Changing Hiring Stage (New UI)

Hiring Stage lets your team gain a better understanding of where a candidate is standing for each job.

What this feature does and when to use it?

Hiring Stages help you track a candidate's progress throughout your recruitment process for each job they are assigned to. You can update hiring stages from both the Candidate Profile and the Job Details page, add remarks, create follow-up tasks, and maintain an accurate hiring history.

This feature is useful when you want to:

  • Track a candidate's progress through your hiring pipeline.

  • Update a candidate's hiring stage for a specific job.

  • Add remarks or create follow-up tasks while changing a hiring stage.

  • Bulk update hiring stages for multiple candidates.


Update a candidate's hiring stage


You can update a candidate's hiring stage from either the Candidate Profile/Details Page or the Job Details page.

1. Update the hiring stage from the Candidate Profile

  • Navigate to the Candidate entity and open the required candidate's profile.

  • Open the Assigned Jobs tab, locate the relevant job, and click on the candidate's current Hiring Stage.

  • Select the appropriate hiring stage from the dropdown list.

The available stages are based on your Hiring Pipeline configuration, such as Shortlisted, Assigned, Interview, Rejected, Placed, and more. You can also add a remark or create a follow-up task before saving the stage update.

Note: A red dot appears on the Remark icon whenever the candidate's current hiring stage includes a remark added by either you or the client.

Click the Remark icon to view the remark.

When updating an individual candidate's hiring stage to Placed, you can also update the candidate's Current Salary by enabling the Update Current Salary toggle, clicking the Pencil icon, entering the updated salary, and saving the hiring stage.

2. Update the hiring stage from the Job Details page

  • Navigate to Jobs and open the required job.

  • Under the Candidate Pipeline tab, choose the relevant candidate and click on the candidate's current Hiring Stage.

  • Select the appropriate stage from the dropdown menu and hit submit to save the changes

You can also update hiring stages for multiple candidates; click View All from the Candidate Pipeline.

  • List View: Click an individual candidate's hiring stage to update it, or select multiple candidates and perform a Bulk Update of their hiring stage.

  • Kanban View: Simply drag and drop candidates between hiring stages to update their status.

You can also edit remarks or delete hiring stage history entries directly from Stage History.

  • Open the candidate's Stage History and click the three-dot (⋮) menu beside the relevant entry.

  • Select Edit or Delete.

Please note: The Edit/Delete option is not available for stages or remarks added by the client, the initial Applied or Assigned stage in the candidate's current hiring history, or the latest Assigned stage created after a candidate has been unassigned and reassigned.


Troubleshooting


Problem: I don't see the option to update the candidate's current salary.

Likely Cause: The option is only available when changing an individual candidate's hiring stage to Placed.

What to Check: Confirm that you're updating a single candidate's hiring stage to Placed.

Resolution: Change the hiring stage to Placed, and the Update Current Salary option will become available.

Can I update hiring stages for multiple candidates at once?

Yes. From List View, you can select multiple candidates and perform a bulk update of their hiring stage.

2. Can I customize the hiring stages?

Yes. Hiring stages can be customized from the Hiring Pipeline in your Admin Settings.
