This article will help you allow the settings to see all the emails across your users right in Recruit CRM.

What this feature does and when to use it?

The See All Emails feature allows Account Owners and users with the appropriate Custom Role permissions to view other users' mailboxes directly from the Recruit CRM Mailbox.

This feature is useful when you want to:

  • View another user's mailbox from within Recruit CRM.

  • Monitor email conversations across your team.

  • Search for a teammate's mailbox using their name or email address.

  • Improve collaboration and visibility across your organization.


✉️ See your teammates' emails


View a teammate's mailbox

  • Navigate to Mailbox and click the arrow icon next to your mailbox.

  • Select your mailbox or choose a teammate's mailbox from the list.

  • Use the search bar to quickly find a teammate by their name or email address, if required.

Grant mailbox access

Note: This feature is available only for Account Owners and users assigned a Custom Role with the required permission. Custom Roles & Permissions are available on the Business Plan or higher.

  • Navigate to User Management and open the Roles & Permissions tab.

  • Create a new custom role by clicking New Role, or edit an existing role by clicking the three-dot menu and selecting Edit.

  • Enable the Access to the complete Mailbox & Emails of all users permission.

  • Scroll all the way down and click Save Role on the bottom right to apply your changes.


Troubleshooting


Problem: I cannot view another user's mailbox.

Likely Cause: Your account does not have permission to access other users' mailboxes.

What to Check: Verify whether you are an Account Owner or have been assigned a Custom Role with the All Users' Mailbox Access permission enabled.

Resolution: Contact your Account Owner or admin to enable the required permission for your role.

1. Who can view other users' mailboxes?

Only Account Owners and users with a Custom Role that has the All Users' Mailbox Access permission enabled can view other users' mailboxes.

2. Can I search for a teammate's mailbox?

Yes. You can use the search bar in the mailbox dropdown to search for teammates by their name or email address.
