Setting Up and Customizing Your Email Signature

Your email signature is an essential part of the emails, and here's how you can create one within Recruit CRM.

What this feature does and when to use it?

The Email Signature feature allows you to create and manage a signature that is automatically added to your outgoing emails. Your signature is applied across Recruit CRM email communications, including any email sequences, helping you maintain a professional and consistent brand presence.

Use this feature when you want to:

  • Maintain a consistent email signature across emails.

  • Use different signatures for different connected email accounts.


Set Up Multiple Email Signatures


  1. Click your profile picture in the top-right corner and open Email Settings.

  2. Navigate to the Email Signature section.

  3. Use the editor to build your signature, adding any contact details, branding elements, or formatting you'd like to include.

  4. If you already have a professionally designed HTML signature, switch to Code View and paste the HTML directly into the editor.

  5. Review the signature and save your changes.

Once configured, your email signature is automatically added to outgoing emails sent from Recruit CRM, including emails sent through sequences.


Set Up Different Signatures for Multiple Email Accounts


On the Business Plan and above, you can set up two email signatures if you have connected two email accounts with Recruit CRM.

  1. Open the Email Signature settings and select the email account from the Set Email Signature for dropdown.

  2. Create or update the signature for that account.

  3. Save your changes.

Recruit CRM automatically applies the appropriate signature based on the email account selected when sending an email.

How are multiple email signatures used across Recruit CRM?

When you have multiple email accounts connected, Recruit CRM automatically applies the signature associated with the email address being used.

However, the Default Email ID signature will be used in the following areas:

  • While sending automated emails via talent pool and job application form settings.

  • Email Triggers.

  • Standard Email Templates.

To change which signature is used for these automated communications, set a different email address as your default from Email Settings by enabling the Mark as Default option.


Troubleshooting


Problem: My email signature is not appearing in emails

Likely Cause: The signature may not have been saved correctly.

What to Check: Verify that a signature has been created and saved. Also, confirm that you are sending the email from the account associated with the signature.

Resolution: Save the signature again if needed and ensure the correct sender email address is selected before sending the email.

Problem: My HTML signature is not displaying correctly

Likely Cause: The HTML code may contain unsupported formatting or syntax errors.

What to Check: Review the HTML code added through Code View and send a test email to verify how the signature appears to recipients.

Resolution: Correct any issues in the HTML code, save the changes, and send another test email to confirm the formatting displays as expected.

Conclusion

By setting up and managing your signatures correctly, you can ensure the right branding and contact information are automatically included in both manual and automated emails.
