Managing Off-Limits Records (Candidates, Companies, and Contacts) (New UI)

This article explains how to tag candidates/contacts/companies as "off limits" to prevent communicating with them by mistake.

What this feature does and when to use it?

This feature lets you mark candidates/contacts/companies as Off-limits so they are separated from active records and protected from accidental contact or changes. You can assign a specific status, timeframe, and reason for each off-limits record and configure custom off-limits statuses.

How to mark records as off-limits❓

1. Navigate to the profile of any record (candidates, contacts, or companies), click on the three-dot button, and then click on "Mark as Off-limits":

2. Once you're inside the off-limits pop-up window:

  • Choose the Status to assign to the record.

  • Set the Timeframe for how long the record should remain off-limits.

  • Specify the Reason for marking the record as off-limits.

If the record you’re marking off-limits is enrolled in an active sequence, a prompt will appear asking whether you want to unenroll the record from the sequence or keep it enrolled.

When you mark a Company off limits along with its associated Contacts or Candidates, a prompt will appear asking you to confirm whether you want all Contacts and/or Candidates associated with the Company to be marked as off limits.

If any Contact or Candidate associated with the Company is part of an active sequence, another prompt will appear asking you to confirm whether you still want to proceed with marking them as off limits.

Bulk mark records as off limits:

You can also mark multiple records as off limits at once. Go to the relevant record list, select the records you want to mark, and click Off Limits.

If any selected records are enrolled in an active sequence, a prompt will appear asking whether you want to unenroll them from the sequence or keep them enrolled. This choice applies to all eligible records in the bulk action, so you do not need to make the selection for each record individually.

Whenever a record is set as to off-limits, they will appear with a tag next to their profile picture:

You can also set up candidates as off-limits while placing them in any job. In the "Update Hiring Stage" window, you'll find an option to mark them as off-limits once their hiring stage is changed to "Placed":

If you're sourcing candidates or clients through the Chrome Extension, you'll be able to see a message letting you know a record was marked as "off limits" in the system:

Setting up custom off-limits status ⭕️

Here's how you can create customized off-limits statuses, which can serve as tags or reasons for marking candidates as "off-limits":

1. Navigate to your Admin settings and click on "Off-Limit Status".

2. Click on the "Customize" button:

3. To add new off-limits statuses, simply click on "Add new status". You can choose a specific color for the tag by selecting "Select color", and if you want to make it the default, just click on the "Default" checkbox:

4. Now hit the "Save Status" button to confirm the statuses you've added.

How to find your off-limits records 🕵️

To find all of your off-limits records, navigate to your Quickview and click on "Off-Limit Candidates/Contacts/Companies":

Records that have been marked as off-limits will also display a tag on their profile, and you will also have the ability to:

  • View the off-limits history of the record.

  • Update the off-limits setup for that record.

  • Remove off-limits from that record.

Use cases for off-limits tags

For example at the moment, it’s only possible to archive jobs, not candidates.

In this case, you can use our Off limits feature, where you can add this candidate to an Off limit tag.

How to remove the off-limits?

  1. Open the profile of the record that is currently under Off-limits.

  2. Click on the Off Limits status displayed at the top left corner of the screen.

  3. Click the Remove button.

🤔FAQs

Can I have multiple off-limits statuses for different reasons?

Yes. You can create multiple custom statuses such as “Do Not Contact,” “Hired by Client,” or “Legal Block,” each with its own color.

Conclusion:

Using the Off-Limits feature in Recruit CRM helps you keep your database clean, compliant, and safe from accidental outreach by separating restricted records from active ones.

Hope this helps!
