What this feature does and when to use it?
The HubSpot integration in Workflow Automation allows records to be automatically synced between HubSpot and Recruit CRM. When a new contact, company, deal, or note is created in HubSpot, the workflow checks whether a matching record already exists in Recruit CRM. If a match is found, the existing record is updated. If no match is found, a new record is created.
This helps reduce manual data entry and keep information consistent across both platforms.
You can use this integration when you want to:
Automatically create or update contacts in Recruit CRM from HubSpot.
Automatically create or update companies in Recruit CRM from HubSpot.
Automatically create or update deals in Recruit CRM from HubSpot.
Automatically create or update notes in Recruit CRM from HubSpot.
Keep HubSpot and Recruit CRM records synchronized.
Set up separate workflows for different record types.
The integration also supports syncing in the opposite direction, allowing records created in Recruit CRM to be automatically created or updated in HubSpot.

Overview of each step in the Recipe
Set up HubSpot → Recruit CRM automation
The HubSpot to Recruit CRM workflow follows the same basic pattern for contacts, companies, deals, and notes:
New record in HubSpot → Search Recruit CRM → Check whether a match exists → Create or update the Recruit CRM record
Step 1: Trigger a workflow when a new HubSpot record is created
The workflow starts when a new record is created in HubSpot.
Depending on the recipe, the record can be a:
Contact
Company
Deal
Note
Step 2: Search for the record in Recruit CRM
The workflow searches Recruit CRM for a matching record using relevant identifying information, such as an email address.
This step checks whether the HubSpot record already exists in Recruit CRM before creating a new record.
Step 3: Check whether a matching record exists
An IF condition checks the result of the search.
If no matching record is found, the workflow proceeds to create a new record in Recruit CRM.
If a matching record is found, the workflow skips creation and updates the existing Recruit CRM record instead.
Step 4: Create the record in Recruit CRM
If no matching record exists, the workflow creates a new record in Recruit CRM using the information received from HubSpot.
The relevant HubSpot fields are mapped to the corresponding Recruit CRM fields during this step.
Step 5: Update an existing record
If a matching record already exists, the workflow updates the existing Recruit CRM record with the latest information from HubSpot.
This prevents duplicate records while keeping the information synchronized.

The same trigger, search, condition, and create/update logic applies to companies, deals, and notes.
Sync Recruit CRM records to HubSpot
The integration also supports the reverse workflow.
When a new record is created in Recruit CRM, it can be automatically created or updated in HubSpot. This allows the integration to support bidirectional synchronization between the two platforms.
New record in Recruit CRM → Create or update the record in HubSpot
Step 1: Trigger a workflow when a new Recruit CRM record is created
The workflow starts when a new record is created in Recruit CRM. In the recipe, select the relevant Recruit CRM record type as the trigger.
Step 2: Create or update the record in HubSpot (Custom)
Once the trigger is set, add the Create or Update record in HubSpot (Custom) action.
Before configuring the action, you will need to select and connect the appropriate HubSpot connection. If you are working with different HubSpot accounts or connections, make sure you select the correct connection for the workflow.
This action uses the information from the newly created Recruit CRM record to either create a new record in HubSpot or update an existing one, depending on whether a matching record is found.
Map the relevant Recruit CRM fields to their corresponding HubSpot fields to ensure the information is transferred correctly.
Step 3: Save and test the workflow
Once you have configured the trigger and field mappings, click Save and use the Test option to verify that the workflow works as expected.
The workflow will then automatically send newly created Recruit CRM records to HubSpot based on the configuration.

Conclusion
The HubSpot integration in Workflow Automation helps keep contacts, companies, deals, and notes synchronized between HubSpot and Recruit CRM. By using the available recipes, matching existing records, and creating or updating records automatically, the workflow reduces manual data entry and helps maintain consistent information across both platforms.
