What this feature does and when to use it?

Recruit CRM allows you to control which fields are visible across different record types such as Candidates, Companies, Contacts, and Jobs.

By managing field visibility and layout, you can:
• Control which fields appear on list pages.
• Decide which fields are shown in Add/Edit forms.
• Manage which fields are visible on record detail pages.

This helps you reduce clutter, simplify your interface, and ensure your team focuses only on the most relevant information.

Use this feature when you want to:
• Hide unused or irrelevant fields.
• Ensure important fields are always visible.


📋 Step-by-step instructions to manage field visibility


Please note that only users with the appropriate permissions will be able to edit the column/field arrangement. Click here to learn more.

Step 1: Navigate to the "Admin Settings" icon and click on the Record fields that you want to edit.

Step 2: Locate the field you want to manage and use the toggle to control its visibility. Click Save once done to apply the changes.

• Toggle ON → Field will be visible
• Toggle OFF → Field will be hidden

This setting applies across:

• List pages
• Add/Edit forms
• Record detail pages

Note: Column customization is user-specific, while field visibility is global.

The selected field will now be shown or hidden across all relevant views.


Where these changes appear


1. List Pages

Field visibility controls whether a field exists in the system view. To control how it appears on the list page:

Go to the relevant list page → click Show/Hide Columns

• Select the fields you want to display
• Rearrange columns based on your preference
• Click Apply to save changes

In the Hide/Show Columns page, searching for a field scrolls to and highlights the matching field(s), with a counter (e.g., 1/2) to jump between matches.
You can still drag and drop to reorder columns while a search is active.

2. Add/Edit Forms

  • Only fields marked as visible will appear in the Add/Edit form, and they will follow the same order as configured in Admin Settings.

    Please note that any required fields must be filled before saving the record.

3. Profile/Details Pages

Fields with visibility turned on will appear on the record's details (profile) page, while hidden fields will not be shown.

From the profile page, you can further arrange and choose which of these visible fields to display using the Customize Information Overview option.

You can rearrange all fields visible on each page (Candidates/Companies/Contacts/Jobs) in an order of your choice.


Troubleshooting


Problem: A field no longer appears on the list page.

Likely cause: The field's visibility is turned off in Admin Settings or not selected in the Show/Hide Columns option.
What to check:

  • Check the field’s visibility toggle in Admin Settings > Data Customization for the record type.

  • Check the Show/Hide Columns settings on the list page.

Resolution path:

  • Turn the field’s visibility toggle on in Admin Settings.

  • Reopen Show/Hide Columns, select the field, and click Apply.


FAQs


Does changing field visibility affect all users?

Yes. Field visibility is global and applies across the account.

Do these changes delete any data?

No. Hiding a field only removes it from view. The data remains stored.

Who can manage field visibility?

Only users with access to the Admin Settings and permission to access the Data Customization section can manage the field visibility.

Is column customization the same as field visibility?

No.
• Field visibility → controlled in Admin Settings (global)
• Column layout → controlled on list page or details page (user-specific)
