Enable the 'unsubscribe/opt-out from email' link for emails sent to candidates/contacts (New UI)

Include the unsubscribe option on emails sent to candidates/contacts or manually disable email communication with them.

What this feature does & when to use it?

Recruit CRM gives you the option to include an unsubscribe link within your email that allows candidates/contacts to opt out of further emails from you, helping you build the right contact list and protect your email marketing strategy.

You can add an unsubscribe link to your emails, manually opt records out, and later opt them back in if needed.

You can use this when:

  • You send bulk or individual marketing or outreach emails from Recruit CRM, and you need to comply with email marketing regulations and respect unsubscribe requests.

  • You want to improve email engagement by maintaining a clean, consent-based contact list.

Before you begin:

Please note:

  • Email opt-out behavior is based on the email address, not just the individual record.

  • Opting out/unsubscribing means that all the records linked to that specific email ID will no longer receive your email communication.

  • Bulk opt-out is not supported; you can only opt out records individually.

  • Account Owners can customize or translate the opt-out button text under Admin Settings → Email Opt Out Settings.


How to include the unsubscribe link in the emails sent to candidates and contacts?


You can include an unsubscribe link in both individual and bulk (mass) emails sent via Recruit CRM.

1. Open the candidate or contact details page and click their email address to open the email composer.

2. Enter the email body and subject line.

3. In the top-right corner of the email composer, locate the Include opt-out/unsubscribe link checkbox and check this box to add an unsubscribe link to the email.

When this checkbox is selected, an unsubscribe/opt-out link is automatically added to the email. The candidate/contact can simply click and unsubscribe from your emails:


Recognize Unsubscribed/Opted-Out Profiles


Once a candidate or contact clicks the unsubscribe link and opts out, their Recruit CRM profile is updated with a specific label indicating they have opted out or unsubscribed.

  • All candidates or contacts marked as opted out or unsubscribed are automatically skipped when sending bulk or mass emails.

  • You do not need to manually exclude them while selecting records for bulk emails.


Manually Opt a Candidate or Contact Out of Emails


Apart from the self-service unsubscribe link, you can manually remove a candidate or contact from your email list.

1. Open the candidate or contact’s profile.

2. Click the Opt Out of Email icon or option.

4. In the confirmation pop-up, click the Yes, Opt Them Out (green) button.

The profile will now be marked as opted out, and they will no longer receive emails from you.


Re-Enable Email for an Unsubscribed or Opted-Out Record


If you need to start sending emails again to a candidate or contact who previously unsubscribed or was opted out:

1. Open the candidate or contact’s profile.

2. Locate the Opted out of all emails tag/button.

3. Click this tag/button, then click Opt In to Emails.

4. When the confirmation pop-up appears, click Yes, Opt Them In.

After this, the unsubscribe/opt-out status is removed, and you can send emails to this candidate or contact them again.


Show and Use the Opt-Out Column on the Contact List


To easily see which contacts have opted out:

1. Go to the Contact List page.

2. Click Show/Hide Columns.

3. Ensure the Opt-Out column is turned on (visible).

4. Reorder the columns if needed so that Opt-Out is clearly visible.

5. Click Apply to save your column settings. You will now see a Yes/No value in the Opt-Out column:

  • Yes = candidate/contact has opted out of email communication

  • No = candidate/contact has not opted out


Filter Contacts/Candidates by Email Opt-Out Status


You can filter candidate/contacts based on whether they have opted out of emails:

On the Candidate/Contact List page, open the Advanced Search or filtering options.

Add a filter condition on the Opt-Out field:

  • Opt-Out = Yes to view only candidates/contacts who have opted out

  • Opt-Out = No to view only candidates/contacts who have not opted out

Apply the filter to see the resulting list.

Note:

  • At this time, bulk opt-out is not supported; opting out must be done on an individual basis.


FAQs


Can I bulk opt out multiple contacts at once?

No. Bulk opt-out is not supported currently. You can only opt out candidates or contacts individually, or let them opt out themselves via the unsubscribe link in your emails.

Conclusion:

Use the unsubscribe link, manual opt-out, and opt-in controls together with list filtering to keep your communication targeted and respectful of recipient preferences.
