Learn how to use the Candidate Pitching Agent to create and send AI-powered candidate pitch emails to your clients.

The Candidate Pitching Agent is designed to simplify and standardize how you pitch candidates to clients.

It enables you to generate AI-powered, structured, and professionally formatted candidate pitch emails directly from the pitching workflow, while allowing control over instructions, layout, branding, and candidate information through Admin Settings.

It helps to:

• Reduce manual effort when pitching candidates

• Ensure consistency in client communication

• Improve the presentation of candidates

• Create professional, branded candidate pitches in just a few clicks

📌 Note: The Candidate Pitching Agent is powered by the gpt-oss-120b (Cerebras) model and generates candidate pitches using AI. As with any AI-generated content, we recommend reviewing the generated pitch for accuracy, relevance, and tone before sending it to clients.


✨ How to use the Candidate Pitching Agent


The feature is designed to be simple and flexible, allowing you to either select a predefined preset layout or build a completely custom configuration based on your preferred instructions, branding, and email style.


​1. Configure the Candidate Pitching Agent

Open "Admin Settings" and navigate to "Fields Shared with Clients".


Click on the Candidate Pitching Agent tab from the panel on the right.

From here, you can configure how candidate pitch emails are generated.

2. Select a Preset or create Custom Instructions

The Candidate Pitching Agent includes built-in presets that provide predefined email layouts, styling, and AI instructions to help you get started quickly.

Available presets include:

Talent Grid (Default) – A compact, data-focused layout designed for quick candidate comparisons.

Navy White (Professional) – A clean and professional layout suitable for most recruitment workflows.

Light Gold (Editorial) – A premium, editorial-style design ideal for executive search and retained recruitment.

When you select a preset, its corresponding AI instruction is automatically added to the instruction box. You can use the preset as-is or customize the instructions to better match your preferred tone, layout, branding, and candidate presentation style.

The instruction box controls how the AI generates your pitch emails, including:

• Email structure

• Tone of voice

• Candidate presentation style

• Branding preferences

• Layout and formatting expectations

If you edit a preset's instructions, the preset is automatically deselected and the configuration becomes a custom setup. You can also select Custom to clear the instruction box entirely and create your own instructions from scratch.


The most recently saved instructions are used for all future candidate pitch emails until they are updated again.

3. Configure Branding Options

Once you have configured your preset and instructions, you can choose which branding elements should be included in your candidate pitch emails. These settings help ensure that generated emails align with your company's branding and provide a more professional experience for clients.

You can configure the following branding options:

Include Your Company Logo
Displays the logo configured under Admin SettingsPublic Job Page Settings. If no logo has been configured there, the email will be generated without a company logo even if this option is enabled.

Include Contact Company Logo
Displays the logo associated with the company linked to the selected contact. If a contact is associated with multiple companies, the logo from the first linked company will be used. If no company logo is available, the email layout automatically adjusts to maintain a clean appearance.

Include Email Signature
Automatically adds the email signature associated with the email account used to send the pitch email. For users on the Business and Enterprise plans who have multiple email accounts connected, the signature corresponding to the selected sending account will be used.

These branding preferences are applied to the generated candidate pitch email and are included in all future pitches once the configuration is saved.


​4. Preview, Save, Regenerate, and Reset

Once your configuration is ready, click Preview to generate a sample email and review how the pitch will appear based on the selected preset, instructions, and branding settings.

If you're satisfied with the output, click Save Instructions to save your configuration. This saves the selected preset, the latest instruction prompt, and branding preferences, which then become the default settings used across future candidate pitches.

If the generated layout or content does not fully meet your expectations, click Regenerate to create another version using the same instructions and configuration. You can also click Reset to restore the default preset and its original instructions.


​5. Pitch Candidates to Clients

Once you have configured the Candidate Pitching Agent, you can begin pitching candidates to your client contacts.

You can start the pitching workflow from either side of the relationship:

From Candidates – Select one or more candidates from the Candidate List or Candidate Profile, then choose the contacts you want to pitch them to.

From Contacts – Select one or more contacts from the Contact List or Contact Profile, then choose the candidates you want to pitch.

📌 You can pitch up to 20 candidates at a time.

After selecting your candidates and contacts, click Select Fields & Email Contacts. From here, choose which candidate information should be included in the pitch email, including the Profile Picture field if you would like candidate photos to be visible to the recipient.

Once you have reviewed and finalized the fields you want to share, proceed to the email generation step.


6. Generate an AI-Powered Pitch Email

On the field selection screen, you'll find the Candidate Pitch Agent toggle.

• When the toggle is ON (default), clicking Generate Email creates an AI-generated pitch email based on your configured instructions, selected candidate fields, branding preferences, and chosen layout.

• When the toggle is OFF, Recruit CRM uses the standard candidate pitching workflow instead.

📌 The toggle remembers your most recent preference. If you turn it off, it will remain off for future pitches until you enable it again. This preference is specific to each user.

More about the Profile Picture Field


The Profile Picture field is available under Shared Candidate Fields and allows you to control whether candidate photos are shared with clients. Like other shared fields, it supports custom labels, visibility controls, drag-and-drop reordering, and can be selected when pitching candidates. When enabled, profile pictures are included in Candidate Pitch Emails, Candidate Submission Emails, Online Candidate Lists, and the Hiring Manager Portal. When disabled, they are hidden from all client-facing experiences.

📌 Note: Profile Pictures and Full Names are controlled independently, and profile pictures are only shared when the Profile Picture field is explicitly selected.


​7. Review and Edit the Email

The generated email remains fully editable before sending.

The draft automatically includes:

• Selected candidate information

• Structured candidate summaries

• Branding elements

• Layout styling based on your saved configuration

Before sending, you can:

• Edit the subject line

• Modify recipients

• Update the email content

• Adjust formatting and layout

• Make any final changes to candidate summaries

If you prefer not to use the AI-generated version, click Switch to Default to return to the standard candidate pitch email template at any time before sending.

You can also provide feedback on the generated email using the 👍 Thumbs Up or 👎 Thumbs Down options. Selecting Thumbs Down opens a short feedback form where you can share suggestions for improvement.


8. Preview Emails Before Sending

Whether you are sending to a single contact or multiple contacts, Recruit CRM generates a separate personalized email for each recipient. Contacts are not added as CC or BCC recipients.

When you first open the Compose Email screen, placeholder values are shown instead of the contact's actual details. Clicking Preview replaces those placeholders with the details of the first selected contact and highlights the resolved values so you can clearly identify previewed content.

📌 During actual sending, each recipient receives their own personalized email with their corresponding contact details automatically populated.


💡 Best Practices while writing Instructions


To achieve the best results:

• Be clear and specific in your instructions.

• Define your preferred tone, structure, and formatting expectations.

• Use a preset as a starting point if you're unsure how to structure your instructions.

• Keep instructions generic so they can be reused across multiple candidate pitches.

• Always preview the generated email before saving your configuration.

• Save only the version of the instructions that you want applied to future pitches.

Avoid:

• Empty instructions.

• Vague requests such as "make it look professional."

• Candidate-specific or job-specific information.

• Expecting the AI to remember previous outputs or conversations.

Important Notes:

• You can pitch up to 20 candidates at a time.

• The latest saved instructions and branding preferences are automatically applied to future candidate pitches.

• Candidate profile pictures are only included when the Profile Picture field is enabled and selected for sharing.

• If you leave, refresh, or close the page with unsaved changes, Recruit CRM will display a confirmation message to prevent accidental data loss.

• Email layouts may appear slightly different depending on the recipient's email client, such as Gmail or Outlook.

• The AI generates content based on the currently saved instructions each time and does not retain memory of previous outputs.

• AI-generated content may occasionally vary in quality or formatting. Always review the generated email and refine your instructions if needed before sending.

Do I need to configure the Candidate Pitching Agent before using it?

No. A default configuration is already available, allowing you to start pitching candidates immediately.

Why can't I save my instructions?

Instructions can only be saved after previewing the generated email. If you modify the instructions, you'll need to preview again before saving.

Can I switch back to the default pitch email?

Yes. You can click Switch to Default at any time before sending.

Can I pitch multiple candidates at once?

Yes. You can pitch up to 20 candidates in a single workflow.

Can I disable AI-generated pitch emails?

Yes. Turn OFF the Pitch Candidate Agent toggle and Recruit CRM will use the standard pitch email flow.

Are these settings job-specific or global?

All saved presets, instructions, and branding preferences are applied globally across the platform.

Can I edit the AI-generated email before sending?

Yes. You have full control to modify the subject, recipients, and email content before sending.

The Candidate Pitching Agent helps you present candidates in a consistent, polished, and client-ready format while reducing manual effort. Once configured, it becomes a reliable way to standardize candidate pitches and deliver a more professional client experience.
