What this feature does and when to use it?
Deals in Recruit CRM help you manage contract placements by bringing associated jobs, candidates, and timesheets together in one place. You can link Contract and Contract to Permanent jobs to Deals, automatically associate placed candidates, enable timesheets, and manage timesheet activities directly from the Deal.
This feature is useful when you want to:
Track contract placements and associated contractors in one place.
Link Contract or Contract to Permanent jobs with Deals.
Automatically associate placed candidates with a Deal.
Create and manage timesheets directly from a Deal.
Perform bulk actions without opening each contractor's profile individually.
Please note: This feature is currently available in Beta and can be enabled upon request. Please contact your Account Manager to have it enabled for your account.
How to associate a Job with a Deal?
Navigate to Deals, open the required Deal, and click the Pencil icon to edit it.
Under Related With, select the Company. Once selected, the Contact field is automatically populated with the associated contact.
Select the Job you want to associate with the Deal. Only jobs linked to the selected company will appear in the dropdown.
Click Submit to save your changes.
For Contract and Contract-to-Permanent jobs, all placed candidates associated with the linked job are automatically added to the Deal. Candidates aren't automatically associated with other job types.
How to associate additional candidates with a Deal?
You can manually add additional candidates to a Deal when needed.
Open the Deal and click the Pencil icon.
Under Related With, search for and select the candidate in the Candidate field, then click Submit.
If the candidate is assigned to a job linked to the Deal, they will appear under that associated job. Otherwise, they will appear under Not Associated Candidates.
How to enable timesheets from a Deal?
You can enable timesheets for candidates directly from the Deal, either individually or in bulk.
Please note: Timesheets can only be enabled for Contract and Contract-to-Permanent jobs.
Enable timesheets individually
Open the required Deal and expand the job under Related Candidates to view its associated candidates.
Click the Timesheet icon for the required candidate.
Configure the required timesheet settings, such as the pay rate, bill rate, and timesheet approver, then click Enable.
Enable timesheets in bulk
Under Related Candidates, select the required candidates or use the checkbox beside the job name to select all candidates associated with that job.
Click Enable Timesheet.
Configure the required timesheet settings and click Enable to enable timesheets for all selected candidates.
Please note: Timesheets cannot be enabled for candidates under Not Associated Candidates because they aren't linked to a job. Bulk enablement is also unavailable when the selected candidates belong to different jobs.
Which timesheets are visible in a Deal?
Timesheets appear under the Deal's Timesheets section when the candidate has timesheets enabled, is linked to the Deal, and is assigned to a job that is also associated with the Deal.
Timesheets for candidates under Not Associated Candidates aren't displayed in this section.
How to manage timesheets inside a Deal?
The Timesheets section allows you to create timesheets in bulk and manage existing timesheets directly from the Deal.
Add timesheets in bulk
Open the Timesheets section of the Deal and click + Add Timesheets.
Select the Job, Candidates, and Timesheet Period. Only jobs associated with the Deal are available for selection.
The first selected candidate is used as the reference for eligibility. Other candidates can be selected only when they have the same timesheet frequency, start of the week or month, duration, and matching timesheet rules.
If a timesheet period has already been added for any selected contractor, that period will no longer be available for selection.
Click Add to create the timesheets.
View and manage individual timesheets
Click the Timesheet Period to view the individual timesheets and perform actions such as adding time, submitting, approving, rejecting, or editing timesheets.
Delete timesheets in bulk
Select the required timesheets or use the bulk checkbox to select all available timesheets, then click Delete.
Please note: Approved timesheets cannot be deleted.
Troubleshooting
Problem: I can't select a Timesheet Period.
Problem: I can't select a Timesheet Period.
Likely Cause: A timesheet for that period has already been created for one of the selected contractors.
What to Check: Review the existing timesheets for the selected contractors.
Resolution: Select a Timesheet Period that hasn't already been added for any selected contractor.
Problem: I can't delete a timesheet.

Likely Cause: The timesheet has already been approved.
