What does this feature do & when to use it?

Import mapping templates let you save the way you map your CSV or XLS columns to Recruit CRM fields during an import. Once saved, you can apply the same template to future imports so the fields are mapped automatically. This removes the need to repeat the manual mapping process for files with the same structure. You can use this when:

  • You frequently import CSV or XLS files with the same column structure.

  • You want to avoid manually mapping each column to a Recruit CRM field on every import.

  • You need consistent, repeatable field mapping across multiple imports.

  • You want to reduce mapping mistakes during candidate data imports.

Before you begin

  • Ensure you have a CSV or XLS file ready to upload.

  • Confirm that your file has clear column names that can be used for mapping.

  • Be aware that if you choose the option to include the first header row of the CSV or XLS file in a way that removes column names for mapping, you will not be able to save a template.

  • Only the creator of a mapping template can edit or delete that template.

🎯 Save a new mapping template


  1. Upload your CSV or XLS file and proceed to the field mapping stage of the import.

  2. Map each column in your file to the correct Recruit CRM field.

  3. After completing the mapping process, click the Save Mapping button to store your current field mappings as a template.

  4. Confirm the save action as prompted so that the mapping fields are stored as a template. You can also choose to share it with your teammates by enabling the Share with all teammates toggle.

  5. This lets you select the same mapping each time you upload a similar file, eliminating the need to manually map fields every time.

✏️ Delete or edit mapping templates


  1. Hover your cursor over the template you want to manage.

  2. When you hover, you will see options to edit or delete the template.

  3. Click the pencil icon to edit the existing mapping template.

  4. Click the trash icon to delete the template if you no longer need it.

  5. Only the creator of a template can delete or edit that template.

🔑 Key points to note for mapping!


  1. If there are columns in your data sheet that you do not wish to import, you can skip them by selecting Don’t import this column from the dropdown for that column.

  2. Once a field is mapped, it will no longer be available in the dropdown for mapping again.

  3. Make sure the field type in Recruit CRM matches the type of value in the column you are mapping. For example, if you are trying to map the column “Work Experience”, you need to find a field that accepts numeric values viz the Number field. If you’ve mapped it to a field that is a text field, then the values for the column Work Experience will not be imported to Recruit CRM.

  4. If a column in your spreadsheet does not match any existing field in Recruit CRM, you will need to create a custom field before importing so that the data can be stored correctly.

FAQs


Do I need to create a mapping template every time I import a file?

No. You only need to create a template once for each file structure. After that, you can select the saved template on future imports with the same column layout.

What happens if I change the column names in my CSV or XLS file?

If column names change, the template may no longer correctly identify which columns to map, and some fields may not map as expected. Keep your column names consistent when reusing templates.
