All Contractors Page / Timesheets in Recruit CRM

This article explains how the All Contractors page works and how users can view and manage contractors who have timesheets enabled.

The Contractors page is available under the Pay and Bill entity and provides a centralized view of all candidates who are working as contractors. This page helps agency users track contractor availability, active and future assignments, job duration, and related job and deal information from one place.

Only candidates who have timesheets enabled for at least one job are shown on this page.

Currently, this feature is in beta and can be enabled upon request.

Please feel free to reach out to your Account Manager to have it enabled for your account.


How to Access the Contractors Page


To access the Contractors page:

  1. Go to Pay and Bill in Recruit CRM

  2. Click on the Contractors tab

You will see a list of all contractors that you have access to, based on your roles and permissions.


Viewing All Contractors in One Place


  1. Open the Contractors page from the Pay and Bill entity.

  2. Review the list of contractors displayed in a single list view.

  3. Remember that a candidate appears here only if:

    • They are assigned to at least one job where timesheets are enabled.

    • You have permission to view that candidate’s record.

Note: If you do not have permission to view a candidate, you will not be able to see that candidate listed as a contractor on the Contractors page.


Contractor Status


  1. Look at the status column for each contractor.

  2. Note that the contractor status is automatically determined by the system and cannot be manually edited.

  3. Interpret the status values as follows:

    Assigned: The contractor is either currently working on an active job or is assigned to a future job that has not started yet.

    • Green Assigned: The contractor has an active job.

    • Yellow Assigned: The contractor has a future job that has not started yet.

  • Available: The contractor is not working on any active jobs. All previously assigned jobs have passed their job duration (their start and end dates have ended).


Review Job Name and Duration


The Job Name and Job Duration columns provide an at-a-glance view of the contractor's current and upcoming assignments.

  • The Job Name column displays all relevant jobs assigned to the contractor, including future job assignments.

  • If a contractor has both active and future assignments, all relevant job names are displayed.

  • The Job Duration column shows:

    • For active jobs, the number of days remaining along with the job's end date.

    • For future jobs, Yet to Start along with the relevant job's end date.

  • If a contractor has multiple jobs, the Job Duration column displays the active job with the highest number of days remaining.

  • Hover over the Job Duration value to view details of all relevant jobs, including:

    • Job name

    • Job duration

    • Total duration

    • Days remaining for active jobs

    • Yet to Start status for future jobs

  • The remaining days are calculated based on the account's timezone.

Job Duration Color Coding

The Job Duration value is color-coded based on the percentage of the total assignment duration remaining:

  • Green: More than 50% remaining

  • Orange: 30%–50% remaining

  • Red: Less than 30% remaining

For example, for a 100-day assignment, 50 days remaining is shown in orange, while fewer than 30 days remaining is shown in red.


Reviewing contractor information


You can choose which fields are displayed on the Contractors page and arrange them to suit your workflow.

  1. On the Contractors page, click Show/Hide Columns in the top right corner.

  2. Select the fields you want to display or clear the ones you want to hide.

  3. Drag and drop the selected fields to arrange them in your preferred order.

  4. Click Save to apply your changes.

Your selected columns and their order will be reflected on the Contractors page, making it easier to view the information most relevant to your workflow.


Filtering Contractors


The Contractors page allows you to filter the list to quickly find specific contractors.

To add filters:

  1. On the Contractors page, go to the top right corner of the page.

  2. Click Add filters to open the filtering options.

  3. Select a field from the Contractors field list to filter by Status, Job Name, or Deal Name.

  4. Choose the required filter values to refine the results.

  5. Apply the selected filters to quickly find specific contractors based on their status, the jobs they are assigned to, or the deals associated with those jobs.

You can filter contractors using the following fields:

  • Name

  • Job Name

  • Job Duration

  • Portal Status

  • Status

  • Deal Name


Bulk Actions for Contractors


You can select multiple contractors at once and perform bulk actions on the selected records.

  1. On the Contractors page, select contractors individually by clicking the checkbox next to each contractor. To select contractors in bulk, click the checkbox at the top of the list, which selects 50 contractors at a time. Continue scrolling down the list to select additional contractors until the desired number is selected. You can select up to 3,000 contractors at a time for bulk actions by clicking on Select All.

  2. Once the desired contractors are selected, a bulk action bar will appear at the top of the list with options such as Assign to Job, Request Updated Profile, Pitch Candidate, Add to Hotlist, Enroll in Sequence, Compose Email, Add Note, Mark as Off-Limits, Update Field, Export, Enable Portal Access, Disable Portal Access, and Delete Candidate. Click More to view additional bulk action options.

  3. Select from the Bulk Action bar the action that you want to perform.

Please Note


  1. Assign to Job: When Assign to Job is selected as a bulk action, the job selection is automatically limited to Contract and Contract-to-Perm jobs.

  2. Contractor Portal: Upto 200 contractors can be enabled or disabled for the Contractor Portal through bulk actions. When enabling the portal, eligibility is checked automatically. Contractors are excluded if:

    • Their portal is already enabled.

    • Their email address is missing.

    • A portal already exists with the same email address.

    • They have reached the daily invitation limit.

Troubleshooting


Problem: A contractor you expect to see is missing from the Contractors page

Likely cause: The candidate does not have timesheets enabled for any job, or you do not have permission to view that candidate.

What to check:

  • Confirm that the candidate is assigned to at least one job where timesheets are enabled.

  • Confirm that your user permissions allow you to view that candidate’s record.

Resolution:

  • Enable timesheets for at least one job for that candidate if required.

  • Ask an administrator to review and update your permissions if you should have access to that candidate.

Problem: You cannot change a contractor’s status

Likely cause: Contractor status is system-generated.

What to check:

  • Review the contractor's active and future jobs and their dates to understand how the status is being set.

Resolution:

  • Adjust job assignments or job dates if the status should change based on the contractor's actual assignments, rather than trying to edit the status field directly.


FAQs


Who appears on the Contractors page?

Only candidates who are assigned to at least one job with timesheets enabled appear on the Contractors page.

What happens if a contractor is unassigned from all jobs?

If a contractor is unassigned from all jobs where timesheets are enabled:

  • They are automatically removed from the Contractors page

  • Their candidate record remains unchanged

If the contractor is reassigned to a job with timesheets enabled, they will appear again on the Contractors page.

Do deleted candidates appear on the Contractors page?

No. Deleted candidates do not appear on the Contractors page. However, their historical timesheets remain accessible on the All Timesheets page.

What does the Job Duration column show?

For active jobs, it shows the number of days remaining and the job's end date. For future jobs, it shows Yet to Start and the job's end date.

What happens to the Job Duration column if a contractor has multiple jobs?

The Job Duration column shows the active job with the highest number of days remaining. Hover over the value to see details for all relevant active and future jobs.

What happens when a contractor has only future assignments?

The contractor is shown as Assigned in yellow, and the Job Duration column shows Yet to Start.

When is a contractor shown as Available?

A contractor is shown as Available only when they have no active jobs and no future job assignments.
