How to View Placeholder Values While Sending Emails

This article explains how to preview Recruit CRM emails with real placeholder values before sending.

What this feature and when to use it?

The email placeholder preview feature helps you preview emails with real placeholder values filled in before you send them. In preview mode, placeholders are highlighted in yellow and show actual values from the selected record so you can check formatting, spot missing data, and confirm the final content for both individual and bulk emails.


This works seamlessly for both plain text and HTML emails, so what you see in the preview is exactly what your recipients will receive.

You can use this feature when:

  • You are sending personalized one-to-one emails/bulk emails to candidates or contacts and want to confirm how placeholders (like first name) will appear.

This feature will be available for new rich text editor (powered by Syncfusion), which is currently in the testing phase and will be available to all users soon.


Previewing emails inside a candidate or contact profile


1. Open a candidate or contact profile and click on the Email.

2. Draft your email and add placeholders where needed (e.g., {{First Name}}
Click the Preview button in the email editor toolbar to open your email in preview mode.

3. Placeholders will appear in yellow with actual values from the profile, any missing values in the record will show up as blank, and once you’re satisfied with how everything looks, simply close the preview and click Send.


Previewing placeholders when sending bulk emails


1. Navigate to the candidate list page or contact list page, depending on who you want to email.

2. Choose the candidate or contact records you want to include in the bulk email.

3. Click the Email button to open the bulk email editor.

4. Compose your email and insert placeholders as you normally would.

5. Click Preview in the editor toolbar to open the email preview.

6. The preview shows how the email will appear for the first recipient in your selected list, with placeholders filled with that recipient’s actual data.

7. Confirm that all placeholders are displaying correctly. Once you are satisfied with the preview, close it and click Send in the bulk email editor to send the email to all selected recipients.


Troubleshooting


Problem: Placeholders appear blank in preview

Likely cause: The corresponding fields are empty in the candidate or contact records.

What to check: Open the candidate or contact profile and verify that the fields used in your placeholders (for example, first name) contain data.

Resolution: Update the missing data in the record or remove/replace the placeholder in your email content before sending.
