What this feature does and when to use it?
The Timesheets feature in Recruit CRM helps you track and manage work hours for candidates working in contract or temporary roles. It enables you to record hours worked, submit timesheets for approval, and automatically calculate payable and billable amounts based on the pay rates, bill rates, and rule templates configured for the job. This provides a structured workflow for agencies, clients, approvers, and candidates while keeping all timesheet-related activities in one place.
Once timesheets are enabled for a job, you can create and manage timesheets, monitor their progress through the approval workflow, and calculate payments based on approved hours.
Use this feature when:
• You need to track candidate work hours for contract or temporary placements.
• You want to automatically calculate payable and billable amounts using predefined rates and rule templates.
• You require a structured approval workflow for timesheets (Open → Submitted → Approved/Rejected).
• You want candidates, approvers, and agency users to collaborate on timesheets through their respective portals.
• You need flexible time logging with support for unpaid breaks, multiple work segments, shifts, and configurable timesheet periods.
Timesheets are automatically created based on the job duration, the configured timesheet frequency (such as weekly), and the selected week start day. Throughout the process, Recruit CRM keeps candidates, approvers, and agency users informed with email and in-app notifications, ensuring everyone stays updated on the status of each timesheet.
Enable and access timesheets for a candidate
After enabling timesheets, you can add new timesheets, track them, and manage approvals for the specific job they’re working on.
Once you enable Timesheets for a candidate, you’ll see a green button under the Candidate Pipeline of the Job where the candidate is assigned.
When you click this button, you’ll be able to view the timesheet details for that candidate in one place. This makes it easy to track and manage the timesheet-related details for each candidate.

When you enable timesheets for a candidate, the system automatically splits the job duration into timesheet periods based on the Timesheet Frequency and the Start of the Week you’ve configured (e.g., Weekly starting on Monday).
Example 1: Job Starts on the Week Start Day
Job Duration: Jan 6, 2025 – Jan 19, 2025
Timesheet Frequency: Weekly
Start of the Week: Monday
In this case, the timesheet periods will be:
Jan 6 – Jan 12 (Week 1)
Jan 13 – Jan 19 (Week 2)
Example 2: Job Starts Mid-Week
Job Duration: Jan 8, 2025 – Jan 19, 2025
Timesheet Frequency: Weekly
Start of the Week: Monday
In this case, the system will create:
Jan 8 – Jan 12 (Partial week, starting from job start date)
Jan 13 – Jan 19 (Full week, aligned with week start)
Note: Only 12 timesheet periods will be visible at a time. New periods will appear automatically as you continue adding timesheets.
How to Add and Manage Timesheets
Each timesheet goes through the following statuses:
Open: The timesheet is created but no hours have been added yet.
Submitted: The candidate has filled in their working hours and submitted the timesheet for approval.
Approved:The approver has verified and approved the timesheet.
Rejected: The timesheet was not approved and needs correction.
How to Add a Timesheet?
Click "Add Timesheet", then select the date ranges you want to add. Then click "Add". This will create timesheet rows for the selected dates, and their status will be set to Open.
How to Submit a Timesheet?
Timesheets are created based on the hour logging method defined in the Rule Template selected when enabling timesheets for the candidate.
You can enter working hours for each day. You can also add multiple start and end time entries within a single day, allowing hours to be logged across separate time segments. This is supported in both single and bulk time entry workflows, and the system automatically calculates the total hours for all entries combined.
For Work Hours methods:
You can enter break time directly by typing the break duration in hours or minutes (for example, 1 hour or 30 mins).
You can also add multiple breaks within each time entry. Any break added is automatically deducted from the logged working hours, and the existing calculation and validation logic is applied automatically.
For the Shifts method:
Breaks must be added as separate time slots within your shift.
For example, if your working hours are from 9:00 AM to 5:00 PM and you took a break from 1:00 PM to 2:00 PM, add a break slot:
Break: 1:00 PM – 2:00 PM
The system automatically treats this as a break and deducts the break duration from the total working hours. You can add multiple break slots if needed.
📌 Note: Any break added to a timesheet is always deducted from the logged working hours and is not included in pay or bill calculations.
Note:
You can copy the work hours and break hours for all days.
After submission, the system automatically calculates billable and payable amounts based on the rule template and the set bill/pay rate.
When the Round time entries option is enabled, the time entry is automatically updated according to the selected rounding interval and rounding method as soon as the time is entered.
For Per Day timesheets:
If the contractor's Rate Type is set to Per Day, you'll log attendance instead of hours. For each working day defined in the Work Schedule, select one of:
Full Day — applies 1x the daily Pay and Bill Rate
Half Day — applies 0.5x the daily Pay and Bill Rate
No Show — applies 0x the daily Pay and Bill Rate
The total number of days for the timesheet is calculated from these entries. For example, 4 Full Days and 1 Half Day totals 4.5 days.
You can also add Remarks for each row if there’s anything specific you want to note. Remarks can be marked as mandatory while enabling timesheets for a contractor. If enabled, remarks will be required for every time entry across the agency, contractor, and client portals, and this setting will apply to both existing and newly created timesheets.
Once you’ve entered all the details, click Submit.
The timesheet status will change to Submitted, and it will be sent to the assigned Approver for review. If you are the timesheet Approver, you can submit and approve simultaneously.
Please Note
A timesheet with zero logged hours can be submitted. Entries with no logged time will display “No hours logged.” Zero-hour timesheets will also show an indicator next to their status. Hover over the indicator to see the tooltip “No hours logged in this timesheet.”
Zero-hour timesheets will not appear on the Approvers’ Review Timesheets page and will not trigger automatic submission notifications to approvers. They will continue to be available in All Timesheets, Contractor Portal, Agency Portal, Client Portal, Contractor Details, and Deals, and in Reports when approved.
Agency and client users can still manually approve zero-hour timesheets when required. If a Custom Reminder is manually sent, approvers will receive the reminder and can review the timesheet.
If a timesheet that previously had logged hours is resubmitted with zero hours, it will be removed from the approvers’ review queue.
How to Approve or Reject a Timesheet?
If you are the Approver, click on the timesheet period to open it and review the hours.
If the details are correct, click Approve. If corrections are needed, you can either Edit the hours and then approve.
You can also Reject it with a remark, if it needs further correction.
Once a timesheet is Approved, it cannot be edited.
Timesheets in Open, Submitted, or Rejected status can still be edited and submitted.
For approved/rejected timesheets, the system automatically calculates billable and payable amounts based on the rule template and the set bill/pay rate.
You can click the Remarks button next to the timesheet status to view the history of changes.
How to delete a Timesheet?
To delete a single timesheet, you can click on the trash icon to the right of it:
To delete them in bulk, select multiple timesheets and click the Delete button above.
Once a timesheet is marked as Approved, it cannot be deleted.
Which roles and permissions are required to access timesheets?

Timesheet permissions are determined by the permissions of both the candidate and the job.
Account Owners, Admins and users on the custom roles with the following permissions have access to timesheets:
Candidate:
• Can create Candidate :
- No → Cannot create timesheets
- Yes → Can create timesheets.
• Can Delete:
- No → Cannot delete timesheets
- Yes → Can delete timesheets
• Can Edit:
- No → Cannot edit timesheet settings, add time, submit, approve, or bulk update
- Yes → Can perform all edit actions
• Can View:
- No → Cannot view contractor details page or timesheets
- Yes → Can view contractor details page and timesheets
Job:
• Can Edit:
- No → Cannot edit timesheet settings
- Yes → Can edit timesheet settings and pay/bill rates
• Can View:
- No → Cannot view contractor details page
- Yes → Can view contractor details page

Troubleshooting
Problem: Timesheet option or green button not visible for a candidate

Likely cause: Timesheets are not enabled for your account or not enabled for that specific candidate and job; or you lack view permissions.
What to check:
Confirm with your main account manager that the beta timesheets feature is enabled for your account.
Check that timesheets have been enabled for the candidate on the specific job.
Verify that your role has Can view permissions for both candidates and jobs.
Resolution:
Ask your main account manager or admin to enable timesheets and adjust your role permissions if required.
Once enabled, refresh the job’s candidate pipeline to see the green timesheet button.
Problem: Cannot submit a timesheet

Likely cause: The timesheet is empty or required fields (such as mandatory remarks) are missing.
What to check:
Make sure you have added working hours for at least one day in the period.
If remarks are configured as mandatory, verify that each time entry has a remark.
Resolution:
Enter hours and any required breaks, add all mandatory remarks, then try submitting again.
If the submit button remains disabled, check the hour logging method rules in the associated rule template with an admin.
Problem: Cannot edit or delete a timesheet
Problem: Cannot edit or delete a timesheet
Likely cause: The timesheet is in Approved status or your role lacks edit/delete permissions.
What to check:
Confirm the timesheet status (Open, Submitted, Approved, Rejected).
Check if your role has Can edit and Can delete permissions for candidates and jobs.
Resolution:
If the timesheet is Approved, it cannot be edited or deleted by design.
If permissions are missing, contact an Account Owner or Admin to update your role or perform the required action.

If you change the Pay Rate, Bill Rate, or Rule Template after timesheets have already been generated, the updates will only apply to timesheets created going forward. Existing timesheets will not be affected.For any timesheets already in Open, Submitted, or Rejected status, the system will continue to use the rules and rates that were in place at the time those timesheets were created.
If you want these timesheets to use the updated rules or rates, you must:
Delete the existing timesheets.
Save the updated rules or rates in the template.
Create new timesheets.
