This article explains how to merge duplicate job records in Recruit CRM.

What this feature does and when to use it?

This feature lets you combine two duplicate job records into a single primary job in Recruit CRM. The secondary job is merged into the primary job, and the secondary job record is then deleted.

You can use this feature:

  • When you find two or more job records that are duplicates of the same role.

Before you begin:

  • Identify which job will be the primary job (the one you want to keep) and which will be the secondary job (the one that will be merged and then deleted).

  • Ensure the secondary job does not have any draft or live job campaigns; these must be deleted before you can merge.

  • If the secondary job has an active external job posting, you must take it offline before merging.

  • You won't be allowed to do the merging process if the secondary job has approved Timesheets.

  • Candidates are retained in the merged job. If a candidate is in both jobs and has any common stages for both jobs, then their oldest assignment entry (for that stage) will be preserved.

  • The Online Candidate Link for the secondary job will be disabled post-merge.

  • If the secondary job has any Executive Search Reports, you will be notified.


How to merge jobs?


1. Open the primary job record that you want to keep in Recruit CRM.

2. On the primary job, click the three-dot menu and select Merge Job.

3. In the merge dialog, search for and select the secondary job that you want to merge into the primary job. Click the Merge button to start the merging process.

4. Once you click on the Merge button, the system will give you an intimation that the process has been initiated.

5. You will receive a notification once the merge is complete.


FAQs


What happens to the secondary job after merging?

The selected secondary job is deleted after its data is merged into the primary job.

Will any data on the primary job be overwritten?

No. Only empty fields in the primary job are updated with new data from the secondary job. Existing data on the primary job is not overridden during merging.

How will I know when the merge is complete?

After you click the Merge button, the system shows a notification that the process has been initiated, and you receive a notification once the merge is completed under the Notification section.
