What this feature does and when to use it?
When you create or edit a job with the Contract or Contract-to-Permanent job type, Recruit CRM automatically displays the Pay Rate and Bill Rate fields. These fields help you track contractor pay and client billing rates for contract staffing. You can choose to calculate the Bill Rate using a Fixed Rate, Margin, or Markup.
This feature is useful when you want to:
Record contractor pay rates.
Manage client billing rates.
Require pay and bill rates for contract jobs.
Filter, import, and export jobs using these fields.
What do these fields mean?
Before using these fields, it's helpful to understand what each one represents.
Pay Rate: The amount paid to the contractor.
Bill Rate: The amount billed to your client.
Margin: The percentage of the Bill Rate that represents profit.
Markup: The percentage added to the Pay Rate to calculate the Bill Rate.
Calculate Charge By: Determines whether the Bill Rate is calculated using a Fixed Rate, Margin, or Markup.
Margin vs. Markup
Markup is the percentage added to the Pay Rate to calculate the Bill Rate. For example, a $10 Pay Rate with a 50% markup results in a $15 Bill Rate. The value can be between 0% and 99% and cannot be a negative value.
Margin represents the percentage of the Bill Rate that is profit. For example, a $10 Pay Rate with a 50% margin requires a $20 Bill Rate. The value can be between 0% and 10,000% and cannot be a negative value.
Pay Rate | Calculation | Bill Rate |
$10 | 50% Markup | $15 |
$10 | 50% Margin | $20 |
Please note: These fields are conditional and only appear when the Job Type is set to Contract or Contract-to-Permanent.
How to use the Pay Rate and Bill Rate fields
Create a new job or edit an existing one, then set the Job Type to Contract or Contract-to-Permanent. The Pay Rate and Bill Rate fields will automatically appear on the job form.
Select how the Bill Rate should be calculated:
Fixed Rate: Enter the Pay Rate and Bill Rate directly.
Margin: Enter the desired profit margin, and the system automatically calculates the Bill Rate.
Markup: Enter the desired markup on the Pay Rate, and the system automatically calculates the Bill Rate.
Admins can control the visibility of Pay Rate, Bill Rate, Margin, Markup, and Calculate Charge By navigating to Admin Settings → Data Customization → Job Fields. From here you can mark them as Required to ensure they are completed whenever applicable.
