All Timesheets Page in Recruit CRM

This article explains how the All Timesheets page in Recruit CRM works and how users can view, filter, and manage contractor timesheets from a single page.

The All Timesheets page, available under the Pay & Bill section, provides a centralized view of all contractor timesheets across your Recruit CRM account. Instead of navigating to individual candidates, jobs, companies, or deals, you can view, filter, manage, and take action on timesheets from a single location, improving visibility and streamlining timesheet management.

Use this feature when:

• You need a centralized view of contractor timesheets across candidates, jobs, companies, and deals.

• You want to quickly locate timesheets by filtering them based on period, status, company, job, or deal.

• You regularly submit, approve, reject, or update timesheets and want to perform these actions without opening individual records.

• You need to create timesheets in bulk for multiple contractors and contract jobs.

• You want to perform bulk actions such as creating invoices, updating time entries, exporting, deleting timesheets, or sending reminder emails.

The All Timesheets page displays all timesheets available to you based on your role and permissions, along with their associated candidate, job, company, and deal information. It supports both individual and bulk actions directly from the list view, helping you manage contractor timesheets more efficiently. Timesheets are also retained even if their associated candidates, jobs, companies, or deals are deleted or merged, ensuring historical records remain available with appropriate labels such as Deleted or Unassigned.

Accessing the All Timesheets Page


You can access the All Timesheets page by:

1. Navigate to Pay & Bill from the left-hand navigation panel.

2. In the Pay & Bill section, click the Timesheets tab.


The All Timesheets page will open, displaying all contractor timesheets available to you based on your role and permissions. From here, you can view, filter, and manage timesheets without navigating to individual candidate, job, company, or deal records.


Viewing All Timesheets in One Place


All contractor timesheets are displayed together in a single list on this page.

By default, timesheets are automatically sorted by:

  • Timesheet period (latest first)

  • Company name

  • Job ID

This sorting helps you quickly find recent and relevant timesheets.


Understanding Timesheet Information


Each timesheet row displays both entity-related and timesheet-related details, including:

  • Candidate Name

  • Job Name

  • Company Name

  • Deal Name

  • Relevant timesheet fields

If a timesheet has no logged time, it displays “No hours logged.” Zero-hour timesheets also show an indicator next to their status. Hover over the indicator to see the tooltip “No hours logged in this timesheet.”

You can click on any related entity record to open its details in a new tab.


Filtering Timesheets


The All Timesheets page allows you to filter timesheets to quickly find the records you need.

To add filters:

  1. Click Add Filters at the top-right corner of the page.

  2. Select a field from the Timesheet Fields list.

  3. Choose the required filter values to refine the results.

You can filter timesheets using the following fields:

  • Timesheet Period

  • Timesheet Status

  • Company Name

  • Job Name

  • Deal Name


Taking Action on Timesheets


From the All Timesheets page, you can:

  • Add time to open timesheets

  • Submit timesheets

  • Approve submitted timesheets

  • Reject submitted timesheets

All actions can be completed directly from this page.


Timesheets for Deleted or Unassigned Records


Timesheets are retained even if:

  • A candidate is deleted

  • A job, company, or deal is deleted

  • A candidate is unassigned from a job

Labels such as Deleted or Unassigned are shown next to the relevant record. You can still submit, edit, approve, or reject timesheets as applicable.

Note:


  • If a candidate has been deleted, the timesheets will still be available, but their Contractor Details page will no longer be accessible.

  • If a candidate is unassigned from a job, the timesheets will still be available and the Contractor Details page can still be viewed, but timesheet settings cannot be modified, and no new timesheets can be added.


Creating Timesheets in Bulk


Go to Pay and Bill, click on the Timesheets tab, and then click the Add Timesheet option from the top-left corner of the screen.


A timesheet pop-up will appear, where you can select multiple contractors and contract jobs.


Choose the timesheet period. Only time periods that are common across the selected contractors will be available and click Add to generate the timesheets.

This allows you to quickly create timesheets for multiple contractors at the same time.


Using Bulk Actions


The All Timesheets page allows you to perform actions on multiple timesheets at the same time.

To use bulk actions:

  1. Select one or more timesheets using the checkboxes on the left.

  2. Once selected, the bulk action options appear at the top of the page.

From here, you can perform the following actions (depending on the timesheet status):

  • Create Invoice

  • Bulk Update Time Entries

  • Email Reminder

  • Export

  • Delete

The number of selected records is shown at the top-right of the page, allowing you to quickly confirm how many timesheets the action will apply to.

Note: The limit for bulk selection is upto a 100 records.



Timesheets and Merged Records


When candidates or jobs are merged, the secondary merged records the original records are removed, but their associated timesheets are retained and continue to appear on the All Timesheets page.

Troubleshooting


Problem: You cannot see the All Timesheets page under Pay & Bill

Likely cause: The All Timesheets feature is in beta and not enabled for your account.

What to check:

Confirm whether the Pay & Bill entity and Timesheets tab are visible in your left side panel.

Resolution:

Contact your account manager and request to have the All Timesheets feature enabled for your account.

Problem: Bulk action options do not appear

Likely cause: No timesheets have been selected.

What to check:

Confirm that you have checked at least one timesheet checkbox on the left side of the list.

Resolution:

Select one or more timesheets. Once selected, the bulk action bar should appear at the top of the page, allowing you to choose actions like bulk invoice, bulk update, export, delete, or set email reminders.

Problem: You cannot apply bulk actions to all the timesheets you selected

Likely cause: The bulk action limit has been reached.

What to check:

Look at the count of selected records at the top right of the page.

Resolution:

  • Ensure that you are selecting no more than 100 timesheets at a time.

  • If needed, run multiple bulk actions in batches of up to 100 records each.


FAQs


How do roles and permissions work on the All Timesheets page?

Access follows the same rules as the existing Timesheets module. Permissions are determined by the candidate access rules configured in Roles and Permissions.

What happens if a candidate is deleted?

If a candidate is deleted and no owner is available:

  • Users with view everything access can still view and manage the timesheets.

  • Users with limited access cannot view or act on deleted timesheets.

Does the Timesheet Period filter include overlapping date ranges?

Yes. Any timesheet whose date range overlaps with the selected period will be included, even if it does not fall entirely within that range.
