How to track the latest communications with candidates and contacts (New UI)

What this feature does & when to use it?

This feature helps you track and analyze interactions with candidates and contacts by showing details like last call log added, last email sent on, last SMS sent on, last meeting added, last note added on and last LinkedIn message sent on. It gives clear visibility into recent communication, making it easier to manage relationships and stay updated on outreach.

Use this feature when you want to:

  • Check the last interaction with a record.

  • Quickly review interaction history in a list view.


Step-by-step instructions


Recruit CRM allows you to customize and arrange the fields (for Candidates/Companies/Contacts/Jobs) in the list view in any way you want!

To view the last communication data, all you have to do is, make the columns Last Email Sent On, Last Communication, Last Call Log Added, Last Note Added On, Last SMS Sent On , 'Last Meeting Added' and 'Last LinkedIn Message Sent On' visible on the list page.

Once these columns are visible on the list page, you can easily see the latest interactions for each record.

What does each column represent?

  • Last Call Log Added: Displays the timestamp of the last call log added for a candidate or contact.

  • Last Communication: Reflects the most recent communication method (call, SMS, or email) based on the latest timestamp.

  • Last SMS Sent On: Shows the date and time of the most recent SMS sent.

  • Last Email Sent On: Captures the date of the last email sent only from Recruit CRM.

  • Last Meeting Added (only for candidates, contacts, and companies): Captures the time stamp when the meeting was added.

  • Last LinkedIn Message Sent On: Tracks the LinkedIn Messages sent using the LinkedIn Integration feature.

  • Last Note Added On: Tracks the timestamp of the most recently added note for the specific entity. If no note exists, the field will display Not Available.

Please note: The Last Note Added On field is not considered a last communication tracking field, as it only records internal note activity added within the record’s profile.

Run a search using communication columns:

Below, you'll find an example of how to perform an Advanced Search on this.

Select the relevant communication column (e.g., Last Communication, Last Email Sent On, Last SMS Sent On, etc.).

  • You can customise your search by selecting the columns and choosing different filter types, such as is, is not, is visible, between, before, after, etc, depending on your specific needs and dates.

  • Specify the date or date range to narrow down your results.

This empowers you to filter candidates and contacts based on their most recent interactions, making the recruitment process more efficient and targeted.


Troubleshooting


Problem: The communication columns are not appearing in the list view.

Likely cause: Columns have not been added to the visible list view layout.

What to check: Open the list view customization and confirm whether the columns are selected.

Resolution path: Add Last Call Log Added, Last Communication, Last SMS Sent On, Last Email Sent On, Last Meeting Added, and Last LinkedIn Message Sent On to your list view and save the layout.


FAQs


1. What happens to the Last Note Added On field if I delete the latest note?

If the latest note is deleted, the field recalculates to the next latest note, and if no notes remain, the value becomes Not Available.

2. Is there another way to track this information instead of using columns?

Yes! When you enter a candidate or contact's profile and click on the 'Last Updated' icon, you can see the most recent interaction method, its timestamp, and the person who performed the action; all displayed just by clicking the 'Last Updated' icon on the candidate/contact details page.

4. Is it possible to view the communication tracking columns in the candidate/contact list views within the Reports?

Yes, when generating a report for the following KPIs in these specific reports:

If you hover over the bars showing the results from the report, you can click on them to open a new window. From there, you can click on 'Edit Columns,' select the columns you want to display, and drag them to your preferred position:
