Adding and Managing Call logs (New UI)

What this feature does and when to use it?

Call logs in Recruit CRM help you record and manage phone conversations directly against candidate, contact, or company records. They create a searchable and organized history of call activity, making it easier to track conversations, review outcomes, and collaborate with your team.

Each call log can include:

• Notes summarizing the conversation
• Call start time and duration
• Collaborators who participated in the call
• An associated record
• A contact number
• A customizable call type to match your workflow

This feature is especially useful when you want to:

• Record important candidate or contact conversations
• Build a searchable call history on records
• Categorize calls and track outcomes over time
• Add and manage call logs while working on mobile devices


Step-by-Step Instructions


Method 1: Add a Call Log from the Record

  1. Open the Candidate, Contact, or Company record you want to log the call against.

  2. In the right-hand activity panel, click the call log icon to open the call log form.


  3. Fill in the Add Call Log form. The Related to field will be auto-filled based on the record you are on. You can also add:

  • Call notes: Use this field to capture the key points and outcomes of the conversation.

  • Collaborators: Add any teammates who were part of the call.

  • Call duration and start time: Record how long the call lasted and when it began.

  • Related to: If the call log is linked to a record, you can add that record in the Related to field.

  • Contact number: This field is optional. Select a number from standard or custom phone fields stored on the record, or enter a new number manually.


    4. Click the green Submit button to save the call log. It will appear in the record's activity section immediately.

Tip: Always fill in Call Notes to capture the highlights of the conversation. This makes the log useful for future follow-ups and keeps your team aligned.

Method 2: Add a Call Log from the Global Add Menu

  1. Click the blue plus (+) button at the top right of any screen in Recruit CRM.

  2. Select Call Log from the activity options. A form will appear on the right side of the screen.

  3. In the Related to field, search for and select the Candidate, Contact, or Company the call log should be attached to. This field is not auto-filled when using this method, so selecting the correct record is essential.

  4. Fill in all remaining details such as call notes, collaborators, call duration, start time, and contact number.

  5. Click Submit to save the call log.

📌 Please Note: If you forget to fill in the Related to field, the call log may not appear where you expect it. Always verify the correct record is selected before submitting.

Method 3: Add a Call Log on Mobile

  1. Open the Recruit CRM mobile app and navigate to the Candidate, Contact, or Company record you want to log the call against.

  2. Tap the floater button at the bottom right corner of the profile page.

  3. Fill in the call log details in the form that appears.

  4. Tap Save to add the call log to the record.


Accessing and Reviewing Call Logs


Viewing Call Logs on a Record

  1. Open the record and go to the Activities tab and select the Notes and Calls section to see all call logs.

  2. Each call log card displays the contact number associated with the call, making it easier to identify the caller at a glance without opening the log. Click View More of any call log to expand it for a detailed view.

  3. The date and time when the call log is added appear at the bottom right of the call log card beside the clock icon.

Searching and Filtering Call Logs

  1. To expand the full activity view, click and move the bar to adjust the size of the section as needed.

  2. Use the search bar to find specific call logs by keyword.

  3. Use the filter options to narrow results by activity type, call type, date range, or collaborator, giving you a focused view of the call history you need.


Accessing the Call Logs List View


In addition to viewing call logs from individual records, you can access a centralized list of call logs from different areas of Recruit CRM.

From Admin Settings

  1. Scroll down to the Call Logs list to view the detailed list of call logs.

  2. Use the available options to choose which call logs you want to view:

    • All

    • Incoming

    • Outgoing

    • Missed

  3. You can also filter call logs by:

    • To Number – Filter calls made to a specific number.

    • From Number – Filter calls made from a specific number.

    • User – View call logs associated with a specific user.

    • Call Type – Filter calls based on their call type.

    • Call Outcome – Filter calls based on their outcome.

    • Related To – Filter call logs associated with a specific Candidate, Contact, or Company.

From the Mailbox

  1. Open the Mailbox from the left navigation menu.

  2. Scroll down and select Call Logs to open the detailed call logs list.

  3. Use the available options to choose which call logs you want to view:

    • All

    • Incoming

    • Outgoing

    • Missed

  4. You can further filter the call logs by:

    • To Number – Filter calls made to a specific number.

    • From Number – Filter calls made from a specific number.

    • User – View call logs associated with a specific user.

    • Call Type – Filter calls based on their call type.

    • Call Outcome – Filter calls based on their outcome.

    • Related To – Filter call logs associated with a specific Candidate, Contact, or Company.


How to delete call logs?


Please note: System-generated call logs associated with phone calling credits cannot be deleted by any user. This restriction helps maintain accurate Phone Calling credit usage and prevents discrepancies in credit reporting.

Manually created call logs can still be deleted by users such as Account Owners, Admins, and users on custom roles with the appropriate permissions to delete call logs.

To delete manually added call logs, click on the 3 dots icon on the call log and select the 'Delete' option.

Click on 'Yes' in the delete call log pop-up.


Customizing Call Types


You can create custom call types to tag each call log with a specific category, such as Intro Call, Follow-up, or Client Update. This makes it easier to filter and report on call activity across your team.

  1. Go to Admin Settings and click Call Type Customization under CRM Process Customization.

  2. Click Customize and then Add New Status to create a new call type.

  3. Enter a name of up to 50 characters and click Save Status.


    The new call type will appear in the Call Type dropdown when adding call logs.

Note: You can add up to 100 custom types for Call Logs, Notes, and Meetings.


Troubleshooting


Problem: The Related to field is empty when creating a call log.

Likely cause: You are using the global Add method to add the call log, which does not auto-fill this field.

What to check: Verify that you opened the call log from the global Add icon instead of from within a record.

Resolution path: Manually select the correct candidate, contact, or company in the Related to field before submitting.

Problem: You cannot see certain call logs on a record.

Likely cause: Filters are applied in the activity panel.

What to check: Review the activity filters to ensure Call or All activities are selected.

Resolution path: Clear or update filters to reveal all visible call logs.

Where do call logs appear after I create them?

Can I log calls that were not made through Recruit CRM?

Yes. You can manually create call logs for any phone conversation by entering notes, duration, and other details, even if the call took place outside Recruit CRM.
