Recruit CRM provides a dedicated Files section for every Candidate, Contact, Company, and Job record, allowing you to upload, organize, and manage documents directly within the platform.
You can create folders, rename files, reuse saved files by attaching them to file-type fields or emails, and access everything without needing to re-upload them from your device.
File size limit: Each individual file must be 8 MB or smaller.
You can use this feature when:
• You need to store candidate, contact, company, or job-related documents in one place.
• You want to organize files into folders within a record.
• You frequently reuse the same documents in fields or emails and don’t want to re-upload them.
How to access the Files tab on the Record Profile
Accessing the Files Tab:
Every record in Recruit CRM has a Files tab where files can be stored and accessed.
To open the Files tab:
Open any Candidate, Contact, Company, or Job record.
Click the Files tab in the horizontal navigation bar, located below the record's information overview.
From here, you can view, download, upload, and organize all files linked to that record.
Uploading a File
You can add files to a record in two ways:
Click the upload area or the Upload button, then select a file from your computer.
Drag a file from your desktop and drop it directly into the Files section.
Renaming a File
You can also rename files stored in the Files section to keep them organized and make them easier to identify.
Locate the file you want to rename in the Files Tab.
Click the three-dot menu (⋯) next to the file.
Select Rename.
Enter the new file name and click Save.
Creating and Managing Folders
Folders help you keep documents organized within a record's Files section, for example, separating resumes from offer letters.
Create a Folder
Click the Create Folder button on the right side of the Files section.
Enter a name for the folder in the pop-up dialog.
Click Save.
Once the folder is created, you can click into it to upload files directly, or drag and drop files into the folder.
Rename or Delete a Folder
Click the three-dot menu (⋯) next to any folder to access the Rename or Delete options.
Attaching a Saved File to a Field
If a record has file-type fields (for example, a Resume field on a Candidate), you can populate those fields directly from the record's Files section, no need to re-upload a file from your computer.
This works for Candidates, Contacts, Companies, and Jobs.
Steps
Click the pencil (edit) icon next to the file-type field you want to fill.
Click the dropdown arrow next to the upload button and select Select From Saved Files.
A list of files already uploaded to that record will appear. Select the file you want.
Click Save.
Please Note
Clicking a file name opens a preview before you confirm the selection.
Only files uploaded to the record you are currently editing appear in the list, keeping the selection clean and secure.
You can still choose Upload File from the same dropdown to upload a new file directly from your computer.
This feature works in both the Edit form and directly on the file fields visible on the record page.
Attaching Saved Files to an Email
When composing an email inside Recruit CRM, you can attach files that are already saved on any record, no need to download them to your computer first.
Steps
In the email composer, click the dropdown arrow next to the Upload From Device button.
Select Select From Saved Files.
The panel shows up to 15 recently used files for quick access. To find files from a specific record, use the search bar to look up the record name, then click Search. All files linked to that record will appear. Click a file name to preview it before selecting.
Click Add Files to add your selections. You can search across multiple records to gather files from different profiles.
Once you have selected everything, click Done. The files will be attached to your email.
Troubleshooting

Likely cause: You may not have scrolled to the right section of the Widgets tab or it is hidden.
What to check: Confirm you are on a candidate, contact, company, or job profile and scroll down to the Widgets section and scroll right to locate the Files tab. Also make sure that the Files tab is not hidden within the Customize Widgets option.
Resolution path: Adjust your scroll to locate the Files tab. If still missing, check the visibilty of the Files tab by clicking on the 3 dots and going to the Customize Widgets.
