title. Every pending alert also shows up under Reports → Job Change Alert Report, so you can review them individually from a profile or handle several at once from the Reports section.

Job Change Alerts are useful whenever you want to:

  • Know when a candidate or contact has moved to a new company.

  • Catch a title change at the same company, which can signal a promotion or shift in seniority worth noting on their record.

  • Keep current organization and title fields accurate across your database without manually checking each profile.

Before you begin:

Please Note:

  • Job Change Alert report is available only on the paid plans (Pro, Business and Enterprise).

  • Users with view access to a specific candidate or contact records will be able to view only those records in this report.

  • You need Edit access to a record to update or dismiss its alert. If you don't have edit access and try to click Update, you'll see a "No access" screen instead.

  • On the Free plan, detection doesn't run at all, and you'll still see the Job Change Alert Report, but it will remain empty. If you later upgrade to a paid plan, detection for your account begins from the next monthly detection cycle.

  • One Manual job update/Automated job update (candidate or contact) will consume 1 Recruit CRM Credit.

How does a job change get detected?

For any record to be checked, it needs a valid LinkedIn profile URL added under the default LinkedIn Profile URL field, and the system uses it to match the record against the data source.

Along with the valid LinkedIn profile URL:

  • For candidates: The record needs at least one Work history entry with "Currently working in this role" toggled on, along with a start date for that role, company, and title filled in for that entry.

  • For contacts: The record needs a current title and company name on the record. If a contact is linked to more than one company, the system checks against all the companies.

Once the required data in the fields is available, the system matches records via LinkedIn URL against the publicly available data. An alert is generated only when the publicly available data's latest job start date is more recent than the record’s work history in Recruit CRM and either the company or title has changed.

This detection check runs once every month, so alerts are refreshed on a monthly cycle rather than in real time.


Accessing/Reviewing/Updating the Job Change Alert


There are 2 ways of accessing the Job Change Alert that is detected:

  • From the Reports section.

  • From the Candidate/Contact's Details Page. You can review the alert, update or dismiss the alert.

From the Reports section:

1. Go to Reports → Job Change Alert Report to see every candidate and contact with a pending alert in one place.

From here, you can:

  • Filter the list by record type, so you can look at candidate updates or contact updates separately.

  • Search by the record's name or company to find a specific person quickly.

  • You can check the 'Start Date' column, which reflects the start date of the record's newly detected job.

  • You can apply Filters on the 'New Organization' and 'Start Date' columns.

  • Name column shows the name of the candidate or contact record the alert belongs to.

    Current Organization and Title shows the current organization and title currently saved on that candidate or contact's record inside your database.

    New Organization and Title shows the new organization and title we've detected for them.

You can scroll towards the right of the page and click on the 'Update' button to update the candidate's/contact's record individually:

Or you can bulk select the records and click on the 'Update Profiles' option to update the records in bulk:

Since bulk updates can take a moment to process, they run in the background, and you'll get a notification once they're complete.

From the Candidate/Contact's Details Page:

1. When a job change is detected, an alert badge appears on the record's details page showing:

  • Previous organization and title

  • New organization and title

  • An Update button to apply the change and each accepted update consumes 1 Recruit CRM Credit.

The badge stays until you click on the 'Update Profile' or 'Dismiss', or a newer job change is detected. Dismissing removes the alert from both the profile and the report and the same alert won't reappear in future cycles, but a new one will appear if the candidate/contact moves jobs again.


What Happens on Update?


For Candidates:

  • The system updates the Current Organization and Current Title/Position.

  • Creates a new work history entry with the detected job details.

  • If the previous work history entry had "Currently working in this role" toggled on, its End Date is set using the publicly available data (left blank if unavailable).

  • If the candidate has reached the maximum number of work history entries, the oldest is removed to make room.

  • If the new employer doesn't exist as a company record, it is stored as plain text and no company record is auto-created.

Note: When a work history entry is created via a Job Change Alert update, mandatory work history field validation is bypassed. If mandatory fields configured in your account are not available from the publicly available data, those fields will remain empty in the new entry.

For Contacts:

  • The system updates the Company and Title fields.

  • For contacts linked to more than one company: the system check the publicly available data for an end date on each company. If a company has an end date, it's removed from the contact's record. Companies without an end date stay as they are, and the newly detected company is added on top.

  • If the new company doesn't exist in your account, it is auto-created as a company record (name, website, logo filled from the publicly available data). Mandatory field validation for company creation is bypassed in this scenario.


Setting up automated updates


If you'd rather not review these manually every time, you can turn on automatic updates. Users with access to the Recruit CRM Credits page will be able to perform this action:

1. Go to Admin Settings → Credit Log. Click on the Settings icon on the top right section.

2. Turn on the 'Auto Update Candidate Records' and 'Auto Update Contact Records' toggles and click on Save.

This can be switched on separately for candidates and for contacts, depending on which record type you want automated.

Please note: Each successful update, whether you apply it manually or it happens automatically, uses 1 Recruit CRM Credit.

When enabled:

  • Once you turn this on, any updates that were already pending for your account are applied immediately. From then on, new updates are applied automatically every month as part of the regular detection cycle, as long as you have enough credits to cover them.

  • The system checks for updates every 30 days and applies them automatically.

  • A badge on the work history entry indicates an automated update; hovering shows "Updated by Recruit CRM."

  • If credits run out mid-cycle, automated updates pause and the Account owner and all Admins receive an in-app and email notification: "Automated job change updates paused due to low credits." Updates resume once credits are available.


Additional Notes


  • Duplicates: The system won't generate duplicate alerts for the same record (unless there is a newly detected job/company). A dismissed alert won't reappear unless the person moves to a different role or company later.

  • Merged records: When two records are merged, the job change check re-runs for the merged record and alerts are surfaced accordingly.

  • Deleted records: Deleting a candidate or contact removes their entries from the Job Change Alert Report.

  • Manual work history match: If you manually add a work history entry matching an active Job Change Alert, the badge and the corresponding report entry are automatically removed.

Conclusion:

Job Change Alerts help you keep candidate and contact records up to date without manually checking each profile. You can review and apply updates one at a time from a record's badge, handle several together from the Job Change Alert Report, or turn on automated updates so the system applies them for you every month.
