Timesheets - Create Pay and Bill Rule templates with work schedule and custom rules (Beta)

What this feature does and when to use it?

Pay and Bill Rule Templates allow you to standardize how contractor working hours, overtime, breaks, pay, and billing amounts are calculated in Recruit CRM.

You can create reusable templates by defining a work schedule, choosing how breaks are handled, setting the treatment of additional hours, and adding custom rules based on shifts or working hours.

This feature is useful when you want to:

  • Standardize pay and bill calculations across contractors.

  • Define regular working days and hours.

  • Configure unpaid break hours that are automatically deducted from working hours.

  • Configure overtime, shift-based, and time-range rules.

  • Apply multipliers or fixed pay and bill rates.

  • Create reusable templates for different contractor work schedules.

  • Reduce manual calculations and maintain consistency across timesheets.

Please note: This feature is currently available in Beta and can be enabled upon request. Please contact your Account Manager to have it enabled for your account.


Who can manage Pay and Bill Rule Templates?


Account Owners, Admins, and users with custom roles that have access to Pay and Bill Templates can access Pay and Bill Template Settings.

Users with Team Member and Restricted Team Member roles cannot access these settings.


How to create a Pay and Bill Rule Template?


  1. Navigate to Admin Settings → Pay and Bill Settings → Pay and Bill Rule Template.

  2. Click Add Rule Template.

  3. Under Work Schedule, enter a name for the template and select the method you want to use for defining the contractor's work schedule.

Set up the Work Schedule

Choose one of the following methods to configure the contractor's work schedule.

Work Start and End Time

Select at least one working day and define the Start Time and End Time for each day. Unselected days are treated as days off. You can use Copy to All to apply the first day's schedule to all working days.

The configured schedule is treated as Regular Hours and calculated at the standard 1× rate.

Please note: The Start Time and End Time must be different, and 00:00 cannot be used as the End Time. To represent the end of the day, use 24:00 (or 12:00 AM in 12-hour format) instead of 23:59 (or 11:59 PM).

Enter Work Hours

Select the working days and enter the number of working hours for each day. You can use Copy to All to apply the first day's hours to all working days.

Please note: You can enter up to 24 working hours per day, and the working hours cannot be 0.

Configure unpaid break hours

Use Unpaid break hours per day to define the break duration deducted from scheduled hours when calculating actual payable working hours and overtime thresholds.

Please note: The break duration cannot exceed the scheduled working hours for a day.

Example: If the work schedule is 9:00 AM–5:30 PM with a 30-minute excluded break, the actual working hours are 8 hours. If the contractor logs 9:00 AM–6:00 PM, the system calculates 1 hour of overtime.

Please note: Overtime hours are displayed only when a custom overtime rule is configured.

Configure Round Time Entry

Use the Round time entries automatically toggle in the Rule Template to automatically round time entries based on a selected interval.

You can choose from the following rounding intervals:

  • 6 minutes

  • 15 minutes

  • 30 minutes

You can also choose how the time entries should be rounded:

  • Round Up: Rounds the time entry up to the next selected interval.

  • Round Down: Rounds the time entry down to the previous selected interval.

  • Nearest Interval: Rounds the time entry to whichever selected interval is closest.

For example, if the selected interval is 15 minutes:

  • With Round Up, 8:04 is rounded to 8:15.

  • With Round Down, 8:14 is rounded to 8:00.

  • With Nearest Interval, 8:04 is rounded to 8:00, while 8:06 is rounded to 8:15.

For bulk entries, rounding is applied according to each contractor's individual timesheet settings. If contractors have different rounding configurations, each entry is rounded according to the settings configured for that contractor.

Configure the standard rate for extra hours

Use the Apply standard rate (1X) for extra hours toggle to control how hours outside the defined work schedule or custom rules are handled.

  • Enabled: Extra hours are paid and billed at the standard 1× rate.

  • Disabled: Only hours covered by the work schedule or custom rules are considered for pay and bill calculations. Any additional hours are not payable or billable.

Add custom rules

Custom rules allow you to configure shift-based, overtime, and time-based pay and bill calculations.

  1. Click Add Rule.

  2. Enter a name for the rule, select the applicable days, choose the Rule Type, and configure the required time range or threshold. The working days configured in the Work Schedule are selected by default.

  3. Define the pay and bill rates using either a Multiplier or a Fixed Rate. Fixed rates use the currency configured in the Timesheet Settings.

    Please note: The same time range cannot be applied to multiple rules on the same day. If logged time falls outside all configured rules, the Apply standard rate (1X) for extra hours setting determines whether those hours are paid and billed.

  4. You can click the Delete icon to remove a rule or Add Rule to create additional rules.


Rule Type and description


For Work Start and End Time Method:

Rule Type

Description

  • Before shift

  • You can apply a "Before Shift" rule on selected days, specifying a time range that occurs before the regular shift start time.

  • ‘Before shift’ for the same day cannot be applied twice.

  • A Before Shift rule cannot start at 00:00, as it is considered an invalid start time for this rule type.

  • After shift

  • You can apply an "After Shift" rule on selected days, specifying a time range that occurs after the regular shift start time. This is applicable only if the method is set to "Shift."

  • ‘After shift’ for the same day cannot be applied twice.

  • The After shift rule cannot start at 00:00, as it is considered an invalid start time for this rule type.

  • Specific time range

  • The Specific Range rule allows you to define a specific time window by specifying a start and end time, and applying a multiplier for that range.

  • This rule can be applied to multiple ranges on the same day.

  • Daily Overtime

  • The Daily Overtime rule lets users decide after how many hours overtime should be paid on a given day. The threshold must be equal to or more than the regular working hours defined for that day. For example, if Monday’s regular hours are 9:00 AM to 5:00 PM (8 hours), then the Daily Overtime threshold must be at least 8. If it’s set below 8, the system will show an error.

  • If the total hours worked on that day go beyond this threshold, the extra hours will be paid and billed (given that those hours are not covered by other rules).

  • The Daily Working Hours rule can be applied twice for the same day to support multiple overtime thresholds.

  • The same threshold (e.g., “above 8 hours”) cannot be applied more than once. Each rule must define a unique threshold.

  • Weekly overtime

  • The Weekly Overtime rule applies to all days in the week and is only available for weekly and biweekly timesheets. You can set a weekly threshold (e.g., 40 hours). If the total hours worked in a week go beyond this threshold, the extra hours will be counted as overtime (given those hours are not covered by other rules).

  • The threshold must be equal to or more than the total regular hours in that week.

  • If your work schedule is:

    Monday to Thursday: 9:00 AM – 5:00 PM (8 hours/day)
    Friday: 9:00 AM – 4:00 PM (7 hours)
    Then your total regular hours = (4 × 8) + (1 × 7) = 39 hours
    So, the weekly overtime threshold must be at least 39 hours.

  • You cannot set the threshold lower than the total regular hours for the week.

  • This rule cannot be applied twice.

  • Breaks

  • Breaks are excluded, they are subtracted from the working hours. This means the break duration will not be considered for pay or bill calculations.
    Breaks are always deducted from the time slot entered on the timesheet.
    Example:

  • Regular Hours: 9:00 to 17:00

  • After-Shift Rule: 17:00 to 18:00

  • Break Taken: 13:00 PM to 14:00 PM

  • Time Logged on Timesheet: 9:00 to 18:00

In this case, the 1-hour break will be deducted from the regular hours (9:00 AM to 5:00 PM), not the after-shift time. So the system will calculate:

  • Regular Time: 7 hours (after removing 1-hour break)

  • After-Shift Time: 1 hour

For the Enter Work hours Method:

Rule Type

Description

  • Daily overtime

  • The Daily Overtime functionality will work the same as the Shift Rule. The minimum hours, overtime multipliers, and all other related functionality will remain consistent with the shift rule behavior.

  • Weekly overtime

  • The Weekly Overtime functionality will work the same as the Shift Rule. The minimum hours, overtime multipliers, and all other related functionality will remain consistent with the shift rule behavior.

This rule cannot be applied twice.

  • Breaks

  • As breaks are excluded, the break hours will be subtracted from the work hours

Note: When rules are applied, the Specific Range rule is applied first, followed by Daily Overtime, and finally Weekly Overtime for calculations in the Start and End method. For the Working Hours method, Daily Overtime is applied first, followed by Weekly Overtime.

Weekly overtime rules do not apply to monthly timesheets. If a contractor is on a monthly frequency, the weekly overtime rule will not be applied.


How to edit, clone, delete, or set a default Pay and Bill Rule Template?


Click the three-dot menu under the Action column of the required template to manage it.

Edit: Update an existing template. Changes made to the template don't affect candidates who already have a copy of that template applied.

Clone: Create an exact copy of the template's current configuration. You can modify the cloned template and save it as a new template.

Delete: Delete the template from Pay and Bill Template Settings. Candidates who already have the template applied will retain their copy in their Timesheet Settings.

Set as Default: Set a template as the default option when enabling timesheets. You can change the default template or clear the default selection whenever needed.


Troubleshooting


Problem: I can't configure a Weekly Overtime rule.

Likely Cause: The timesheet frequency is Monthly, a Weekly Overtime rule already exists, or the configured threshold is below the total regular working hours.

What to Check: Review the timesheet frequency, existing rules, and weekly threshold.

Resolution: Use Weekly or Biweekly frequency, configure only one Weekly Overtime rule, and set the threshold equal to or greater than the total regular working hours.

1. What is the difference between the two Work Schedule methods?

The Work Start and End Time method defines specific shift start and end times, while the Enter Work Hours method defines the total number of working hours expected for each day.

2. Can I configure more than one Daily Overtime rule?

Yes. You can configure up to two Daily Overtime rules for the same day, provided each rule uses a unique overtime threshold.

3. What happens when I edit a template that's already applied to a candidate?

Changes made to the original template don't affect candidates who already have a copy of the template applied.

4. What happens when I delete an applied template?

The template is deleted from the Pay and Bill Template Settings, but candidates who already have the template applied retain their copy in Timesheet Settings.

5. Do Weekly Overtime rules apply to Monthly timesheets?

No. Weekly Overtime rules are available only for Weekly and Biweekly timesheets.
