Exporting Timesheets to Excel/CSV

Learn how to export individual or bulk timesheets in XLSX or CSV format.

What this feature does and when to use it?

The Export Timesheets feature allows you to export individual or multiple timesheets in XLSX or CSV format, making it easy to share timesheet data with clients, process payroll, or maintain offline records.

This feature is useful when you want to:

  • Export a single timesheet or multiple timesheets.

  • Download timesheets in XLSX or CSV format.

  • Customize the fields included in the export.

  • Generate day-wise timesheet reports.

  • Share timesheet data with payroll systems or clients.

Please note:

  • Only users with Export permissions can export timesheets.

  • Users can only export timesheets for candidates they have permission to view.


How to export timesheets


Navigate to the Jobs page and open a job with the Job Type set to Contract or Contract-to-Permanent.

Scroll to the Candidate Pipeline section and click View All Timesheets.

Export timesheets using one of the following methods:

Export an individual timesheet:

  1. Open the desired timesheet period, then click Export as XLSX in the top-right corner. To export the timesheet in CSV format, click the dropdown arrow beside the Export button and select Export as CSV.

Export multiple timesheets

  1. Select the required timesheets, or use the top checkbox to select all.

  2. Click Export from the header bar.

  3. Choose the export format:

    • Standard — exports timesheet data in the existing format, with regular and overtime hours shown as totals.

    • Rate Breakdown — exports a separate row for regular hours and for each overtime rule that was actually applied, along with the pay and bill amount for each. Rate Breakdown only applies to Per Hour timesheets.

  4. Select the fields you want to include in the export.

  5. If you'd like each day to appear as a separate column, enable the Day-wise Export option. This creates separate sheets for each timesheet period and lets you include daily work and overtime hours.

  6. Select XLSX or CSV, then click Export.

    Please note: If you export in CSV with Day-wise Export enabled, the download will be a ZIP file containing a separate CSV file for each timesheet period.

    Export regular hours and each triggered overtime rule as separate rows, along with the Rule Name, Pay Amount, and Bill Amount for each. Only overtime rules that actually produced overtime hours in the timesheet period are included. When combined with day-wise export, regular and overtime hours are broken out separately for each day.

  • Status-independent Export – Export timesheets in Open, Submitted, Approved, or Rejected status.

  • Organized Data – Dates are exported in MM/DD/YYYY format, and hours are displayed in decimal format (for example, 8h 30m is exported as 8.5).


FAQs


What's the difference between Standard and Rate Breakdown export?

Standard shows regular and overtime hours combined as totals, as before. Rate Breakdown separates them into individual rows by overtime rule, with pay and bill amounts shown for each.

Does Rate Breakdown change how overtime is calculated?

No. It only presents the existing calculated hours and amounts in more detail, the underlying overtime calculation is unchanged.
