What does this feature do & when to use it?

Bulk texting in Recruit CRM lets you send a single SMS message to multiple selected candidates or contacts at once. The feature supports up to 300 words per bulk text, allows you to use SMS templates and placeholders, and lets you include opt-out text and create follow-up tasks as part of the workflow. You can use this when:

  • You want to quickly reach multiple candidates with the same update or reminder.

  • You need to send bulk messages to contacts for coordination or follow-ups.

  • You are running campaigns that require simple, short, text-based communication.

Before you begin

  • Bulk texting is available on all paid Recruit CRM plans: Pro, Business, and Enterprise.

  • All users from the US must obtain consent from each prospect before texting them.

  • Ensure that the candidates or contacts you want to message have valid phone numbers.

  • Confirm that the phone numbers are in countries where texting is allowed.

  • Make sure you have sufficient phone calling and SMS credits, as bulk texting will be charged according to Twilio’s volume pricing.

Step-by-step instructions


  1. Go to the candidate or contact list page where your target records are listed.

  2. Select the candidates or contacts you want to send bulk text messages to.

  3. Click on the message icon to open the messaging options.

  4. From the three options that appear, choose whether to send SMS, request consent via SMS, or request consent via mail.

  5. Check for any errors in the phone numbers and verify that they are valid numbers in countries where texting is allowed.

  6. Click on the “Continue with the Candidates” option to proceed with the selected recipients.

Recruit CRM now checks for SMS consent when sending messages in bulk. Candidates/Contacts without recorded consent will show an “SMS consent pending” validation and must have their consent recorded before they can receive bulk SMS messages.

7. Write the body of the text message, keeping in mind that you can text up to 300 words in bulk at a time.

8. Insert existing SMS templates into your message if you want to reuse saved content. Create new SMS templates if you need reusable content for future bulk messages. Use placeholders to personalize your SMS content with dynamic fields such as candidate or contact details.

9. Choose whether to include an opt-out option in the text message so recipients can stop receiving further texts.

10. Select the option to create a follow-up task related to the bulk SMS if you want to track next steps.

11. Click the “Send SMS” button to send your bulk text.

12. Review the pop-up that appears, which states that you will be charged 0.05 for each unique recipient per month and that this will be deducted from your phone calling and SMS credits according to Twilio’s volume pricing.

13. After sending, note that you will also be charged for failed messages, and these will be visible under the message logs.

Troubleshooting


Problem: Bulk SMS fails for multiple recipients and shows as failed in message logs.

Likely cause: Issues with phone number validity, carrier restrictions, or insufficient credits.
What to check: Look at the message logs to see which messages failed and confirm your current phone calling and SMS credit balance.
Resolution: Fix invalid numbers where possible, confirm that the destination countries allow texting, top up your credits if needed, and attempt sending again.
