Learn how to configure and use Per Day rate timesheets for Daily Timesheets in Recruit CRM

What this feature does and when to use it

The Per Day Rate Type lets you pay and bill contractors based on the number of days worked instead of hours worked and create Daily Timesheets. You can select Per Hour or Per Day for Contract and Contract-to-Perm jobs. The selected Rate Type determines how Pay Rate, Bill Rate, timesheet entries, invoicing, and reporting are calculated.

Use Per Day when:

  • You pay or bill contractors based on a daily rate.

  • You want to track attendance as Full Day, Half Day, or No Show instead of hours.

  • You want timesheets, invoices, exports, and reports to reflect days worked.

Before you begin

  • Per Hour is selected by default. Select Per Day when you want to manage the contractor based on days worked.

  • The Rate Type and Work Schedule are captured when a timesheet is created. Changes made afterward apply only to newly created timesheets. Existing timesheets continue to use the settings they were created with.

  • Per Day timesheets do not require a Rule Template. Instead, you configure the contractor's Work Schedule directly in the Enable Timesheet form.


Selecting a Rate Type


  1. Go to Jobs and open a Contract or Contract-to-Perm job, or create a new one.

  2. In the Job form, select the Rate Type:

    • Per Hour: Contractors are paid and billed based on hours worked.

    • Per Day: Contractors are paid and billed based on days worked.


Enabling Per Day timesheets for a candidate


Once you select Per Day as the Rate Type for the job, you can enable a Per Day timesheet for individual candidates in the Candidate Pipeline. When enabling the timesheet, define the contractor's Work Schedule, Pay Rate, and Bill Rate so the timesheet can calculate daily pay and billing correctly.

  1. Open the job and scroll to the Candidate Pipeline.

  2. Click Enable Timesheet on the candidate's card.

  3. In the Enable Timesheet window, select Per Day as the Rate Type.

  4. Under Work Schedule, select the days the contractor is expected to work. Any day you do not select is treated as a day off.

  5. Enter the contractor's Pay Rate and Bill Rate.

  6. Click Enable to activate the timesheet.

Please note: Per Day timesheets do not use a Rule Template. You only need to select the Work Schedule that applies to the contractor.


Entering time on a Per Day timesheet


After the timesheet is enabled, you can record the contractor's attendance for each scheduled working day. Instead of entering the number of hours worked, select the attendance status that applies to each day.

  1. Open the contractor's timesheet.

  2. For each working day, select the appropriate attendance type:

    • Full Day: Counts as 1 day and applies the full daily Pay Rate and Bill Rate.

    • Half Day: Counts as 0.5 day and applies 0.5x the daily Pay Rate and Bill Rate.

    • No Show: Counts as 0 days and applies 0x the daily Pay Rate and Bill Rate.


    For example, if the daily rate is $100, a Full Day is $100, a Half Day is $50, and a No Show is $0.

    Total Work Days are calculated automatically based on the attendance entries. For example, 4 Full Days + 1 Half Day = 4.5 Total Work Days.

  3. Click Submit once all entries are complete.


Filtering and viewing Per Day timesheets


Rate Type and Total Work Days are available as columns on the Timesheets page.

You can also filter timesheets by Rate Type and select:

  • Per Hour

  • Per Day


Bulk adding time for Per Day timesheets


If you need to update multiple Per Day timesheets at once, you can use the bulk time entry options from supported Timesheet views. The selected timesheets must use the same Rate Type for the bulk action to work.

  1. Select the timesheets you want to update in bulk.

  2. Make sure the selected timesheets use the same Rate Type. The Rate Type of the first selected timesheet is used as the reference.

  3. If the selected timesheets use different Rate Types, you'll see "Timesheet setting is different."

  4. Enter Full Day, Half Day, or No Show for the relevant dates. Use Copy to All or Copy to Period to apply entries across the selected timesheets.

  5. Total Work Days is displayed for the selected Per Day timesheets.


Creating invoices for Per Day timesheets


Approved Per Day timesheets can be used to create invoices based on the total number of billable days. When creating the invoice, make sure the selected timesheets use the same work schedule type so the appropriate invoice template can be applied.

  1. Select the approved Per Day timesheets you want to invoice. The selected timesheets must use the same work schedule type. Then click the Create Invoice button at the top.

  2. You can see that the invoice template has been by defualt selected as the Per Day invoice template. The template includes Description, Number of Days, and Amount. Here, enter the description details and click on Create Invoice.

  3. Number of Days represents the total billable units:

    • Full Day = 1

    • Half Day = 0.5

    • No Show = 0

    For example, 4 Full Days + 1 Half Day = 4.5 days on the invoice.

  4. Review and save the invoice as you would for other timesheet invoices.


Viewing Per Day data in Billing and Revenue Report


  1. Go to Reports and open the Billing & Revenue Report.

  2. In the KPIs dropdown, select Total Billable & Payable Days.

  3. The KPI is calculated from approved Per Day timesheets, including half days. For example, 43 Full Days + 0.5 Day = 43.5 days.

  4. You can generate the report for Overall, Company, Job, and Contractor report types.


Exporting Per Day timesheets


Rate Type and Total Days are available as export fields for Per Day timesheets.

Day-wise exports show whether each day was logged as a Full Day or Half Day. Hour-based fields remain empty for Per Day timesheets, while Per Day-specific fields remain empty for Per Hour timesheets.


Per Day timesheets in the Contractor and Client Portals


Per Day timesheets are also supported in the Contractor Portal and Client Portal.

Timesheets created through these portals follow the Rate Type configured for the contractor. Contractors configured with Per Day can submit Full Day, Half Day, or No Show entries through the portal.

What is the Per Day Rate Type?

Per Day allows you to pay and bill contractors based on the number of days worked instead of hours worked.

How is a Full Day calculated?

A Full Day counts as 1 day and applies the full daily Pay Rate and Bill Rate.

How is a Half Day calculated?

A Half Day counts as 0.5 day and applies half of the daily Pay Rate and Bill Rate.

How are total days calculated?

Full Days count as 1 and Half Days count as 0.5. For example, 5 Full Days + 2 Half Days = 6 Total Days.

Can I change the Rate Type after timesheets have already been created?

Yes. However, the change applies only to newly created timesheets. Existing timesheets continue to use the Rate Type that was configured when they were created.

Do Per Day timesheets require a Rule Template?

No. Per Day timesheets do not require a Rule Template. You only need to select Per Day as the Rate Type and configure the required Work Schedule in the Enable Timesheet form.
