Task Type Customization in Recruit CRM

What this feature does and when to use it?

Task type customization lets you create and manage custom task types in Recruit CRM. You can add new task types, name them, and set one as the default. This helps you tag and categorize tasks in a way that matches your recruitment process, making it easier for you and your team to identify and manage different types of tasks.

You can use this feature when:

  • When you want to create custom task types that match your internal workflow.

  • When your team needs clearer tagging and categorization of tasks.

Before you begin:

  • Only users with access to the admin settings on the Business plan and above can customize task types.

  • On the Pro plan, only Account Owners and users with the admin role can perform task type customization.

  • On the Business plan and above, you can also grant access to task type customization to team members with custom roles.


Customize Task Types


1. Go to Admin Settings > Click on Task Type Customization under CRM Process Customization.

2. Click on the "Customize" button.

3. Click on Add New Status and add a name (up to 50 characters) for your task type.

4. You can make it your default task type by checking the box next to it.

5. You can also customize the default Task types by editing the corresponding Task type name to suit the one relevant to you.


6. Hit the "Save Status" button.

Please Note: The number of available task types is a total of 100, including 2 task types available in the system by default, 'Follow Up' and 'Interview Scheduling'.

In addition, on the Business plan, you can grant access to the "Task Type Customization" option to your team members on custom roles as well. Here's how you can do this:

1. Go to your User Management settings in the admin settings.

2. Go to the "Roles & Permissions" section and click on the pencil icon next to the role to which you want to grant access.

3. Now, scroll down turn ON the toggle for "Task Type Customization" and hit the "Save Role" button.


Adding Task Types


While adding a task, you will be able to select its type on the field 'Type':

Also, on the Tasks & Meetings page, you'll be able to filter the tasks by Task Type:

Additionally, under Reports, you can find the 'Task Type' KPI for the Team Performance Report and the Job Statistics Report.


Troubleshooting


Problem: You cannot see the Task Type Customization option in Admin Settings.

Likely cause: Your user role or plan does not have permission to customize task types.

What to check: Confirm that your account is on the Business plan or Pro plan. On the Pro plan, confirm that you are an Account Owner or have the Admin role. On the Business plan and above, confirm that your custom role has the task type customization toggle turned on.

Resolution: Ask an Account Owner to either perform the customization or update your role permissions as described in the steps above.

Problem: You cannot add more task types.

Likely cause: You have reached the maximum limit of thirty task types (including the two default system task types).

What to check: Count your existing task types to confirm if you have reached the total of thirty.

Resolution: Remove or repurpose existing task types if you need to add new ones.
