Setting Up and Managing Target Reports in Recruit CRM

What does this feature do & when to use it?

The Target Reporting feature in Recruit CRM empowers you with advanced tools to set, monitor, and report on Key Performance Indicators (KPIs). This feature allows users to create comprehensive target reports for company members, roles, teams, and individuals, providing detailed insights into performance against set targets.

With customizable KPIs, reporting permissions, API support, and automation capabilities, you can effectively track goals and enhance performance management across teams.

Targets have default statuses such as upcoming, active, or completed, and they automatically stop tracking after the end date unless you extend them.

Before you begin

  • Only account owners, admins, and custom roles with access to Target reports can view and create targets.

  • Ensure you know which target type you want to set (individual, teams, roles, or company-wide).

  • Decide the KPIs you want to track. The KPIs available in target reports are the same as those in the team performance report.

  • Confirm the target frequency and the start and end dates for tracking.

  • Decide whether you want email notifications sent to assignees when targets are completed.

🎯 Setting Up a Target


  1. Go to Admin Settings and click on Target Reports.

  2. Click on Create New Target.
    ​

  3. Fill in the target details, including:

    1. Title

    2. Target type (individual, teams, roles, or company-wide)

    3. Assignee

    4. Timeline (frequency)

    5. Start date, End date

    6. KPIs and

    7. Target value

    For Frequency, choose how often the KPI is tracked (for example, weekly or monthly).
    ​

  4. For Start and End Date, define when to begin and stop tracking. Targets automatically stop tracking after the end date, but you can extend a target by editing the end date.
    ​

  5. For KPI selection, choose one or more KPIs (such as calls per week or meetings per month) and assign values. The KPIs available are the same as those in the team performance report.
    ​

  6. To add more than one KPI to a single target report, click Add Another KPI.
    ​

  7. Review the status behavior: targets will move through statuses such as upcoming, active, or completed based on dates and progress.
    ​

  8. Click Create to save the target.
    ​

Search, filter, and customize target list view


  1. In the Target Reports list, use the search bar to search for targets by name.
    ​

  2. Use filters to filter targets by frequency.
    ​

  3. Click Show or Hide Column to customize which columns are visible in the list view.
    ​


📊 Viewing and Generating a Target Report


  1. Go to the Reports section and open Target Reports.
    ​

  2. In the target report view, track performance by monitoring teams, individuals, or roles against assigned KPIs within the set dates and frequency.
    ​

  3. Review the chart where the red line represents the target set.
    ​

  4. Use the report controls and filters in the target report to adjust what you are viewing (for example, entity type or date range).
    ​

  5. In the chart, click on any bar to view the detailed entity data behind that result. The bar is clickable and opens more detailed data.
    ​

  6. Use the additional interactive controls in the report to explore more details or switch between entities and KPIs.
    ​

  7. From the target reports area, you can also create a new target from scratch if needed.
    ​

Export target reports:

  1. In the target report view, use the export controls to export the graphic as a PNG, JPG, or .SVG file.
    ​

  2. Click the Export to CSV button to export the report data as a CSV file.
    ​


📩 Automated Emails When a Target is Achieved


You can notify Assigned Teams/Roles/Individuals when a target is completed. Please notice that the Account Owner and Target Creator also receive notifications.

To achieve this, turn on the 'Send Email Notifications to Assignees' toggle in Target Reports inside the Reports section.

Turn on the Send Email Notifications to Assignees toggle to enable automated emails when a target is completed.

When enabled, assignees or assigned teams, roles, or individuals will be notified when a target is completed.
​The account owner and the target creator also receive notifications.
​


🔗 Sharing, Embbeding, and Auto-Refreshing Target Reports


  1. You can also share your report externally through a unique link. In the target report view, click Share Report.
    ​

  2. In the sharing settings, enable the target report direct link to generate a unique external link for the report.
    ​

  3. Use the same controls to disable the direct link when you no longer want the report to be accessible externally.
    ​

  4. Turn on Auto-refresh to refresh the report data at predefined intervals that you set.
    ​

  5. Copy the target report URL to share it externally, and use the preview option to see how the shared report will appear.
    ​

Troubleshooting


Problem: KPIs you expect are not available when creating a target

  • Likely cause: You are expecting KPIs that are not part of the team performance report.

  • What to check: Review the KPIs available in the team performance report, as target report KPIs match this list.

  • Resolution: Use one of the KPIs that exists in the team performance report, or adjust your reporting expectations to those available KPIs.

FAQs


Q1: What happens when a target reaches its end date?

Targets automatically stop tracking after the end date. You can extend tracking by editing the target and updating the end date.
