Mark email IDs and Domains as Confidential (New UI)

This article explains how to mark email IDs and domains as confidential in Recruit CRM so that email communication with specific candidates, contacts, or entire domains is hidden from the rest of your team.

What this feature does and when to use it?

This feature gives you the ability to hide all email communication with specific Candidates/ Contacts or a specific domain of your choice from the rest of your team by making their email IDs confidential.

You can add individual candidate or contact email addresses, or entire domains, to a blocked list. Once blocked, all sent and received emails associated with those email addresses or domains are hidden from:

  • The Related Emails tab on candidate, contact, and company records.

  • The Sent Email Conversation KPI in Team Performance Reports.

  • These emails remain visible only within your personal mailbox in Recruit CRM, helping you control who can access sensitive or confidential communications.

This feature is especially useful when:

• You need to keep communication with certain candidates or contacts private from other team members.

• You want to hide all emails associated with a specific client or company domain.

Before you begin:

Please Note


  • Only the account owner, admins, and users with custom permissions can block email IDs and domains.

  • Making an email ID or domain confidential is account-specific. All email exchanges with that email ID or domain and any user on your account will be hidden from the rest of the users.

  • Blocked emails will still be visible in your personal mailbox within Recruit CRM.


How to block an email ID or domain


  1. Click on your profile icon in Recruit CRM and navigate to Email Settings → Blocked Emails/Domains.

  2. Click Add to Blocked List.

  3. In the popup window, enter the email address or domain you want to block, then select the appropriate email ID, candidate, contact, or domain from the suggestions.

  4. Review the selected email address or domain and click Save.

• A message will appear in the Related Emails tab indicating that the email address or domain has been blocked.

• A Blocked tag will appear alongside the email communication in your mailbox and in Team Performance Reports, indicating that the emails are confidential.


How to unblock an email ID or domain


Account owner control:

  • If the account owner blocks an email ID, other users will not be able to unblock it.

  • Only the account owner can unblock an email ID that they have blocked.

  1. Click on your profile in Recruit CRM and navigate to Email Settings → Blocked Emails/Domains.

  2. Locate the email address or domain you want to unblock. You can use the search bar to quickly find a specific blocked email address or domain.

  3. Click Unblock next to the relevant email address or domain and confirm your selection.

Once unblocked, the email address or domain is removed from the blocked list, and email communication associated with it will no longer be treated as confidential. All the related emails will again be visible according to your account's normal email visibility settings.


Troubleshooting


Problem: Emails with a candidate or contact are missing from the Related Emails tab.

Likely cause: Their email ID or domain has been blocked (marked as confidential). What to check:

  • Open Email Settings and go to the Blocked Emails and Domains tab.

  • Search for the candidate’s email ID or their domain.

Resolution:
If you have permission and the email is blocked, click Unblock next to the email ID or domain to restore visibility.

Problem: You cannot unblock a specific email ID.

Likely cause: The email ID was blocked by the account owner.

What to check:
Confirm that the email ID appears in the blocked list and that the Unblock option is not available for your role.

Resolution:
Contact the account owner and request that they unblock the email ID, as only the account owner can unblock email IDs they have blocked.
