What this feature does and when to use it?

Dashboard Subscriptions let you deliver a dashboard's results automatically, on a schedule, without anyone having to log in and check it manually. Use this when you have stakeholders recruiters, account managers, clients, or teammates without a Recruit CRM license — who need regular visibility into a dashboard, such as a weekly placements summary or a daily pipeline snapshot, but don't need to interact with the dashboard itself.


How can I send dashboard updates via email?


You can use Dashboard Subscriptions to automatically send dashboard results to people via email, even if they don’t have a license on Recruit CRM.

Once set up, updates will be sent at your chosen frequency, and any changes to the dashboard will be reflected in future deliveries.

Note: Subscriptions are private to the person who created them, a subscription you set up won't be visible to your teammates, and you won't see subscriptions they've created either. The same is true for Alerts: only the person who created an alert can see it. All scheduled subscriptions are sent according to the UTC timezone. When selecting the delivery time, please make sure to account for the difference between UTC and your local timezone.


Step-by-step instructions on how to create a subscription to a dashboard


  1. Open the dashboard you want to share.

  2. Click on the three dots (...).

  3. Select Subscriptions.

4.In the sidebar that appears, choose Email it.

When you click on Email it option in the sidebar, and advanced analytics will give us some options:

What email subscription options are available?


Add subscribers: Add email addresses to register subscribers.

Determine frequency and timing: Choose how often to send updates:

  • Hourly

  • Daily

  • Weekly

  • Monthly

And what time of day to send the dashboard?

  • Send email now – Instantly send the dashboard update.

  • Skip emails with no results – Prevents sending empty reports.

  • Apply filters – Customize subscription filter values.


How to customize filters for different subscriptions?


You can apply different filter values to each subscription so that different users receive tailored reports.

Here is how to set filter values for a subscription:

  1. Open the dashboard subscription panel.

  2. Locate the Set filter values for when this gets sent section.

3.Enter the filter values needed for this subscription.

You can set values for each filter on the dashboard. If you have any dashboard filters with default values, you can override those defaults for a given subscription, or leave them as-is.

This method allows you to maintain one dashboard while delivering personalized reports to different users.


Attach results as files


Attach results include dashboard data as a downloadable file.

File format

You can choose between the following file formats:

  • .csv

  • .xlsx

  • .json

Optionally, you can send raw, unformatted data by disabling visualization settings.

The attached files will include up to 2000 rows by default. To change this row limit on your Advanced Analytics Cloud instance, you can contact us and request a different row limit.

How to add multiple subscriptions to a dashboard?


To add multiple subscriptions:

  1. Open the dashboard subscription panel.

  2. Click on the ➕ (plus) icon to add a new subscription.


How to delete a subscription?


  1. Open the dashboard subscription panel.

  2. Select the subscription you want to remove.

  3. Click Delete this subscription at the bottom of the sidebar.

4.Confirm the deletion in the pop-up modal.


Troubleshooting


Problem: The scheduled email shows different numbers than the live dashboard.

Likely cause: A scheduled subscription runs with a fixed set of filter values (either the dashboard's defaults, or whatever values were set when the subscription was created), it doesn't automatically use whatever filters you personally last had selected when viewing the dashboard live.

What to check: Open the subscription's settings and check which filter values it's configured to send with.

Resolution path: Edit the subscription and set the specific filter values you want it to always use, or leave it on the dashboard's defaults if that's the intended behavior. This is a configuration choice, not a bug.
