How the Candidate Portal Works

This article provides an overview of how the Candidate Portal works and highlights key areas that can be configured for the hiring process.

The Candidate Portal is a powerful feature of Recruit Craft that enhances the candidate experience by streamlining job applications and profile management. It ensures a seamless and efficient process while keeping everything fully integrated with Recruit CRM, allowing candidates to manage their profiles, track applications, and engage with recruiters effortlessly.

Note: The Candidate Portal feature is part of Recruit Craft. RecruitCraft is an Enterprise plan feature that can also be added at an additional cost to Pro or Business plan subscriptions.

Candidate Job Search and Sign-Up process


The Candidate Portal integrates with the Career Pages, allowing candidates to view all open jobs. However, they must sign up or log in to apply for positions.

Here's the process:

  1. Browsing Jobs: Candidates can explore job listings without signing up.

  2. Sign Up:

    • Candidates complete a quick signup form.

    • They confirm their email address via an OTP sent to their email address.

    • Upon confirmation, they’re directed to the Onboarding Form.


Onboarding Form


After signing up, candidates are presented with an Onboarding Form, on which they provide essential details to complete their profiles.

  • The Onboarding Form fields are directly linked to the Profile Update Form in Recruit CRM.

  • You can configure this form in the Admin Settings to collect the information required for your hiring process.


Candidate Dashboard


Once the Onboarding Form is submitted, candidates are redirected to their Dashboard, which serves as their portal home.

Here's what candidates can see:

  • Candidate Statistics

A quick overview of their total applications and the stages of each application (e.g., Applied, Assigned, Shortlisted, Placed, etc.).

  • Application History

A summary of all the jobs they’ve applied to and the progress of each application.

  • Open Jobs

A real-time view of all open positions they can apply to and can bookmark jobs for the future.


Application Process


By clicking the Apply Now button, candidates can quickly begin the job application process. The application form is designed to be simple and easy to complete, allowing candidates to review their details, fill in any missing information, and submit their application from a single page.


When the application form opens, relevant information from the candidate’s profile such as name, contact details, and resume data, is automatically pre-filled where available. This helps reduce the amount of manual input required and allows candidates to focus only on completing any missing details required by the job’s application form.

All fields remain editable, so candidates can review and update their information directly before submitting the application. If any required fields are incomplete, they are clearly highlighted to guide the candidate toward the sections that need attention. The Save & Apply button becomes active only after all required information is completed, ensuring that applications are submitted with accurate and complete details.

Once the application is submitted successfully, candidates will see a confirmation pop-up on the bottom right corner of the screen, indicating that their application has been received.


Saved Jobs


Candidates can bookmark jobs they are interested in for future reference. These saved jobs appear on a dedicated Saved Jobs Page.


Profile Management


Candidates can update their details anytime from the Profile Section of the portal. The profile updates automatically sync with Recruit CRM, keeping candidate information accurate and up-to-date. The Profile section is also linked to the Profile Update form, just like the Onboarding form.

It's also possible to change your password from the Profile Section.


Application History


A detailed Application History Page provides candidates with a record of all jobs they’ve applied to, along with current statuses.


Configuration in Recruit CRM


You can control how the Candidate Portal works through Recruit CRM. Key configurations include:

  • Onboarding and Profile Update Forms: Customize fields in Admin Settings to gather needed.

  • Job Listings: Ensure jobs are updated in Recruit CRM for visibility on the portal.

  • Application Stages: Regularly update hiring stages to provide candidates with real-time status updates.


Disabling Candidate Portal


If you no longer want to keep the Candidate Portal active, you can disable it at any time by following these steps.

  1. Go to the project you are currently working on.

  2. From the dropdown at the top left of the screen, select Candidate Portal.

  3. Now navigate to the Pages, and on the left side of the page, you will see a toggle to turn the Candidate Portal on or off. Switch the toggle off to disable the Candidate Portal.

  4. A confirmation box will then appear, informing you that candidates will no longer be able to access the portal through this website. It will also clarify that their login credentials, including email and password, will be retained for access to other projects within your account. Select the Disable Portal button in the confirmation box to complete the process.

Once disabled, the Candidate Portal will no longer be accessible to candidates.
