What this feature does and when to use it?
The Public/Private Email feature allows you to control the visibility of individual emails in Recruit CRM.
When an email is marked as Private:
It will be hidden from the Related Emails tab in the Candidate or Contact record.
It will not be visible to your team members.
You can still access it from your Private Emails folder in your Mailbox.
Marking an email as Public makes it visible to your team wherever related emails are displayed in the system.
This feature is particularly useful when you need to:
Keep sensitive candidate or client email conversations private.
Hide specific emails without disabling email sharing for all emails.
Control which email conversations are visible to your team.
Before you begin:
By default, this feature is available to Admins and the Account Owner.
Business Plan users can also create a custom role and grant permission to users in that role to Make an email conversation private in the related email tab.
Only the sender (email owner) can mark their emails as private or public.
📥 How to Mark Emails Private or Public
1. From the Mailbox
Navigate to Mailbox in Recruit CRM.
Select the email(s) you would like to make private by checking the box next to each email. You can also use the checkbox at the top to select all visible emails.
Click Make Email Private.
Once Emails marked as private:
The selected emails will be hidden from other team members.
They will no longer appear in the Related Emails tab of linked candidate or contact records.
They will remain visible to you in your mailbox, including the Private Email tab and the All Email section.
Additionally, if you'd like to make private emails visible to your team again, simply select the desired emails in your mailbox and click Make Email Public.
The emails will then reappear in the Related Emails tab of the associated candidate and contact records.
2. From a Candidate or Contact Profile
Open the relevant Candidate or Contact profile.
Navigate to the Related Emails tab and open the email conversation you want to manage.
Click the lock icon in the top-right corner of the email and select Make This Conversation Private.
Please note: After the conversation is marked as private, the conversation will remain accessible only to you and the email recipients, including anyone added in CC or BCC.
To make the conversation visible to your team again, click the lock icon and select Make This Conversation Public.
