✨ What this feature does and when to use it?
The Candidate Custom Field Parsing Agent uses AI to analyze resumes and automatically fill candidate custom fields based on the Field Description configured for each field. This works across supported sources such as resume uploads, job board applications, Chrome Extension imports, and other external candidate sources.
This feature is especially useful when you:
• Want to automatically extract information from resumes and populate selected candidate custom fields during parsing.
• Want to reduce manual updates after resume parsing.
• Need more consistent candidate data across records.
Important Notes
The Field Description acts as an instruction for the AI and helps define what information should be extracted from the resume and populated into that field. More specific descriptions generally produce more accurate results.
To maintain reliable performance, parsing can be enabled for up to 10 candidate custom fields per account. Fields with parsing enabled display a purple parsing icon in the custom field list for quick identification.
⚙️ Step-by-Step Instructions
1. Go to Admin Settings in Recruit CRM and navigate to the Candidate Fields under Data Customization.
2. Enable AI Parsing for Candidate Custom Field:
Enabling it while creating New Custom Candidate Fields:
1. On the Candidate Data Customization page, click the + New Custom Field button to create a new candidate custom field.
2. Enter the Field Name and choose the appropriate Field Type.
Note:
1. Certain field types are not supported for parsing, such as:
File type fields
Entity type fields
Date-time type fields
For these field types, the ‘Enable Parsing Agent’ option will not be shown while creating or editing the field.
2. Additionally, Dropdown and Multi-Select fields support parsing only when they contain 100 values or fewer. If these fields contain more than 100 values, the parsing option will remain disabled, and you will not be able to enable parsing for that field.
3. In the Field Description area, write a clear description as the field description helps the AI understand what type of information should be extracted and what kind of value is expected in the field.
Make sure that the description is between 30 and 500 characters. The Enable Parsing Agent checkbox remains inactive until a valid description is entered.
💡 Example Field Description: For a certifications field: "Identify and list all professional certifications and industry-specific qualifications mentioned in the candidate's resume."
For a notice period field: "Extract the candidate's stated notice period or availability to start, expressed in weeks or months."
4. Once a valid description is added, the Enable Parsing Agent checkbox becomes active. Select the checkbox and save the field to enable AI parsing for that custom field.
After the field is saved with parsing enabled, the live parsing counter updates automatically to reflect the total number of parsing-enabled fields in the account.
5. Once the custom field is saved with parsing enabled, the AI will automatically attempt to extract and populate values for that field during resume parsing.
Enabling AI Parsing for an Existing Candidate Custom Field:
1. On the Candidate Custom Fields page, locate the existing field you want to update. Open the field for editing by clicking on the pencil icon.
2. Add or update the Field Description to clearly explain what information should be extracted and what kind of value is expected. Ensure it meets the 30 to 500-character requirement.
Once a valid description is present, the Enable Parsing Agent checkbox becomes active. Select it to enable parsing, or clear it to disable parsing for this field.
3. Review the live parsing counter to ensure the total does not exceed 10 enabled fields, and save your changes.
📌 Note: You cannot change the field type of an existing candidate custom field.
Managing Parsing-Enabled Custom Fields
Recruit CRM allows AI parsing to be enabled for up to 10 candidate custom fields per account.
Follow these steps to manage the parsing limit:
Go to Admin Settings → Data Customization → Candidate Custom Fields.
Review the live parsing counter displayed on the page (for example: 07/10) to see how many fields currently have parsing enabled.
If the maximum limit has been reached:
Open any parsing-enabled custom field that is no longer required.
Disable the Enable Parsing Agent option for that field.
Save the changes to make that parsing slot available again.
You can then enable parsing for another custom field as needed.
📌 Please note: Once the limit of 10 parsing-enabled fields is reached, the Enable Parsing Agent option becomes unavailable for additional fields until an existing parsing-enabled field is disabled.
Enable Parsing for a Child Field
If a candidate custom field is configured as a child field, the parent field must first be configured correctly before parsing can be enabled for the child field.
Before enabling parsing for a child field, ensure that the parent field:
Has a valid Field Description between 30 and 500 characters.
Has parsing enabled for that field.
If these conditions are not met, the following message will appear:
“Add description and enable parsing for parent field to parse child field”.
Complete the parent field configuration first, then return to the child field and enable parsing.
🛠️ Troubleshooting
Problem: “Enable Parsing Agent” checkbox is disabled and cannot be selected
Problem: “Enable Parsing Agent” checkbox is disabled and cannot be selected
Likely cause: No valid Field Description has been entered, or the description does not meet character limits.
What to check:
Confirm that the Field Description field is filled and check that the description meets the minimum and maximum character limits:
Minimum: 30 characters
Maximum: 500 characters.
Resolution:
Edit the Field Description to be within the allowed character range.
Once valid, confirm that the Enable Parsing Agent checkbox becomes active and then select it.
Problem: Cannot enable parsing for another custom field
Problem: Cannot enable parsing for another custom field
Likely cause: The account has already reached the maximum of ten candidate custom fields with parsing enabled.
What to check:
Review the live parsing counter on the Candidate Custom Fields page.
Resolution:
Identify fields that currently have parsing enabled but are less critical.
Edit one or more of those fields and clear the Enable Parsing Agent checkbox to reduce the count.
Then enable parsing on the new field you want to prioritize.
Problem: AI parsing is enabled, but the custom field remains empty after resume parsing
Problem: AI parsing is enabled, but the custom field remains empty after resume parsing
Likely cause:
The resume does not contain information matching the field description.
The Field Description is too vague or unclear for the AI to interpret.
What to check:
Review the Field Description and confirm it clearly states what information should be extracted and in what form.
Check the resume to verify that the expected data actually appears.
Resolution:
Improve the Field Description to be more specific about the information and value format.
Test with another resume that clearly includes the target information.
Problem: Unable to change the field type of an existing candidate custom field
Problem: Unable to change the field type of an existing candidate custom field
Likely cause: Existing system behavior does not allow editing the field type of already created candidate custom fields.
Resolution:
Keep the existing field type as is.
If a different field type is required, create a new candidate custom field with the desired field type and, if needed, enable the parse agent for that new field.
❓ FAQs
Why is the “Enable Parsing Agent” option disabled?
