Data Enrichment: Find Email & Phone Number of Candidates/Contacts(New UI)

This article will help you understand more about the Data Enrichment feature.

Written by Dia Shukla

What does this feature do & when to use it?

The Data Enrichment feature helps users find missing email addresses and phone numbers for candidates or contacts using their LinkedIn profiles and other available information.

  • Recruit CRM performs enrichment using a waterfall model i.e, when contact data is requested, Recruit CRM automatically requests data from RocketReach and FullEnrich.

  • The waterfall model increases the chance of finding valid contact details without requiring additional steps from the user.

  • For candidates, personal emails are fetched. For contacts, work emails are fetched. If more than one personal or work email is available, the secondary email is saved as a note.

You can use this when:

  • You need to find missing email addresses or phone numbers for candidates/contacts.

Before you begin

  • Data Enrichment is an Enterprise plan feature which can also be added at an additional cost to the Pro or Business plan subscriptions.

  • Free Plan: Users on the Free plan will have 25 free Data Enrichment credits to try out this feature. The free credits are assigned on a per-user basis and cannot be shared across the account. The free credits do not have an expiration period and will remain available in the account until they are fully utilized.

  • Pro Plan and Business Plan: Pro and Business Plan users can try the Data Enrichment feature using the free Recruit CRM Credits.

  • Enterprise Plan: Users will receive the Data Enrichment credits included with their Recruit CRM subscription. These credits can be used for AI Sourcing as well. AI Sourcing beyond free monthly searches consumes 1 Recruit CRM credit per search/per page.

  • A valid LinkedIn profile URL is required for enrichment to work, and at least one of the fields (email or phone) must be empty. If the LinkedIn URL is not available or is invalid, the system will attempt to find data using a combination of the Candidate/ Contact's Full Name, Job Title, and Current Organization, provided all three fields have valid data.

📧☏ How to enrich the email or phone number?

1. Manual Enrich (Users not having an active Recruit CRM Credits subscription):

  1. Open a candidate or contact profile that is missing an email address, a phone number, or both.

  2. Confirm that there is a valid LinkedIn URL on the record, or that full name, job title, and current organization fields are filled in if LinkedIn is not available.

  3. Locate the manual Find Email/ Find Phone button and click it to attempt to enrich the email address.

If you don’t have an active data enrichment subscription, you will see manual 'Find Email' and 'Find Phone' buttons to enrich data.

In such a case, data may or may not be found when the user hits these buttons. If data is not found, no credits are consumed.

2. Auto Detection (Users having an active Recruit CRM Credits subscription)

  1. Open a candidate or contact profile that does not have email, phone, or both fields filled.

  2. Wait while the system automatically checks for available email or phone data.

  3. If data is available, look for “email available” or “phone available” indicators on the profile.

  4. Click to fetch the available email or phone and populate it into the record.

  5. If data is available, it shows 'Email Available' or 'Phone Available' and you can fetch the email or phone instantly with a click.

Note: For candidates, personal emails are fetched, and for contacts, work emails are fetched.

If there is more than one personal or work email available for a candidate or contact, the secondary email will be saved as a note.

You will now see dynamic messages indicating that enrichment is currently in progress.

If an email or phone enrichment was previously attempted but no data was found, an icon will appear next to Find Email or Find Phone. Hovering over the icon will show details of the previous attempt.

A similar icon may also appear if previously enriched data was later removed. This helps avoid repeated enrichment attempts and unnecessary credit usage.

You can provide feedback on the fetched data using feedback buttons, and you can always enter or edit email/phone number manually as well:

💲How to purchase the Recruit CRM credits?

  1. Click on the Buy Credits button.

  2. Select the number of credits you would like to purchase from the shown options.

  3. Click on the Buy Subscription button to finalize the purchase.

You can even check the credits that are consumed and are available for your account on the Data Enrichment page

Credit System:

  • The credits on the paid Recruit CRM Credits subscription plan are shared across the account.

  • Here is the credit consumption system for data enrichment:

    • 1 Work Email (Contact) = 1 Credit

    • 1 Personal Email (Candidate) = 3 Credits

    • 1 Phone (Contact or Candidate) = 4 Credits

  • Credits will be consumed if the email/phone is successfully fetched, even if it is incorrect/outdated. Credits are consumed only once for a successful data fetch, regardless of whether the data came from RocketReach or FullEnrich. This ensures efficient credit usage while providing access to two powerful data sources.

  • Account Owners get notified via email when:

    • 80% of the credits are used

    • 100% of the credits are exhausted

  • For the monthly Recruit CRM Credits subscription, the credits must be consumed within that month (30 days from the date of purchase), and any leftover credits won't be rolled over to the next month.

  • Similarly, for the annual Recruit CRM Credits subscription, the credits must be consumed within that annual billing period (1 year from the date of purchase), and any leftover credits won't be rolled over to the next billing cycle.

The credits on the paid Recruit CRM Credits subscription are shared across all users within the same account, ensuring that all team members can utilise the same pool of credits. This facilitates better collaboration as credits are accessible and usable by all team members when needed.

✅ Enabling/Disabling Data Enrichment

  1. Navigate to the Data Enrichment section.

  2. Use the available toggles to enable or disable Data Enrichment separately for candidates or contacts.

  3. Ensure that users who should perform enrichment have edit access on the relevant records and have the data enrichment permission enabled (for custom roles).

Only users with Edit access on a record and Data enrichment permission can enrich data. A new data enrichment permission has been added for Custom roles in User Settings:

For default roles, enrichment permission is based on ‘Edit’ access for the record.
