What does this feature do and when to use it?
AI Job Candidate Matching helps you find and rank candidates for a specific job using AI. You can search either from your existing Recruit CRM database (My Database) or Recruit CRM's Global Database, which contains 800 million+ external candidate profiles.
Recruit CRM extracts relevant Search Filters from your query or Job Description and uses the Matching Criteria to evaluate candidates. Each candidate is ranked and scored from 0–100 based on how closely they match the defined criteria, with reasoning provided for each score. You can review and customize the Matching Criteria before running the search.
When matching against My Database, recent notes and call logs can be used as additional context when ranking candidates and generating the reasoning for their match score, alongside information from their resume or profile.
Use this feature when you want to:
Get an AI-ranked shortlist of candidates already available in your database for an open job.
Search the Global Database directly using the job description.
Run an AI match from a job
Use AI Job Candidate Matching from a job to find candidates who best match the role. You can search either your own candidate database or Recruit CRM's Global Database, review and customize the search parameters, and then use AI-powered Matching Criteria to evaluate and rank the results.
Open the specific job for which you want to find and match candidates.
Please note: The job must have a Job Description for AI Job Candidate Matching to generate the Search Filters and Matching Criteria. If the selected job does not have a Job Description, Recruit CRM will prompt you to add one before you can continue with the search
Click the star icon at the top of the job to open AI Job Candidate Matching.
Select the database you want to search:
After selecting your preferred database, you will be presented with AI Clarifying Questions. Recruit CRM reviews the Job Description and asks for additional information when something is ambiguous, incomplete, or needs clarification before the search can be generated.
For example, the questions may ask you to clarify a missing work location, an unclear requirement, or whether a particular skill should be considered mandatory. You can select one or more available answers, provide additional information in free text where applicable, or skip the questions if you do not want to provide the suggested information. Clarifying the requirement helps produce more relevant results.
Once you have provided the required details, click Continue.
You will then have the option to review the Search Filters and Matching Criteria that Recruit CRM has generated for the search. These define the parameters Recruit CRM will use to find, evaluate, and rank candidates.
Search Filters determine which candidates enter the search pool, while Matching Criteria determine how candidates within that pool are evaluated and ranked.To make changes to the Search Filters, click Edit Filters.
The Filters panel will open on the right, where you can configure filters such as Employment Information, Skills and Keywords, Location, and Education. You can also add other filters based on your requirements using the option at the bottom of the panel.
For Job Title and Company, you can enable the Current Only toggle to limit the search to candidates whose current job title or company matches the entered filters.
Once you have configured the filters, click Save.
Next, review the Matching Criteria generated from your query. These criteria are separate from the Search Filters and are used to evaluate how closely each candidate matches the requirements of the role. Each criterion contributes to the candidate's overall match score out of 100.
Recruit CRM assigns each criterion a suggested weight from 1 to 10, where 10 is the highest importance. Criteria with a higher weight have a greater influence on the candidate's final ranking. You can change these weights based on the priorities of the role.
You can also add, edit, or delete Matching Criteria based on your requirements. To add a new criterion, click Add Criterion, enter the requirement Recruit CRM should consider, and assign a weight based on its importance to the role.
How the match score works
Each candidate receives a 0–100 match score based on how they perform against the Matching Criteria and the weights assigned to those criteria. A criterion with a higher weight has more influence on the final score than a criterion with a lower weight.
For example, if relevant experience is given a weight of 10 and a nice-to-have certification is given a weight of 2, performance against the experience criterion will have a much greater effect on the candidate's overall score.
While you are configuring the filters and Matching Criteria, you will see the total number of candidates matching your Search Filters at the bottom of the page. This live count helps you understand the size of your candidate pool before running the AI match.
Click Find Candidates to run the search.
The search usually takes 2–3 minutes to complete.
Once the search is complete, Recruit CRM displays up to 100 candidates per page. You can review the matched candidates and take action directly from the results page:
Select individual candidates or use the bulk selection option to select multiple candidates.
Add the selected candidates to your Recruit CRM database.
Assign selected candidates to a job.
Add candidates to a hotlist.
Add a note to the selected candidates.
Please note: When My Database is selected, the results include up to 100 candidates on a single page.
When you select a candidate, the panel on the right provides a detailed view of the candidate's profile, along with the Matching Criteria that contributed to their match score. This helps you understand why the candidate was ranked for the search and how closely their profile matches the requirements of the role.
Understand Search Filters and Matching Criteria
Search Filters and Matching Criteria work together, but they serve different purposes.
Search Filters:
Search Filters are the initial criteria used to determine which candidates enter the search pool. For example, you can filter candidates based on their title, experience, skills, or location.
Matching Criteria:
Matching Criteria are applied after the candidate pool has been created. They help evaluate and rank candidates based on how well their profiles match the job. Each criterion has a weight that contributes to the candidate's overall match score out of 100.
For example, suppose you're hiring for a Customer Success role and want candidates with at least five years of total work experience. You could use a Total Experience filter to require candidates to have at least five years of experience. You could then use a Matching Criterion to evaluate how much of that experience is specifically relevant to Customer Success.
A candidate with five years of experience may meet the filter, but if only one of those years were spent in Customer Success, they may receive a lower match score than a candidate whose five years of experience are primarily in Customer Success.
Search Filter fields:
Field | How it works |
Title | Title searches the candidate’s current role and previous roles they have held in the past. To search for only the current roles, you need to enable/turn on the 'Current Only' toggle. |
Total Experience | Set a minimum and/or maximum number of years of experience. |
Skills | Searches for skills across the candidate’s entire profile rather than a single field. Mark specific skills as Must-have to make them require, or leave them as Good-to-have to improve ranking without making them mandatory. |
Language Skills | Set the required proficiency level and optionally mark a language as Must-have. |
Location | Matches any of the locations you enter. You can enter a city, locality, state, or country. |
Keywords | Use Boolean search operators such as AND, OR, and NOT, including grouped searches, across the candidate’s full profile. |
University, Graduation Year, Degree, Name | These fields are also available for searching. |
Current Only | Limits results to candidates who currently hold the searched Job Title or currently work at the selected Company, rather than candidates who held the title or worked at the company in the past. Recruit CRM may automatically enable this option when it is relevant to the search. |
📌 Please note:
When matching against My Database, you can also filter and use Boolean search across custom fields, notes, and calls, using the same Boolean search functionality available in Candidate Search.
Candidates who are already assigned to the selected job or marked as off-limit are automatically excluded from My Database matching results.
When notes and call logs are available as additional context for ranking, only the latest 3 notes and latest 3 call logs from the past 3 months are considered. Recruit CRM evaluates their relevance to the role rather than automatically treating every recent activity as relevant.
For most Search Filter fields, selecting multiple values matches candidates who meet at least one of the selected values rather than requiring every value. If you need stricter combinations, you can use Boolean AND/OR/NOT logic in the Keywords search. Skills and Language Skills have separate Must-have and Good-to-have controls for more specific matching.
AI Credits and usage
AI Job Candidate Matching uses credits based on the type of action performed.

Search History
Recruit CRM saves previously unlocked AI matching results in Search History, allowing you to return to them without consuming additional credits.
Previously unlocked result pages can be revisited without using additional credits.
You can pin or delete searches from Search History.
For job-based searches, Search History is shared with other users who have access to the same job.
If another user has already run an AI match for the same job, you can access the existing search history rather than starting a completely new search.
Using Refine Matches changes the search and runs the AI matching process again, so it consumes additional credits.
Refresh matches
Refresh Matches is available for My Database searches and allows you to check whether new or updated candidates have become available since the original search was run.
When you refresh a search, Recruit CRM checks newly added or updated candidates using the same Search Filters and Matching Criteria. Candidates that qualify for the top 100 results can then be evaluated and added to the results.
Refresh Matches costs 2 credits. Credits are consumed only when new candidates are found.
Refine matches
Use Refine Matches when you want to modify the requirements of an existing search and generate updated results.
You can refine the search by changing the clarifying answers, Search Filters, Matching Criteria, or Criterion Weights. Recruit CRM then runs the AI matching process again using the updated requirements.
Refine Matches costs 3 credits per new page of results.
Important Notes
Matching Criteria and match explanations are currently generated in English, regardless of the language used in the Job Description.
You can select and add up to 100 candidates at a time from the results.

If you choose to rerun the search, Recruit CRM goes through the AI Clarifying Questions, Search Filters, and Matching Criteria process again. The rerun consumes credits because the AI matching process is executed again.
