What this feature does and when to use it?

The Export Timesheets feature allows you to export individual or multiple timesheets in XLSX, CSV, or PDF format, making it easy to share timesheet data with clients, process payroll, or maintain print-ready records.

This feature is useful when you want to:

  • Export a single timesheet or multiple timesheets.

  • Download timesheets in XLSX, CSV, or PDF format.

  • Choose the fields included in the export, for both single and multiple timesheets.

  • Include timesheet expenses in the export.

  • Generate day-wise timesheet reports.

  • Share timesheet data with payroll systems or clients.

Please note:

  • Only users with Export permissions can export timesheets.

  • Users can only export timesheets for candidates they have permission to view.

How to export timesheets

Navigate to the Jobs page and open a job with the Job Type set to Contract or Contract-to-Permanent.

Scroll to the Candidate Pipeline section and click View All Timesheets.

Export timesheets using one of the following methods:

Export an individual timesheet:

  1. Open the desired timesheet period and click Export in the top right corner or click the down arrow to select the desired format.

  2. Select the fields you want to include. You can choose from timesheet, candidate, and expense fields:

    • Timesheet Period and Candidate Name are always included and can’t be deselected.

    • Up to 8 timesheet fields appear as columns in the timesheet table.

    • Up to 12 additional fields appear above the table, such as candidate and job details.

    • If the timesheet has expenses, you can include them in the export.

  3. Click Export as PDF to export the timesheet with the selected fields.

Your field selection is saved, so the same fields are selected the next time you export a single timesheet.

📌 Please note: Expenses are added after the timesheet data, on a separate page in PDF exports and on a separate sheet in XLSX exports.

Export multiple timesheets

  1. Select the required timesheets, or use the top checkbox to select all.

  2. Click Export from the header bar.

  3. Choose the export format:

    • Standard — exports timesheet data in the existing format, with regular and overtime hours shown as totals.

    • Rate Breakdown — exports a separate row for regular hours and for each overtime rule that was actually applied, along with the pay and bill amount for each. Rate Breakdown only applies to Per Hour timesheets.

  4. Select the fields you want to include in the export.

  5. If you'd like each day to appear as a separate column, enable the Day-wise Export option. This creates separate sheets for each timesheet period and lets you include daily work and overtime hours.

  6. Select XLSX, CSV, or PDF, then click Export.

Please note: If you export in CSV with Day-wise Export enabled, the download will be a ZIP file containing a separate CSV file for each timesheet period.

Please note: You can also export timesheets by following the same steps from the Deals section.
PDF export supports up to 11 columns for multiple timesheets. The PDF option isn’t available when Day-wise Export is enabled or when more than 11 fields are selected.

FAQs

What's the difference between Standard and Rate Breakdown export?

Standard shows regular and overtime hours combined as totals, as before. Rate Breakdown separates them into individual rows by overtime rule, with pay and bill amounts shown for each.

Does Rate Breakdown change how overtime is calculated?

No. It only presents the existing calculated hours and amounts in more detail, the underlying overtime calculation is unchanged.

Can I choose which fields appear in a single timesheet export?

Yes. Select the fields when you export. Timesheet Period and Candidate Name are always included, and your selection is saved for future single exports.

Can I export expenses with timesheets?

Yes. When a timesheet has expenses, you can include them in the export. They appear on a separate page in PDF exports and on a separate sheet in XLSX exports.

Why is the PDF option unavailable?

For multiple timesheets, PDF export supports up to 11 columns and isn’t available with Day-wise Export. For a single timesheet, PDF supports up to 8 table columns and 12 additional fields. Reduce the number of selected fields or turn off Day-wise Export to use PDF.
